ADMINISTRATIVE ASSISTANT I-CHILD SUPPORT SOCIAL SERVICES GENERAL STATEMENT OF DUTIES Employees in this particular classification will be involved in a variety of administrative functions on assisting a program or administrative official in carrying out a program’s administrative activities. This position requires considerable public contact with the program’s clientele, employees, other departments and the general public in explaining policies and procedures. EXAMPLES OF DUTIES PERFORMED Answers the phone an assist clientele with questions and concerns or transfers the call to the appropriate agent for assistance. Checks all OFA (Orders for Arrest) and Show Causes to ensure the numbers and dates are correct prior to sending them to the Clerk of Court for filing. Interviews Work First applicants, to ensure all the information is gathered to pursue the noncustodial parent(s) for a child support obligation. Inform the WFFA Program if the client provided the needed information. Maintains a log of all orders sent to the Clerk of Court. Maintains a log of all Civil Actions sent to the Clerk of court for service in county and out of county. Maintains a log of all incoming Child Support Applications. Maintain a log of all AOP request sent to Vital Records. Is responsible for all INIT status cases (builds new cases and works all triggers for the establishment staff). Maintains all monthly, Quarterly and Annual reports for the Child Support program Distributes all incoming mail to the appropriate agent daily. Responsible for requesting and picking up offices supplies. Maintains and is responsible for all closed files. RECRUITMENT STANDARDS Possess good communication skills including the ability to write legibly and accurately. Ability to organize work, follows instructions, makes good decisions, achieve unit goals. Proficiency in use of computers, calculator, copy machines, telephones and other office equipment. Ability to abide by rules of confidentiality and be respectful of clients, outside professional partners and coworkers. MINIMUM EDUCATION AND EXPERIENCE Completion of high school or equivalent and four years of progressively responsible secretarial or clerical / administrative / office management experience: or completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical / administrative / office management experience: or completion of a four-year program in a college or university preferably with a major emphasis on coursework in business administration, public administration, or other related field: or an equivalent combination of education and experience.
