The Policy and Procedures Manual was reviewed and updated. Any of the procedures that pertain to the juvenile facilities can be eliminated. Fran distributed a list of these procedures. Facilities need to keep the old procedures manual for CEA monitoring purposes. Everyone is to review these and make any suggestions of additions that need to be made. Some that need updated are Travel (add “use state rates when staying overnight and use National Travel at all times when making airline reservations) and Personnel Selection Procedures. Need to add one about AMEIS tracking – assigned to Kari. Since the new GED is computer based need to add language concerning vouchers, voluntary no shows, inmates in segregation. Kari is working with a committee for a Parenting curriculum. Jacob requested that each facility send him a prioritized list of projects that will need additional funding. WIN should be the number one priority on everyone’s list. List items that you will need to have in order to continue a program or things you many run out of and need to purchase before the end of the year. Put a dollar amount with each item. This needs to be submitted by September 28th. Duane reported on the changes that are being made to the purchasing procedures. In October 2013 the new purchasing system is scheduled to begin. There needs to be something in policy and procedures concerning fixed assets and the responsibility of new hires who are inheriting equipment. When you request quotes make sure that they vendor puts that the bid will be good for 90 days. That will cut down on extra work in the event that the purchase order is held up for some reason. Watch your budgets – in order to cut down on the number of computer cartridges that you have to purchase, get the computers on the network so you can print to the copier. If you need they connected, put in a work order to Gary and he will take care of it as soon as he can. We will no longer be able to have quarterly face to face principals meetings. The meeting in December will be done by way of a webinar. The March meeting will be held in Charleston at John XXIII on February 28-March 1, 2013. The overnight rooms will be at the Hampton Inn at Southridge.
