Secretary Report
Ginger Ripplinger read statement she gave to the Board
Board of Trustees Public Comment on Administrative
Assistants
“Good evening Madam Chair, Trustees, Chancellor Kinnamon,
My name is Ginger Ripplinger. I am a graduate of Chabot College and in February,
I will have been an employee of the Chabot/Las Positas Community College District
for 30 years. In May of 2006 I was transferred to the Social Sciences Division as an
Administrative Assistant II working with PACE, Quest & Administration of Justice. I
fill in for the division administrative assistant during absences and the occasional
position vacancy.
I have been asked to come before you to represent the administrative assistants at
Chabot College. This is a task I am delighted to perform as I have great admiration
for these extraordinary ladies.
For the most part, the representative duties in the job description of the
Administrative Assistant cover what the employee may expect to do in this class.
However, the deeper areas of responsibility are far more complex.
Division Administrative Assistants work hand and heart with their respective Deans
keeping the Divisions running. The administrative assistants are the hub on which
the entire division revolves. Everything ultimately passes through the division
administrative assistants hands.
As you may expect, they are multitasking office managers in the true sense; along
with typical office related tasks they handle budgets, requisitions, scheduling and
tracking, and arranging all the details from small office parties to large multimedia
events.
What you may not know is that these employees are on the front line in working with
the public, students, and staff. They field questions on admissions & records, general
counseling, book orders, academic calendar, timelines and deadlines, directory
assistance, and technical and application computer support. They help finalize the
development of new and revised curriculum, assist in the development the class
schedule, monitor the tenure review process, and adjunct priority list.
While it’s true we have departments that deal with many of these issues the first call
faculty and students make when they have a question is to the division administrative
assistant. Our administrative assistants have an extraordinary knowledge base of
this district.
Additionally, they implement and track room changes, class schedule changes, key
and key card access, time sheets, class assignments and any paperwork related to
hiring, firing, assessing, requesting, invoicing, transferring, upgrading, ordering,
arranging, developing and vacationing. If you are familiar with these tasks you know
that just keeping track of these rapidly changing procedures is a monumental feat in
itself.
Administrative Assistants are the lead in orienting and training new adjuncts. Not
only setting new faculty up with key card access and processing their initial
paperwork, but by default, they handle all the questions about getting started in the
classroom and navigating all procedures and departments on campus.
In substituting for several of these Division Administrative Assistants I have learned
that they are in a constant state of pressure and motion. They are completing tasks
assigned by their division dean while answering and making phone calls, answering
urgent emails and fielding questions by faculty, staff and students dropping by their
office. It’s a highly stressful job that takes a specialized skill set to juggle the drama
of people’s expectations, ever moving deadlines, and the chaos created by
unexpected academic emergencies. The pressure is intense but these women thrive in
this environment. They are extraordinary….and another example of the excellent
work that Classified Professionals do every day.
Thank you for your time.”
Treasurer's Report
Rosie Mogle read and submitted a written report
“We have $1, 481.87 in are co-curricular and we have $872.39 in the general fund.
Payroll deductions starting with January payroll we will be getting $60 a month add
to the co-curricular account. For February payroll we will be getting $65 a month
add to the co-curricular account. We have a total of 7 people that have signed up for
payroll deductions for Classified Senate.
50/50 raffle gave the Senate account $264. Great job everyone.
Rosie”
She reported that eight people have now signed up for payroll
deduction.
Catherine Powell suggested that general fund money be used to
purchase gold nametags for classified employees. Catherine
Gentiluomo said that the cost is $6 per pin. People who want to can
pay extra for a magnetic pin. Tri-City Engraving has the Chabot
College logo. It was suggested that senate poll staff to find out if they
would use the name tags to determine interest. It was suggested that
an email be sent out requesting staff to contact Rosie Mogle if they
would like a name tag. Security and Maintenance and Operations
won’t need name tags. The issue was tabled until the next meeting
after we find out the cost.
ACTION:
Rosie Mogle will generate a list and be the lead in researching the
cost in purchasing name tags.
Yvonne Wu Craig suggested that senate use the money to pay
professional experts to do workshops such as chair yoga or Adobe
Excel. She said it is important to spend money on something everyone
can get.
There was a discussion on putting in a line item in the General Fund
to pay stipends for attending meetings off campus and for mileage
and meals for our SEIU and Senate representatives attending
meetings off campus. It was suggested that there should be a line
item from president’s office budget for these activities.
SEIU Report
Catherine Powell reported that at the next Labor Management
meeting they will ask what the plans are regarding 4/10’s this
summer. They will also ask about the progress on formation of the
bookstore advisory committee. They would also like to bring up how
Job sharing/shadowing will be implemented.
SEIU met last week on the language of the administrator evaluation
form. Both administrators and union representatives are looking at
this form. New language will proposed that is “more friendly” than
that on the original form. SEIU feels there is no need for special
evaluations as they have been misused in the past.
SEIU elections are coming up. Catherine Powell will not run for SEIU
Vice President in the next election. Catherine will also step down as
Staff Development chair in the future.
Committee Reports
Senate considered removing Edna Danaher as representative from the
Academic Policy Council as this is not an active appointment.
ACTI ON:
Gordon Watt will contact Edna Danaher about reporting to the Senate
before removing her name. She may not be aware of this request to
report to the Classified Senate.
Budget Com m ittee
College Council will not be meeting until the new president is in office
COOL Committee
K. Metcalf presented a written report.
ACTION:
K. Metcalf will send a digital copy of the report to Ginger Ripplinger to
be included in the minutes.
Facilities Committee
Gordon Watt reported that building 300 is open for classes. Building
4000 is open. Buildings 1618 and 1620 are basically complete. The
P.E. equipment from building 2900 has been removed temporarily.
Renovation of buildings 1400, 1800 and 1200 is still ongoing.
Nate Moore reported that the traffic signal has been installed on
Hesperian but there is a delay in getting it functioning. Electricity
needs to be installed.
He noted that the PE complex is open at 7:30 in the morning for
exercise. Jeff Drouin sent out special CRN number for faculty and staff
to be able to use the exercise facility.
The class for staff to use the fitness center this Spring 2012 is:
CRN#31773 PHED 2ASC - HC1
You will need to attend an orientation, even if you have taken the class
before. They will be held during the first week of classes, January 17-23.
The times can be found at:
http://www.chabotcollege.edu/PE/FC_orientation%202012.cfm
Nate Moore confirmed that staff can use contractor parking spaces.
Catherine Powell reported that 1200, including the Little Theater, will
not be open until October due to construction.
Nate Moore reiterated that booking conference rooms for outside
agencies or off hours needs to go through Rosie Mogle to prevent
double booking and to make sure necessary departments are
informed.
Gordon Watt reported that the new informational Display screen in
400 is not a touch screen. Information will scroll on the display.
Display monitors will put in all buildings. Administrative Assistants will
be able to put in class cancellations & notices. Mike Seaton will have
Don Fuller train the administrative assistants on how to input display
information.
Staff Development Committee
Flex day is just two weeks from today. The morning session will
include the student voices film. It is Flex Day for classified whether
they go to a session or not.
It was suggested that Staff Development work on creating activities
for classified on Fridays that do not include faculty. A team building
event was suggested. It was suggested that team building activities
could be done at the first part of June and at Classified Appreciation
Week.
Senate needs to bring suggested dates to Administrators to release
staff for staff development activities.
Rosie Mogle reported that there are no days available in May in Event
Center.
Tech Committee
Zarir Mariwala is chairman. The committee has accreditation
recommendations that they have to complete. Need more input from
