WINTHROP UNIVERSITY NOTICE OF JOB VACANCY May 5, 2016 POSITION: PROGRAM ASSISTANT (MASS COMMUNICATION) (Class Code AH30/Program Assistant) BAND: Band 04\Level 02 STARTING SALARY: $27,191 minimum per year; qualifications will determine actual salary VACANCY: #201660 Minimum Training and Experience: High school diploma and two years of secretarial/clerical experience; an associate’s degree in secretarial science or related field; or three years of clerical experience required. Bachelor’s degree preferred. Experience creating and maintaining websites and proficiency using Adobe Suite and Microsoft Word, Excel and PowerPoint for PC and Mac highly desired. Basic bookkeeping experience helpful. Knowledge, Skills and Abilities: Knowledge of the policies and practices of office management. Ability to exercise mature judgment in dealing with confidential information/situations. Ability to effectively manage multiple tasks simultaneously. Ability to prepare correspondence, spreadsheets and maintain files with minimal errors. Knowledge of grammatical rules, language usage and spelling. Knowledge of budgeting processes and ability to monitor and maintain budgets and perform basic bookkeeping functions. Ability to establish and maintain effective working relationships with faculty, staff, students and the general public. Ability to communicate effectively, both verbally and in writing. Major Duties: Reporting to the Department Chair of Mass Communication, the Program Assistant provides administrative support for a large academic department by assisting with the planning, coordination and execution of nearly all department activities. The Program Assistant interacts with students, faculty and institutional administration on a daily basis to ensure smooth delivery of department programs. Performs administrative and secretarial duties for the chair and faculty of the Mass Communication Department: creates administrative and professional correspondence, spreadsheets, forms and reports with accuracy and speed using both Mac and PC platforms. Assists with production, duplication and storage of tests and class materials, professional and research papers, questionnaires, grant proposals, forms, purchase requisitions and reports; may assist with book orders. Takes and maintains minutes for department meetings. Monitors and maintains various department budgets and accounts; reconciles monthly purchases; and processes expenses. Orders and maintains an inventory of department equipment and teaching, office and classroom supplies. Maintains checkout system for student use of video and audio equipment and accessories. Keeps records of scheduling and use of camera and audio equipment, video editing rooms and audio studio. Responsible for department security measures, including locking labs and classrooms at the end of each day, activating the security system, correcting alarm and security system problems, and issuing and safekeeping keys. Interviews, schedules, trains and supervises student lab and office assistants and approves time sheets. Maintains files on all majors; retrieves and analyzes data for reports. Checks eligibility for restricted-registration classes (internships), maintains records, and serves as liaison for related Worker's Compensation claims to ensure all prerequisites are met. Schedules and coordinates grading of department writing exam and maintains student, administrative and budget records and class information. Serves as receptionist and general hub of communication by answering department telephone calls, routing mail and messages, and scheduling appointments. Takes a major role in event planning. Makes plans for class visitors and workshops by reserving space for meetings, planning parking, ordering refreshments, and printing forms and agendas. Arranges tours for prospective students and parents. Helps maintain the department website. Assists faculty with mailings and other research activities. Performs other related duties as required.
