Monthly Status Report Project Manager: Augusto Oliveira Functional Lead: JoAnne Hill Report Date: 07/27/2012 Project Summary: This project aims at streamlining the hiring process and procedures, allowing all transactions to be sequenced so that the new hired employee can productively work from day one. As a result, the OnBoarding process should be a “one-stop shop” where new employees can easily have access to systems and resources related to Bay Card, Parking, Keys (Facilities), Office Space, Risk Management, Academic Affairs, ITS, HR and Payroll areas. Recent Activities/Accomplishments to Date: Proposed business process flows were completed. Department check-list, key tool to be used in proposed solution, was completed. Employee check-list is under development. Implementations for process optimization, such as on-line forms and automatic email updates for eSAF and eFAF are under development. Completion Date: Sept 3rd, 2012 Overall Project Status: Green (on schedule) Main Issues (Summary): ITS 1 - NetID and Email account creation do not happen early enough in the process. As a result, several tasks that are dependent on an existing NetID and Email account are delayed. Action Plan: Being addressed by proposed business process, and process optimizations. BYC1 - Delay on BayCard issuing procedure. Action Plan: the solution is to have the information in PeopleSoft as early as possible, as BayCard team do not have control on the entry of the new hire information. FAC1 - The procedure for access credential (key or other access tools) can present delays depending on the number of queued requests. Action Plan: One immediate action for Facilities could be to eliminate building representative (JoAnne to present this suggestion to Facilities and Brad Wells). FAC3 - Currently CSUEB does not have a clear procedure on assigning office space. Action Plan: Include a request for office space in the department check-list, so this can be done earlier in the hiring process. COL1 - For faculty hire, the different colleges use their own processes, lacking standardized procedures when communicating with the new hire. As a consequence, the new employee faces delays in obtaining needed resources or even delays in salary payments. Action Plan: involve academic affairs (Kathy Dulkie and college offices) in check-lists and Email sample tasks. Risk - Summary RISK Expediting processes, such as Email and system access, may represent a risk, in case employee does not pass background check, or refuse job later in the process.
