Student Recruiting Guidelines and Expectations, July 2015
Introduction
The Career Services office at the University of Wisconsin – Stout’s mission is to assist students and alumni to develop
lifelong skills needed to find rewarding and gainful Co-ops and professional employment by partnering with employers
and faculty/staff. These guidelines support this mission by outlining student expectations during recruitment.
Playing Fair: Student Job Seeker Rights and Responsibilities (NACE article)
UW-Stout Career Services adheres to the National Association of Colleges and Employers (NACE) Principles of
Professional Practice. As students and job seekers, these principles guarantee:
• Students can openly, freely, and objectively select employment opportunities, making these choices based on their
assessment of the best use of their abilities, their personal goals, and other pertinent facts;
• A recruitment process that is fair and equitable to students and employers alike;
• Support for informed and responsible decision making by students.

Professionalism
Students are expected to act ethically and professionally in all recruiting functions and processes. Expectations include
appropriate dress, ethical and mature behavior and timely communications throughout a Co-op and job search.
Co-op Program
Students accepting UW-Stout Co-op positions are required to register for the Co-op course (xxx-x49). The following
positions are considered UW-Stout Co-ops:
• Positions posted on CareerLink within the Co-op vacancy list;
• Co-op positions recruited through the On-Campus Interview program;
• All Co-op opportunities at the Career Conferences geared toward students still enrolled in academic courses.
After accepting a Co-op position, contact Career Services to complete the Co-op registration process. As a reminder,
students who use university resources to secure a co-op position MUST register. Failure to do so will impede the
ability of other students to participate in the co-op program, fulfill academic requirements and can lead to additional

Career Conferences
Career Conferences promote opportunities for employers and students to network. The employers attending are
recruiting for professional level and/or co-op positions only. Students who secure Co-op positions through Career
Conferences are expected to register for the Co-op Program.
On-Campus Interviewing Program (OCI)
On-Campus Interviews are conducted through Career Services. Below are guidelines and expectations for students:
• Show up for the interview. Employers and Career Services expect that students will follow through with the meeting.
Failure to show up reflects negatively on you, your program, your faculty and your university;
• Dress professionally, show up on time, and know the location of the interview;
• Manage schedules accordingly; when interviewing with multiple employers, make sure to not overlap;
• Interview only for interested positions; “practice” interviewing is not allowed. It is unethical and unprofessional;
• To reschedule an interview time, please notify Career Services or the employer as soon as possible.
Cancellation Policy
UW-Stout Career Services requests students to provide a minimum of a 48 hour notice if they are unable to participate in
on-campus interviews. *This does not apply to same/next day interviews scheduled at the Career Conferences.
Confidentiality Policy
All materials via email or hard copy submitted by students (letters, resumes, transcripts, portfolio images and artwork, etc.) will
be shared only with those persons at the organization involved in the hiring process.

Offers
Offer Expectation
UW-Stout Career Services recognizes that employers have certain constraints in the flexibility they have to accommodate student
needs. However, we ask employers to refrain from exerting undue pressure on students by making offers with unreasonable
time limits or imposing time-sensitive penalties. We believe students should have the opportunity to explore options to make
responsible and well-informed decisions about employment offers. We want employers to hire the best candidates and students
to obtain the best opportunities.
Excessively Pressured Offer
Not all employment offers fit into this category. If a student receives an offer that meets their goals, then it is okay to accept the
offer. But if an offer is causing undue/excessive stress, leaving students with unanswered questions about the offer, or pressuring
students into making a decision too quickly, Career Services will help.

Reneging on an Co-op/Job Offer
Students who accept a position, verbally or in writing, have a responsibility to follow through with their agreement to the
offering employer. Students need to know that reneging on an offer can lead to negative consequences. UW-Stout Career
Services encourages students to seriously consider consequences and alternatives before accepting an offer of employment.

Timely Communication
Students are expected to communicate with employers during the recruitment process in a timely manner, including accepting/
declining an interview or an offer, requesting more time to decide or discussing other needs in the recruiting process. Also,
students are expected to notify employers as soon as possible if they are no longer interested in employment or have accepted
another offer for employment.
Consequences
Violations of UW-Stout Career Services Student Recruiting Guidelines, failure to act professionally in the recruiting process,
failure to follow Co-op, OCI or Reneging Offer guidelines may result in loss of UW-Stout recruiting privileges for a minimum of 1
year. *Determinations will be made by the Director of Career Services.

Cooperative Education at the University of Wisconsin-Stout is part of a nationwide university program that integrates careerrelated work experience with academic course work. UW-Stout’s Cooperative Education Program is centrally coordinated through
the Career Services office in cooperation with the academic departments of the university.
The Co-op program supports UW-Stout’s polytechnic designation by providing students the opportunity to experience an
active and applied focus on learning in their professional field. The success of the Co-op program is based on a framework of
collaborative partnerships between employers, students and the university.
Co-op Program Offer and Registration Requirements
**Students who accept UW-Stout Co-op positions are required to register for the Co-op course (xxx-x49).**
The following positions are considered UW-Stout Co-ops:
• Positions posted on CareerLink within the Co-op vacancy list;
• Co-op positions recruited through the On-Campus Interview program;
• All opportunities at the Career Conferences geared towards students still enrolled in academic courses are considered Coops.
**Students who use university resources to secure a Co-op position MUST register for the Co-op course (xxx-x49).**
A list of university resources include but are not limited to:
• UW-Stout Career Services; Office, Staff and Resources (Online and Print)
• CareerLink system – Co-op Vacancy List
• On-Campus Interviewing Program
• Career Conferences
• University facilities
After accepting a Co-op position, students should contact Career Services to complete the Co-op course registration process.
Registration should be complete prior to starting the Co-op position. Co-op credit is never awarded as “back credit” for prior
positions. Students are required to be registered in the Co-op course while working in an approved position.
• Failure to register a Co-op position can have negative impacts, such as:
• Impede the student’s ability to register for the future semesters of Co-op. Registration is required each semester of the Coop position. Failure to register for all semesters of the position limits access to future enrollment. (I.e. position 5/15 – 12/15
requires summer and fall Co-op registration)
• Impede the ability of other students to participate in the Co-op program
• Unable to obtain academic credit; thus, failing to fulfill graduation requirements
• Failure to meet our employer’s expectations of registration to maintain university partnership
• Career Services office is not permitted to advocate on the student’s behalf when issues arise
• Neglect professional development opportunities that Co-op provides through structured evaluations, reflective writing and
goal setting requirements
• Unable to qualify for “Full Time” student status (potential impact to financial aid and insurance coverage)
• Miss out a chance to be recognized for the “Co-op Student of the Year” award

CAREER SERVICES OFFICE | CO-OP/JOB OFFER RENEGING POLICY
The Career Services office at UW-Stout is committed to providing both students and employers the opportunity to connect. We want
employers to hire the best candidates and our students to obtain the best opportunities. Through the CareerLink system, On-campus
Interviewing Program and Career Conferences, students and employers can make connections and explore professional and Co-op
opportunities.
In the event that an employer makes an offer of a professional position or Co-op, the Career Services office at UW-Stout expects students to
honor their commitments by enforcing the Co-op/Job offer reneging policy. All positions advertised via CareerLink (Professional and Co-op
vacancy lists), On-campus Interviews, and the Career Conference will be protected by the reneging policy.
Accepting a job offer is a major professional commitment and a professional achievement. Students who have accepted a position
(Professional or Co-op), verbally or in writing, have a responsibility to follow through with their agreement with the offering employer.
After accepting a position (Professional or Co-op), it is ethical behavior to cancel any and all interviews, notify companies pursuing you, and
refrain from pursuing other positons. It is unethical behavior to continue to search, apply and/or interview with other potential employers.
The Career Services office at UW-Stout will not support a renege situation on a student’s part and encourages students to
seriously consider consequences and alternatives before accepting an offer of employment.
RENEGING IMPLICATIONS:

Students need to know that reneging on an offer may lead to negative consequences, such as:
•
Impact their professional image
•
Impact their academic program and faculty
•
Impact employer relationships with UW-Stout, the Career Services office and Co-op Program
•
Impact recruitment opportunities for future UW-Stout students
CO-OP/JOB OFFER RENEGE POLICY:
Students found to have reneged on an offer will receive an email from Career Services outlining student’s expectations and potential impact
from the decision. A copy may also be sent to the students Program Director and Career Services Director. Also, a note will be recorded in
the students’ CareerLink account. Students who have reneged on an offer or are found to have a history of reneging on offers may receive
a suspension of campus interviewing privileges and future referrals of their resumes to employers. *Determinations will be made by the
Director of Career Services.

Cancellation and No-Show Policy
CANCELLATION POLICY:
Cancellation of a campus interview must be done at least 48 hours prior to an interview. Cancellations made less than 48 hours
prior to an interview must be approved by a Career Services counselor or designated staff member to avoid becoming a “no
show.” Telephone 715-232-1601 or stop in the office at 103 Administration Building to inform us immediately if such a situation
arises.
CANCELLATION POLICY FOR CAREER CONFERENCE INTERVIEWS:
Cancellation of a career conference interview must be done by calling the Career Services office at 715-232-1601 to schedule an
appointment with a counselor. An apology letter will still be expected for any career conference interview cancellations.
NO SHOW POLICY:
One missed campus or employment interview by any candidate is considered a “no show”. Students who “no show” must
schedule a meeting with a Career Services counselor within 24 hours (business days) of the interview to review a draft of their
apology letter (Career Services Office: 715-232-1601). The student should bring a paper copy of this letter addressed to the
company recruiter to the meeting with their counselor. The counselor will review and make any corrections or suggestions to
the content of the letter, assuring it represents the student, academic program and university well. Once the letter is approved
by the counselor, the apology letter will be sent by Career Services to the recruiter, forwarding a copy to the student’s program
director. The Career Services office will retain a copy. If this policy is not met by the student, it will result in suspension of
campus interviewing privileges and future referrals of their resumes to employers.
APPEALS PROCESS:
Appeals should be presented to the Director of Career Services. To schedule an appointment with the Director of Career
Services, call 715-232-1601.
