Dear Members
Welcome once again to your Rally book for 2016. I have tried once again to incorporate a varied programme to cater for all tastes,
and at your request, more 5 day Rallies. I am delighted to welcome Barry Scriven to Committee, who has now taken over the position
of Rally Secretary. So please give him your support and ideas.
My grateful thanks to John Couzens for his hard work last year, unfortunately due to failing health, had to step down. Please welcome
our new committee members Mr. Bob Steele, Mr. Ron Juett, Mr. John Godfrey and Mrs. Jan Chatfield; and despite her retirement, Sue
Stoner has graciously returned to being Treasurer, she will be assisted by Mr. Tim Howlett.
We sadly have lost some 6 members and past members this year, but their fond memories will, I am sure, remain with us.
Alf Harvey and Tony Crawford will remain your reps for Division, and I will continue with Southern Centre’s, assisted by Tim and Cheryl
Howlett.
Penny will continue being our Flower lady and Rally Kit advisor, and Sue will continue with the News Letter. Thank you ladies…
Our preparations for the 2500th Rally are on schedule, and various other Centre Members have already expressed a wish to join us.
Indications are that our Centre will grow slowly next year, and once again your support in encouraging other Centre members and
Caravan Club members to visit us, will be in all our interests.
My thanks once again to our advertisers this year who have supported us, so do not forget to TELL them where you have seen their
advert, if you use their products or buy their Caravans etc.

Hon Secretary’s Message
Welcome to another programme of varied Rallies. Please support your new Hon Rally Secretary and Rally Officers by
booking onto rallies early. It is very difficult for them to organise events when they do not know the exact number of
attendees.
I have had the pleasure of sending out an exceptional number of Welcome packs to new West Surrey members in the
past year – if you haven’t rallied with us yet – please give it a try.
May I remind you that you need to re-join West Surrey Centre every year when you renew your Caravan Club
membership. This can be done on-line, by returning the form, or telephoning East Grinstead on 01342 336307.
We now publish on our website abridged Committee minutes and send out mass ‘Update’ emails to keep all members
informed of the latest news. Please ensure that I have your current email address if you want to keep receiving these
‘Updates’ Let me know if you have any significant news that needs broadcasting.

Hon Treasurers Message
Dear Members
I wasn’t expecting to be here again, but many thanks for your continuing support & confidence over the years. The
prompt and excellent return of rally officer’s accounts continued throughout 2015, & I’m sure this trend will continue
throughout 2016. As always, I’m on the end of the telephone/email, if you need a hand, with any aspect of the account
sheet; or if in doubt just hand it over to me, together with all monies collected at the rally, including ancillaries, such
as outstanding charges for use of electricity. Please keep writing the year/rally number on the back of any cheques
taken in payment for your rally; whether received well in advance or not, & pass to me; shelf-life is only 6 months, so
please don’t let them go out of date: I did have some very border-line ones again last year. I’m aware that you’re
probably tired of being reminded, but the Centre will need to find a replacement for me at the next AGM, it can’t
continue to operate without a volunteer for this job, & this is definitely my ‘swan song’,
Enjoy this year’s programme & Robin & I look forward to seeing you all on the rally field in the spring.

Dear Members
This is a series of firsts, my first year on committee, my first as your Rally Secretary and my first Rally Book!
My thanks to the Chairman and the rest of the team for their support and to the many of you who have offered their
wealth of experienced advice and guidance. I’d also like to extend my appreciation and that of the committee to all
those who have committed to be Rally Officers and Co-Rally officers for the 2016 season.
Please can you all book in as early as you can, and make every effort to attend booked rallies, this really helps the Rally
Officers plan their programme and entertainment for you, and prevents unfortunate situations where we need to cancel
events.
We have an exciting and varied programme for 2016, and we hope that with extra 5 day rallies, returns to old favourites
and some new sites we have something for everyone. If you have any suggestions for new adventures or ideas for
entertainment please feel free to come and find me or call/email anytime.
What we really need is more people, so please do talk about the West Surrey Centre when you are out and about and
make new ralliers feel welcome.

Rules and Information
1.
a) The Rally Officers are in sole charge of the rally and events, subject to the Club and Centre rules and
any other information given to them by the Centre Officers.
b) Starting and finishing times of a rally is left to the discretion of the Rally Officers, subject to the weather,
local conditions or restrictions laid down by the site owner or local authorities.
c) A normal weekend rally extends from Friday, starting at the time given in the Rally Programme or ‘News
Letter’or announced at flagpole on preceding rallies, and finish on Sunday at the time given in the rally
envelope or announced by the Rally Officer at flagpole.
d) If you arrive at any rally after the Rally Officer has retired, pull into the site away from the entrance, do
not uncouple, put the legs of your caravan down, have your night’s sleep and you will be sited the following
morning. Members ignoring this request may have to be re-sited by the Rally Officer to suit his
requirements.
e) Members staying on the field at the end of the rally after the last Rally Officer has left, do so entirely at
their own risk.
2.
Booking slips, together with booking fee, to be sent to the Rally Officer at least one week in advance.
Cheques and Postal Orders to be made payable to ‘The Caravan Club, West Surrey Centre.’ In the event
of cancellation within 14 days of commencement of rally this fee will be refunded, provided no expenses
have been incurred and a stamped addressed envelope is supplied at time of cancellation.
3.
All relevant prices quoted in this booklet are provisional and believed to be correct at the time of printing,
they are inclusive of VAT at a rate of 20%. Charges for Socials, etc., where given are approximate and
may be subject to alteration without notice.
4.
Members should have their own Fire Extinguishers fitted just inside entrance to caravan. Your own
sanitation facilities are required at rallies. These must not be filled, charged or cleaned at drinking
water points. All dry rubbish must be taken away. Return all empty milk bottles and leave your pitch
clean and tidy.
5.
Keep to 5 mph speed limit within the rally site. Learner drivers must not drive vehicles on any rally site.
Motor cycles may be driven between the site entrance and the caravan only.
6.
During wet weather members are asked to avoid unnecessary use of their cars to prevent damage to the
site and to the entrance; do not drive across any rally site; go round the edge of the field unless otherwise
instructed. Parking at the discretion of the Rally Officer. Persons accepting a tow from a Land Rover or any
other vehicles do so entirely at their own risk. Members will be expected to offer £1.00 for this service.
7.
All dogs to be kept on a lead and exercised on the rally perimeter. When tied up outside the caravan,
the maximum lead allowed will be 8 feet. Animals must not be allowed to foul the rally field.
8.
The Committee reserves the right to require the removal from the rally field of any dog or other pet which,
in the opinion of the committee, constitutes a danger or nuisance to the members attending the rally.
9.
Parents must ensure that their children do not trespass or cause damage to their host’s property. It is
also the parent’s responsibility to ensure that their children do not become a nuisance at social
events. Persons under the age of 18 years will not be allowed to purchase alcoholic drinks at social
functions.
10. No ball games including Swingball to be played or the riding of cycles within the centre lines.
11. Keep noise and radios down to a minimum, especially after 11.00 p.m.
12. Barbecues should not be carried when alight nor sited less than 8 feet from any awning, car or caravan.
13. No individual tents apart from toilet tents are allowed to be erected on the rally field, unless prior written
permission has been obtained from the Committee.
14. Alterations to the programme will be announced at rallies and displayed at the Hon. Rally Secretary’s caravan
15 Generators may be used at the Rally Officers discretion but must be switched off by 8 pm except in an
emergency or for official business.

Booking and attending an event
Just fill in a Rally Slip, which are printed in the middle of this book indicating the event you wish to attend and
giving your details. Post it, or hand it, to the Rally Officer listed for the event, with the appropriate booking fee
in plenty of time.
Deadlines for event bookings are two weeks before the event
A booking fee is requested with your Rally Slip, which is deducted from the balance when you arrive. This is
purely to cover the Centre's administration in the rare cases that bookings are not upheld. Event bookings are
generally not individually acknowledged; you can assume all is well.
Please observe the start time for the event stated in this book. As events are often held on school grounds, Rally
Officers need time between school finish and event start to set themselves up and prepare the site for you. Please
do not feel outraged if Rally Officers decline requests by you to arrive earlier.
Cancellation of booking
What would happen if one weekend the weather was very wet and the Rally Officers decided not to turn up? You
would, to say the least, be very disappointed and upset. Have you thought that when you book for an Event and
then do not turn up, without telling the Rally Officers, that they too are very disappointed and upset? But even
more important, they may have reserved social tickets and arranged catering. Please spare a thought for the Rally
Officers; they are unpaid representatives of the Club and do what they do because in an organisation like ours, the
voluntary effort put in enables the rest of us to enjoy our rallying. If you find at the last minute that you can't
make it to an Event, please do everything possible to let the Rally Officers know and avoid them incurring financial
embarrassment. Please be aware that should you not arrive at an event and not advise that you are unable to
attend, the Centre Committee reserves the right to make a charge at their discretion.
