The PSA Program Delivery unit is responsible for planning, development, delivery and evaluation of all programs, providing ongoing quality improvement in pharmacy practice by assisting the profession to achieve and maintain high standards of professional excellence. These programs include continuing professional development (CPD) and practice support, vocational education training (VET), the Intern Training Program (ITP) and the Self Care program. CPD and practice support aims to provide pharmacists the ability to maintain and improve knowledge, skills and competence. ITP aims to equip and motivate the next generation of pharmacy professionals to be leaders with the Graduate Certificate in Applied Pharmacy Practice embedded seamlessly into the program. VET comprises qualifications to up skill pharmacists and pharmacy assistants to enhance themselves, their careers and their businesses. Self Care supports community pharmacies through educational resources and tools for the pharmacy team and consumers to build an innovative business practice. All activities undergo a high level of quality assurance to ensure accreditation by the Australian Skills Quality Authority and/or Australian Pharmacy Council and where indicated, are approved to meet Quality Care Pharmacy Program training requirements. Job Specification The Program Officer role is a full time position based in Canberra, Australian Capital Territory. The position reports to the Program Delivery Manager. The role is to provide administrative and program support to the Program Delivery unit under the direction of the Program Delivery Manager. This includes providing project administration, service support to PSA members, branches and programs, responding personally to inquiries, resolving problems, materials management, and maintaining records. DUTIES AND RESPONSIBILITIES 1. Undertake administration processes in relation to the Program Delivery unit. 2. Assist the Program Deliver Manager with scheduling the development, distribution and evaluation of Program Delivery resources on time and within budget. 3. Assist in the production and distribution of program and other related materials to PSA branches, members, and non-members either in print form, online or electronically. 4. Assist with the development and updating of forms, templates, documents, policies and procedures. 5. Understand program-related issues and suggest methods to assist in minimising program churn. 6. Participate in outbound marketing campaigns, including outbound calling of PSA members and targeted lists to promote PSA products and services. 7. Contribute to the maintenance of accurate and up-to-date records in PSA databases, including adjusting errors to ensure operational efficiency. 8. Complete all nomination application documents accurately for international interns to ensure that only genuine applicants who meet the requirements of the Training and Research Visa (Subclass 402) are nominated by the PSA. 9. Track the lifecycle of each nomination and visa application and submit reports to PSA management and the Department in accordance with the Training and Research Sponsorship arrangement. 10. Communicate regularly with sponsored international interns to ensure that our records are updated to reflect any changes in circumstances, such as a change of contact details, immigration status or an intern’s departure from Australia, and advise the Department in accordance with the Training and Research Sponsorship arrangement. 11. Provide basic immigration advice to prospective and sponsored international interns on the sponsorship arrangement with appropriate referral to the Department as required. 12. Notify the Executive Director, Program Delivery of all interns who are “at risk” of failing to meet their visa requirements under the trainee stream (Subclass 402 Visa) and agree to appropriate action. 13. Contribute to the development and update of immigration related information for prospective international interns provided via the PSA website and in printed publications. 14. Perform other duties as required. SELECTION CRITERIA, QUALIFICATIONS AND REQUIREMENTS 1. Experience in program administration, preferably in an education or health services environment. 2. Strong customer service orientation with excellent communication skills (both oral and written). 3. Excellent telephone manner, with a natural ability to build rapport at all levels. 4. High level of accuracy and attention to detail in clerical tasks and systematic work practices. 5. Well developed organisational and time management skills, with the ability to multitask a wide range of activities. 6. Well developed computer skills including knowledge of complex database queries and customer management systems, and Microsoft Office products such as Outlook, Word and Excel. 7.
