Coffee Shop Supervisor (Bedford)
Background: The coffee shop is in a central location in Bedford and operates as a commercial venture
Monday to Saturday from 8:30 – 3:00, offering high quality coffees & teas and a range of sandwiches &
cakes in contemporary surroundings. The coffee shop also runs a ‘suspended coffee’ scheme and from
3:00 – 5:00 provides a venue for those in need to access support and guidance along with food and
beverage at negligible or no cost.
Our experienced support staff work closely with local churches, hostels, the council and other agencies
to offer this additional help and guidance to those in need. Often this can just be a listening ear or a
place to sit and chat for a while, but sometimes it might involve more practical support and direction to
other organisations that can help.

Job Purpose: In conjunction with the Coffee Shop Manager you will be responsible for day to day
operations of the coffee shop and catering facility including marketing, staffing and volunteers,
resource procurement/ stock control and financial processes, creating an attractive and friendly eating
environment and catering provision, and achieving agreed sales and profit targets. You will also work
with YMCA Bedfordshire support staff to provide ongoing client support, working effectively with a
range of professionals and stakeholders to ensure successful outcomes for all.

Specific Tasks:
Financial



Support the Coffee Shop Manager in working towards goals set out in the business plan.
Understand the business plan and communicate its goals to the team whilst actively
participating in delivering the relevant goals. Take an interest in developing the plan and
improving the business into an efficient and profitable operation.
Support the Coffee Shop Manager to ensure the delivery of budgeted sales and cost targets,
and sustained growth, including business development of merchandise and community
projects as agreed with the Business Engagement Manager
Feedback and coach staff to continuously improve the performance of the team.

Coffee Shop Operations








Work as part of the Coffee Shop team to:
o Making and serving great food and drink
o Operating the till and taking payment
o Clearing and cleaning the coffee shop and kitchen areas and washing up
o Process incoming telephone calls, responding as appropriate
In the absence of the Coffee Shop Manager the role holder is responsible for managing the
day‐to‐day coffee shop operation, maintaining high standards and conditions, and fostering
a positive environment which provides a consistent, fast, efficient and friendly service
ensuring a quality experience for both customers and staff.
To champion customer service standards within the coffee shop, ensuring that staff are
providing excellent customer service and managing excellent standards of food preparation and
housekeeping.
In conjunction with the Coffee Shop Manager to optimise stock availability and control wastage.
In conjunction with the Coffee Shop Manager ensure the coffee machine and appliances are in
good working order and maintained on a regular basis.
In conjunction with the Coffee Shop Manager ensure the daily and weekly cleaning schedules
are completed to a high standard and maintain a clean and tidy kitchen and retail area.
Support the Coffee Shop Manager to ensure staff are assigned to shift patterns and breaks to
maximise efficiency and deliver optimum levels of customer service
Support the Coffee Shop Manager to plan staff rotas around operational needs, paying
particular attention to peak trading periods ensuring that staffing costs are managed within
agreed budgets.
General
 In conjunction with the Coffee Shop Manager, build, maintain and manage relevant local
relationships and assist in the promotion of YMCA Bedfordshire services and programmes.
 To ensure that company health and safety and security procedures are applied within areas of
responsibility.
 Support the Coffee Shop Manager to safeguard company property against theft, loss or abuse
and investigate all reported security issues. Ensure that cash handling procedures are adhered
to and loss and damage to stock is investigated and minimised.
Relationships:
 To be part of the staff team, develop and maintain constructive relationships with all staff across
the Association
 Act at all times as a positive role model demonstrating a caring and forgiving attitude and working
with integrity
 Promote a tolerant and respectful attitude within the Association characterised by Christian values
being welcoming and valuing of all
 Build a close working relationship with support staff to ensure client support needs are met

Experience & Knowledge:
Significant experience working within a coffee shop/ hospitality
environment
Experience of financial management and knowledge of financial
procedures and till operation
Staff management including planning shifts and rotas
Knowledge of health and safety and experience of its application in the
hospitality industry
Experience in menu planning and design
A good knowledge of the issues facing homeless people, and homelessness
issues in general across all ages.
Knowledge of local communities, voluntary organisations and agencies
Qualifications:
Good all round level of education
First Aid Certificate
Minimum L2 Food Hygiene Certificate
Skills and Abilities:
Ability to respond positively to a pressurised environment and adopt a
positive approach to problem solving.
Able to effectively monitor and control stock levels in order to maximise
sales and minimise wastage
Excellent communicator with the ability to be tactful and sensitive and to
empathise
Ability to effectively use Information and Communication Technology and
manage data
Good written and verbal communication skills and the capacity to engage
and communicate with individuals at all levels
The ability to work on own initiative within a busy environment and ability
to prioritise and manage a varied workload
Effective time management skills
General:
Ability to work flexible hours including evenings, weekends and Bank
Holidays as required
Willingness to develop within the job and undergo relevant training
