Student Services and Support Program (SSSP) Advisory Committee meeting March 17, 2015 2:00 – 3:30pm MINUTES 1. EAP Presentation (Yvonne) Yvonne discuss EAP presentation adapted by Marie DeLeon to Hayward Promise Neighborhood partners. Her purpose of coming to the SSSP group is to determine how to operationalize math/English placement from EAP scores. Handout “Chabot Accepts EAP Scores” provided. Early Assessment Program (EAP) is a program to measure high students’ readiness for college-level English and math in their junior year in high school. The goal of EAP is to have CA high school graduate prepared to take college-level math and English. Chabot does accept EAP scores. Student wishing to use their EAP scores at Chabot must submit official record of scores to Counseling division. Counselor will determine if their EAP score will meet placement in college-level math and/or English. o Math – Accepts EAP scores of “ready” and “conditional ready” into Math 43 and above. However, per group discussion, the word “above” should be change because of other math courses such as Math 31, 37. Student with EAP of “Ready” are placed in MATH 43 and given a prerequisite override per counselor. Student with “Conditional ready”, counselor will review high school transcripts to determine if they meet placement in a college-level math. o English – Accepts EAP English scores of “ready” and “conditional ready into ENGL 1A. The “conditional ready” students must also earn B or higher in ERWC (Early reading Writing Composition) and must submit official high school transcripts. o Michael clarified how to handle EAP scores. If EAP score is “ready”, place in MATH 43 (or MTH 31, 37) and English 1A. If “conditional ready”, take math and/or English assessment. Yvonne suggests to connect with CCSF as they have a protocol on how to capture EAP scores. She explains that CCSF wrote a script that would extract a data file of EAP scores to EXCEL then upload to BANNER. Marie explains how Chabot is approved to data share of EAP score with Hayward Unified School District. EAP scores are one year delayed because most high school student take it in their junior year and suggest to set a process before high school students get to Chabot. Currently, the procedure to review EAP score is to print out official EAP score then see Counseling Division. o Katrin has access to look up EAP scores on a web database. Yvonne would like to convene EAP Implementation Team: Emmanule Lopez, Rachel Ugale, ValJean Dale, Marie DeLeon, Noell Adams, Katrin Field, Cindy Stubblebine, Yvonne Wu Craig. 2. 2014-2015 SSSP Funds – Allocation (ValJean / Matt) Matt discuss 2014-15 SSSP funds by providing budget report accessed through CLASSweb. He gave an overview of YTD balance, expenses and line items. Matt discuss that $2.5M will be coming in for SSSP funding in 2015-16 academic year. Matt suggest positions for SSSP – webmaster, outreach, marketing 3. SEP and Assessment Exemptions – Official Transcript requirement (Stacey M.) Stacey discuss that 20% to 25% SEP/Assessment exemptions does not have official transcripts on file. Mike will remind counselors to make sure that official transcripts are file with Admissions and Records before completing exemption forms. Paulette suggest to also pass on this issue to ValJean. 4. CISOA / 3CBG – Feedback / Report (Paulette / Rachel) Online orientation o Paulette attended online orientation session presented by North Orange Community College. NOCC uses COMEVO as their vendor for online orientation. Thirty-five other colleges use COMEVO as well and positive experience with the vendor and product. COMEVO also provides orientation customizable to special groups such as veterans international. Rachel and Paulette suggest to use an online orientation for new faculty and business services. A feature that Paulette was impressed with is the real time hold release for complete of orientation component for priority registration. o Aside from COMEVO, Rachel found another vendor that delivers online orientation. This company is called Ed2Go. Rachel says that Foothill College is currently using this vendor. Val Jean will contact Foothill College and ask about their experience using this vendor and product for their online orientation. Education Plan o Paulette reports that majority of the community college uses DegreeWorks as it is included in the Banner upgrade with no additional cost. Another college uses Hobsen as an alternative to DegreeWorks. Common Assessment o Rachel attended a session that discuss about common assessment. Currently, 10 schools are piloting Math, ENGL, ESL and will go live in Spring 2016. UNICON is provides the test delivery platform that creates the system while Link Intl. system is the development in test authorization. Student Success Rodeo o Paulette discuss that this session is about GradesFirst, a web-based product similar to SARS that is used by other colleges for sending email and text, counseling appointment, and check-in process. Per group discussion, add MIS code to existing SARS code.
