Job Description Job title: Department/School: Grade: Location: ISOBIO Project Manager Architecture and Civil Engineering 14.6 hours per week (0.4fte) University of Bath Job purpose The appointee will be responsible for the management of the University of Bath’s responsibilities within the European project “ISOBIO; Development and Demonstration of Highly Insulating, Construction Materials from Bio-derived Aggregates", funded under the HORIZON2020: EeB-01-2014: Materials for building envelope” scheme, coordinated by TWI. The post-holder will collaborate with the scientific team to deliver according to contract obligations. The post-holder will apply significant expertise to manage administrative aspects of the project as well as to assist the scientific team in the coordination-related aspects. Source and nature of management provided Dr Mike Lawrence will provide overall direction. The candidate is expected to have considerable autonomy and initiative. Professional Development will be through the Director of Administration. Staff management responsibility No direct responsibility envisaged. Page 1 Main duties and responsibilities 1 Project Management 2 a) To assist the Principal Investigator in the overall administrative and scientific coordination of the University of Bath’s work packages, in compliance with contractual obligations; b) To prepare and deliver progress reports, in cooperation with the Principal Investigator; c) To design and maintain templates for collecting input to the required Research Executive Agency (REA) documents; d) To implement and maintain a project-specific database for reporting and controlling, including the adaptation of the structure after changes in the work plan; e) To manage administrative and financial tasks involved in the preparation, execution and post-processing the project meetings such as Management Board meetings and Advisory Board meetings (tasks: agendas, invitations, location of meeting places, organization of rooms and equipment, preparation distribution and archiving of materials, minutes and action lists); f) To implement and maintain the project infrastructure, e.g., the internal platform for information exchange and email lists; g) To handle legal issues and IPR issues; h) To handle the project correspondence and the day-to-day requests from the Project Coordinator, partners and external bodies; i) To organise a call or a tender to choose a new beneficiary or subcontractor, if necessary; j) To provide administrative and financial interfacing, as necessary; k) To handle cost tracking and financing management (invoices, travel costs, payments, etc); l) To handle contract management; m) To manage quality assurance. Assistance to Scientific Coordination n) To monitor progress with work packages, deliverables and milestones and the work plan, including the verification of the quality, consistency and respect of deadlines; o) To manage risks, in collaboration with the Principal Investigator; p) To assist the Principal Investigator in the preparation of the scientific part of the reports and deliverables to be submitted to the EU; q) To assist the Principal Investigator in conflict resolving relating to technical and organisational issues; Some occasional travelling may be required, for example to user groups or conferences.
