Civil Service Employees Council MINUTES Thursday, April 2, 2015 @ 1:15 pm in the President’s Conference Room Present – Neal Thurman, Robert O’Bear, Tammy Klinedinst, Karen Trusley, Alison Shook, Steve Whan, Wendi Mattson, Alisha Looney, Butch Smith, Chris Staley, Debbie Collins, Stacy Dorethy, Connie Lincoln Non-voting members: Julie DeWees, Pam Bowman Absent – Heather McMeekan, Gail Ault Non-voting members: Peter Skrypkun I. Director of Human Resources (Pam Bowman) – Pam mentioned Service Recognition Reception will be held on April 28th. Social hour will begin at 6:30 pm, with the actual recognition beginning at 7:00 pm. 320 employees with 10-35 years of service will be recognized. She mentioned that a sub-committee of the merit board has been formed to re-evaluate the state audit process. II. Vice President for Administrative Services Report (Julie DeWees) – Julie mentioned that we have a 2.25% reduction in our budget for the current fiscal year. Nothing is definite for next year, but we are currently looking at alternative plans to adjust to any budget deficit we will face. III. Group Concerns – a. Next meeting date – May 21st at 1:15 pm in the President’s Conference Room was decided upon. b. Luncheon budget – Stacy Dorethy motioned to approve a $750 budget for the Spring Luncheon, Butch Smith seconded. All approved. IV. March Minutes (Connie Lincoln) a. Motion to approve: Karen Trusley b. Seconded by: Steve Whan i. All approved. V. March Treasurer’s Report (Stacy Dorethy) – Wendi will be sending Thank-You’s to those who contributed. It was suggested we consider doing a membership drive. 1. Motion to approve Treasurer’s Report: Alisha Looney 2. Seconded by: Alison Shook a. All approved, motion carries. VI. President’s Report (Wendi Mattson) – Report was distributed via email on March 26th. Contact Wendi via email for a copy of the report. VII. Civil Service Employee of the Month (Alisha Looney) – a. A motion was made to purchase another 12 plaques: Stacy Dorethy Motioned to approve and Alison Shook seconded the motion. b. Heidi Ausbury is the April Employee of the Month. Her presentation will be on April 9th at 10:30 in the Hall of Fame Room in Western Hall. VIII. Employee Advisory Committee Representative (Peter Skrypkun) – absent IX. WIU Quad Cities Campus Report (Alison Shook) – a. They are adding a bike repair station by the bike path. b. Imagination Station went very well. Next year they will be increasing the admission numbers by 1.5. X. Representative Reports to Council a. Affirmative Action Internship Committee (Butch Smith) – 2 very good candidates were interviewed and currently going through the next steps. b. University Diversity Council (Karen Trusley) – still in final phase of campus climate survey c. Website and IT Issues (Connie Lincoln) – working on updating minutes, agendas, reports & donation lists d. Training and Development (Gail Ault) – absent XI. Committee Reports a. Policy & Appeals (Christine Staley) – no report b. Awards and Selection (Alison Shook) – as of April 1st we had 0 scholarship applicants. Deadline is 3 pm on April 17th. c. Constitution/Election (Butch Smith) – i. Proposed changes on handout. (Email Butch if you would like to have an electronic version of the changes he is proposing). If you have any suggestions and/or comments to make regarding the changes, please email them to Butch. ii. For our current election we currently only have three submissions. d. Luncheon is set for May 7th from 11:30-1:00 pm in the Mac Gym at the Campus Rec Center f. Mentoring (Connie Lincoln) – i.
