Math Department Minutes 3/8/16 March 8, 2016 The main items were the following: 1 Approval of the following computer competency requirement for grad students Students should successfully complete one of Math 5480, Math 5650, Math 5670, Math 3670/5900 This requirement may be waived by the Grad Chair provided a student has prior extensive computing experience. Knowledge of a computer language such as MATLAB is required to complete the above requirement. Students needing a refresher are strongly encouraged to take a lower level course such as Math 2650. 2 The following voting procedures for the 2016 instructor hiring were adopted. Motion 1: The math department faculty participate in the selection of the candidates in the following way. Faculty members review, on voluntary basis, the applications available on mathjobs. Every faculty member can add a candidate to the mathjobs January 7 Long List . The Search Committee will not be able to see who added which candidate to the long list. Therefore, it is essential that the faculty enter their comments on the candidates they support in the INST (institution) field, to identify themselves as the ones who added the candidate to the long list. The Search Committee will then narrow down the long list to a medium list. If a candidate was added to a long list by two or more faculty members and that fact is reflected by the comments in the INST field, it is very likely that the candidate will be on the medium list. Every faculty member can add candidates to a long list on mathjobs, but will refrain from removing candidates from the long list. Only Search Committee members will be adding candidates to the medium list on mathjobs. The Search Committee will mark the candidates on the medium list on mathjobs soon after the March 31 committee meeting. The faculty will review the applications on the medium list prior to the April 5 department meeting. If a faculty wishes to add a candidate to the medium list, they must e-mail the name of that candidate to the Search Committee chair by noon on April 4. Motion 2: The department will meet to determine the short list (a ranked list of candidates). All voting members are expected to attend; voting will be done by secret ballot during the meeting. In the case that someone who otherwise wishes to participate in the process cannot attend, they can cast their Round 1 vote by an e-mail to Emanuelita, at least one hour prior to the beginning of the department meeting. E-mail votes submitted after this deadline will not be counted. Two-round vote. In Round 1 of voting taken at the very beginning of the meeting each voting member will cast a vote for the voters top 6 candidates. If a candidate receives either 0 or 1 or 2 votes, then that candidates name is eliminated from the list. Following the Round 1 vote, the department will discuss the candidates on this shortened medium list. In Round 2, each voting member casts one vote using a 6/5/4/3/2/1 point system; each voter must cast a ballot listing six candidates with 6 for highest preference and 1 for lowest preference. Ballots on which this procedure is not followed will not be counted. Only the voting members present at the department meeting will be able to cast this vote. The ballots will be used to produce a combined ranking of the candidates. The candidates with the higher total number of points will have higher ranking. In case n candidates receive the same number of points and are high enough on the combined ranking list for this to influence the possibility of their on campus interview, an additional vote will be cast to determine the ranking of these n candidates. Only the voting members present at the department meeting will be able to cast this vote. The voting department members will be asked to cast a ballot using the n/(n-1)/.../1 point system, with n for the highest preference and 1 for lowest preference. Ballots on which this procedure is not followed will not be counted. The n candidates will then be ranked according to the points they scored during this round; the more points, the higher the ranking.? The top five to six candidates on the combined ranking list will then be invited for an on campus interview. In case an invitation is not accepted, the next candidate on the list will be invited.
