Administrative Council Meeting Minutes June 29, 2009 Attendees: John Burns, Norman Hopper, Sukant Misra, Steve Fraze, Philip Gipson, Kevin Pond, Alon Kvashny, Eduardo Segarra, Cindy Akers, Tom Thompson, Jane Piercy, Norman Martin, Jeremy Brown 1. Approval of May 18, 2009 Minutes Minutes of the May 18, 2009 meeting were approved. 2. Performance Evaluations/Merits – Dianne Dianne distributed information released by Janet May of Human Resources. The information includes the instructions and requirements for performance evaluations for faculty and staff. Performance evaluations dated June 1, 2008 or after must be on file in Human Resources by July 10, 2009. If merit increases are given, the merit eligibility criteria will include the requirement that employee performance evaluations be administered. The Board of Regents decision for an increase in tuition and fees for FY 2009-2010 will impact merit decisions for September 1, 2009. 3. Items from recent Provost Council – Dr. Burns (hand-out distributed prior to the meeting – 2009 Legislative Session) Dr. Burns reported the university will have a new policy in place for the fall semester of 2010. The policy is a SACS requirement. Faculty will be required to have a complete curriculum vita and course syllabi on the website (http://appserv.itts.ttu.edu/DigitalMeasures) seven days prior to the start of the fall semester of 2010. Dr. Burns reported that all new faculty who will be the “instructor of record” reporting for this fall semester must have official transcripts for both undergraduate and graduate degrees. Dr. Burns reported that President Bailey plans to meet with all the colleges this fall to discuss the budget. Dr. Burns reported the college is still waiting on funds and account numbers for the graduate fellowship funds. Dr. Burns reported that ALL vacant faculty positions should be advertized as assistant/associate/professor positions. For example, if a position is advertized as an assistant professor position, an associate professor cannot be hired. Dr. Burns reported the planning study for the new PSS building is complete. The location of the building has not been determined. 4. A/C Retreat Topics A suggested topic – How to market the college more effectively, not only state-wide, but nationally. How can we broaden publicizing our events and successes? Additional suggestions should be sent to Donna this week. 5. Graduate Faculty Criteria (hand-out) The Graduate School is asking colleges and departments to review criteria used to evaluate faculty for Graduate Faculty membership. Each department should review their criteria. Any changes or addendums should be sent to Dr. Burns or Donna. 6. Advisory Board Terms (hand-out) Administrative Council members were asked to review the member list. Each department will have two representatives and Development will have two representatives. Any additions or changes should be addressed to Dr. Burns. 7. College Committees – due July 10th – reminder 8. Effectively publicizing our events and successes. How do we do it? – Kevin Pond Discussion began. The suggestion was made to use the monthly radio show. The CASNR website and e-newsletter are great venues for publicity. Norman Martin has done a great job with these resources. It is important to inform Norman of any events prior to the event. The suggestion was made to use resources other than just TTU, and not just local resources, but statewide resources. The suggestion was also made for faculty with specific expertise to make personal contacts for future resources. Jeremy Brown reported that the use of Facebook has increased and has been a great resource. Each department has been asked to provide a list of magazines for possible placement of advertisements. Also needed are lists of other venues for advertisement, the cost, what message do we need to give, and what audience to we need to reach. These topics will be discussed at the Administrative Council Retreat. 9. Increasing involvement of students in the development process and in fundraising. (See the Maroon Coats model on the TAMU website.) – Kevin Pond Dr. Pond inquired about the possibility of TTU modeling a similar program. The central development office is not in favor of the program. CASNR may consider a similar program within the college. The suggestion was made to schedule a meeting of all the CASNR recruiters. A list of all past Agri Techsans and Ag Ambassadors would be helpful toward this effort. This information will be another topic for the Administrative Council Retreat. 10. Other Dr. Burns reported the Deans Retreat will have their final meeting this week. The Provost plans to make the Deans Retreat an annual event. Dr. Fraze gave a brief report of students with FFA and 4H Roundup that will be attending TTU in the fall. He also reported that the State Roundup in 2013 may be held at TTU. Dr. Pond reported there will be a beef scouting tour of approximately 250 on campus in October. Dr. Pond announced the Meat Science Academic Quiz Bowl team’s win to become national champions at the Reciprocal Meat Conference. The Reciprocal Meat Conference (RMC) will be here next year. Dr. Pond reported they are in the process of confirming the student national championship team numbers.
