Next Meeting:

April 7, 2015 at 10:30am

This meeting will be WebX. As you sign in it may help others if you put your commission in parentheses so everyone knows which commission we represent. Once you enter your name and email you can enter your phone number and then you receive a phone call (instead of you having to dial in). If you are not at a computer there is a number to call in.

Meeting Notes:

Agenda:

Intent Proposal o Review and discuss system feedback (proposal was sent as well as some system feedback received.) o Vote on existing Intent Proposal o Determine next steps

Discuss forming an adhoc workgroup to create a proposal on data classifications at the college level. (data warehouse classification document attached as a starting point) o What commission “owns” this work? o Determine next steps

Update on Time Location work o How do colleges use codes 5 thru 0?

Notes:

Intent Proposal o Review and discuss system feedback

 M intent – Everett does not need to use M intent

 Green River – has G/M intent questions re fin aid

 Skagit – how to code prerequisite seeking students who plan to transfer. They are non award seeking. There are colleges with “collaborative studies” where they start a CTE program at one college (prereqs) and transfer to another. So

Clark’s suggestion of B intent does not work.

 How to code exploratory students. Possibly keep X intent. Susan suggested stay with B and F intent with a exploring code. Exploring is a more positive word than undeclared. Would SBCTC create an exploratory CTE code.

 Guides pathways has many colleges wondering about coding because we are not very far along the pathway discussion.

 Carmen suggested that we take the exploratory conversation out of the intent discussion for now. Finish refining the current definitions. Then take up discussion of exploring.

 Discussion about FLPC coding for student parents. These should be L intent.

 Carmen wants to have more examples in the documentation.

2 DGC Meeting 3/3/2016

 Marshall @ Green River, workforce education – feel like they need M intent due to financial aid. o Concerns about BAS degrees – those that are a 2+2 program. Non matriculated students in upper division courses – how to code these? Students who are allowed to take a 300 level course to fulfill some of AA degree (Bellevue does this). So BAS programs are operating in different ways across the state. Need a BAS representative for the workgroup. CBC or Bellevue BAS director would be good – they have a Director’s

Group. o Answering Questions

 Just stop using codes, no need to cleanup codes

 Conversion will work ok – this will be part of the conversion coding. These are no drastic changes to coding – this is really about better defining codes.

 Applies to both the Stu_d and stu_yrq_m. o Want fin aid to have a discussion and be involved. o But we need SBCTC to be involved and work with Dept of Ed and get a final ruling that can then be used by all Financial Aid Directors. o Not ready for a vote on existing Intent Proposal o Determine next steps

Discuss forming an adhoc workgroup to create a proposal on data classifications at the college level. (data warehouse classification document attached as a starting point) o Carmen showed Office of the CIO policy and data classifications. o Wants a workgroup to focus at college level and focus on people soft data o Security Council has been formed at ITC. o What commission “owns” this work? o Determine next steps o Consistent level of data classifications needed for PeopleSoft. Make sure 1 st link involved. o Linda – revised report being released this afternoon re chart of accounts. They are accommodating Tacoma. March 14-17 th 4 day workgroup. o Brandon wants to make sure we are ahead of the implementations. o Standardized system level data sharing agreements o Better sharing of information about systems being explored. o IT security; RPC; PS security officers all need to be involved o Focus on PS – reps from each pillar o Brandon will start this process

Update on Time Location work o How do colleges use codes 5 thru 0?

Data Governors to do:
