Camp Community College Position # W0302 - Part Time Position (29 hours per week) No Benefits Administrative Assistant, with limited book-keeping responsibilities Franklin Campus This position reports to the Vice President of Institutional Advancement. The position is responsible for providing high level administrative support, and limited book-keeping support, to the VP of Institutional Advancement. Will provide information about program and services, events, publications and other program business to callers & visitors; prepare correspondence for senior staff as needed; and, perform other IA office duties, as requested by VP. Will compile, compose, and edit correspondence; complete mail merge letters; prepare & submit purchase requisitions; recommend purchases; work & communicate well with all levels of internal management and staff, as well as outside clients; maintain calendar for VP and ensures that information is readily available; update tasks to ensure progress to deadlines; assures discreet handling of all department business. The position will assist with the maintenance of financial and scholarship records associated with PDCCC’s Foundation and the Office of Institutional Advancement. The position will track financial donations and scholarships using Microsoft Excel and other necessary software such as Sage and Quick Books. Training will be provided for new software options. Position will assist as needed in maintaining appropriate records, recording the receipt of donations, revenues, other revenue, scholarship disbursements and other appropriate expenditures. Retain & develop the schedule of retention and disposal, and dispose of program records in accordance with the Library of Virginia Records Retention and Disposition Schedules for State Agencies. Arrange meetings to include determining a suitable location and notifying attendees; reserve needed AV, computer equipment; and, prepare photocopies as needed. Education: Associate’s degree in Administrative Services, Business, Finance, Accounting or related field and/or equivalent combination of education and experience required. Knowledge, Skills and Abilities: Thorough knowledge of personal computers in a Windows-based environment required. Thorough knowledge of word processing, spreadsheet, database, data extraction, and presentation software required. Microsoft Office preferred. Demonstrated ability to communicate (oral & written) effectively. Strong interpersonal communication skills, working with diverse populations. 1 Ability to communicate effectively. Ability to manage projects independently. Ability to manage simultaneous, important, and complex taskings. Demonstrated organizational skills, particularly in filing and setting work priorities. Public relations skills and the ability to work in a team environment. Ability to work without supervision and meet deadlines, follow instructions and cooperate with administration. Ability to maintain confidentiality, organize tasks and prioritize. Ability to work some evenings and weekends, and to travel occasionally overnight. Knowledge of proper business etiquette and protocol Demonstrates ability to work under pressure Ability to meet and assist the public.
