Job Title: Membership Relations Director
Reports To: Chief Executive Officer
FLSA Status: Exempt/Full Time
Job Summary:
 Staffs all membership activities of the Chamber and coordinates membership
maintenance and retention programs. Responsible for the sale of and enrollment of
new memberships to meet growth objectives. Takes lead role in Chamber collection
and retention programs.
PERFORMANCE RESPONSIBILITIES:
 Develop excellent knowledge of Chamber member benefits in order to understand and
address member’s needs.
 Manage all aspects of membership retention plan, including retention calls and
outreach.
 Coordinate new member on-boarding process, including coordinating Member
Orientation.
 Manage volunteer Membership Committee, CEO Peer Advisory Program
 Coordinate and manage events such as: Governor’s Small Business Showcase, Biz Tech
and Fiesta Celebration (in conjunction with key staff)
 Prepare retention and other reports.
 Develop expertise in using membership database.
 Represent Chamber at events, as assigned.
 Report regularly and work directly with the CEO n all activities relating to the roles as
the Membership Relations Director.
 Recruit new members for the Chamber.
 Recruit new members for the membership committee.
 Sell advertising and coordinate annual billings for renewal of space for outdoor
billboard.
 Assist in developing new programs that will assure the retention of members.
 Coordinate quarterly new member orientations.

Monitor new member packets and supplies.
Develop prospect database for membership in SBA.
Coordinate monthly Business After-Hours receptions.
Assist with answering phones and greeting customers at the Chamber.
Maintain and update area demographics information.
Provide support to other staff in developing flyers and brochures.
Maintain committee lists under your area of responsibility.
Prepare meeting notices for your committees and give to
All other duties as assigned.
The Membership Relations Director is responsible for the following items:
 Membership sales and retention efforts, marketing and promoting member services and
benefits, and assisting the President/CEO in meeting the organization’s short term and
long range membership goals and objectives.
 To serve as the first point of contact after a new member has joined the El Paso Hispanic
Chamber and to transition them into the activities of the Chamber.
 To act as the key contact for membership retention and membership awareness.
 Follow-up and call on members who have gone 60-days past due.
 Keep current and detailed membership records on calls, contacts, and appointments.
 Weekly meetings with the President/CEO to discuss membership and retention
progress.
 Attend and assist as needed with all Chamber fundraising, programs, after hour events
and committee meetings.
 Arrange for and provide setup support tables at evening Mixer events.
 Prepare a monthly membership report (New Members and Drops) for board of directors
meetings.

 Organize quarterly New Member Orientations.
 Obtain monthly business license list from City of El Paso and leverage towards
prospecting potential new members.
 When possible, conduct membership sales meeting at the Chamber office.
 Provide information resources to other Chamber staff members
 Fulfill other duties as assigned by the President/CEO.
Performance Indicators:
Exceptional sales and marketing abilities, including cold-calling:
 Membership goals are met or exceeded. (Goals of nine (9) new members per month)
 Membership reports are current and accurate.
Office morale is positive and staff functions as a team.
Required Skilled Sets:
 Self-motivated; outstanding customer service attitude; excellent communications and
interpersonal skills.
Strong organization and time management skills.
Ability to work independently and as a team member.
 Good knowledge of the El Paso business community.
 Computer literacy in PC based programs (word, excel, power point, and publisher).
Knowledge, Skills and Abilities:





Confident and enthusiastic and critical thinking skills.
Experience in customer service, preferably in a membership organization.
Ability to communicate effectively, both orally and in writing.
Excellent telephone skills with a thorough knowledge of telephone etiquette.
Ability to create a positive impression of the Chamber while responding to members
either by telephone or in person.

Minimum Qualifications and Education Required:
 High School Diploma required, Bachelors degree preferred.
 5 Years of experience in Chamber or related field.
 Must be able to get along with co-workers and work effectively in a team environment.
 Must possess a strong ability to reason quickly and be able to shift attention to priority
situations as necessary: must be able to reason and interact with other staff members
and members to assist in the timely problem solution process.

 Recommend new hires in department as needed, supervise & evaluate.

Develop strategies to produce revenue.
Recruit new members through an organized program.
Retain existing members through an organized program.
Create sponsorship opportunities.
Supervise advertising sales.
Supervise the collection process and collect delinquent accounts.
Identify and implement non-dues revenue programs.
Administration




Evaluate the dues structure regularly.
Conduct new member’s orientation at least quarterly.
Enter and maintain current member data.
Survey members periodically

Membership

 Ground breakings
• Organize and conduct business networking events.
• Organize events to showcase members:
• Initiate and organize business seminars that provide value to members.
• Collaborate on the production of chamber online’s and website.
• Collaborate on other projects as requested.
Administration:
1. The Membership Relations Director will report to and meet regularly with the
President/CEO.
2. It is essential that professional sales ethics will be used by the Membership Relations
Director.
3. Misrepresentation, undo pressure, or high-pressure sales techniques are not consistent
with the Chambers membership sales philosophy.
4. The Membership Relations Director will participate in weekly staff meetings and keep staff
informed of his/her daily schedule.
Hours, Salary, and Benefits:
1. The Membership Relations Director is a full-time salaried position.
2. Annual Salary – $30,000 to $40,000.
3. Mileage will be reimbursed per month.

4. Commission on new membership sales, sponsors, and retention of members who are 60days past due.
5. If membership goals are met, commission potential could reach in excess of $700 per
month.
6. Two-weeks paid vacation (accessible after 1-year of work with the EPHCC)
7. Sick time (Accruement begins after 90-day probationary period).
8. Professional Development on the job and state and national trainings as budget allows.
Commission:
Commission will be paid upon the actual cash amount of dues received by the
Chamber. All membership dues must be paid in full with the completed membership
application.
Commission will be paid on a monthly basis based on all membership dues received with full
payment by the end of the previous month. (Octobers total membership sales commission
would be paid on the first pay period).
Membership Sales Commission Schedule:
The Chamber will pay 5% commission on the first time new business memberships.
Commissions are not paid on administrative processing fees.
The Chamber will pay 5% commission on all 90-day past due business members assigned to
and collected by the Membership Relations Director.
Commission Credit:
Commission will be paid on new business member sales (New members are defined as not
having been member of the EPHCC within the last 12 months).
New member applications must be completed in their entirety to receive commission.

Weekly membership reports must be completed and submitted to the President/CEO
Additional Requirements:
 Will perform other duties as assigned from time to time by the CEO.
 Will work with other Chamber staff as a team player.
 Will be familiar with, and abide by, the policies and procedures as set forth by the Board
of Directors of the El Paso Hispanic Chamber of Commerce.
Environmental and Physical Requirements:
 Must be able to work a non-traditional schedule
 May be required to stand or walk for extended periods
 Must be able to lift 35 pounds
