IN DOUBT? CONFUSED? LOST? NEVER FEAR…
-Visit the DARS SUPPORT CENTER
-There may be existing documentation, such as what was
just shared, regarding encoding the IA Audit.
HINT, HINT…
…IA Audit related PowerPoint presentations from prior
June 2004 DARS Users Conference.
-Search the OWL (ONLINE WIZARD’S LIBRARY)
-Someone else may have experienced the same problem.
-If you can’t find it…then submit it.
(Hey, you will be that much closer to earning
an OWL Egg Award.)
-Reach out to other schools via the DARS-L listserv
-Another DARS client may have solved the same problem.
IA AUDIT ENCODING: CHART CATEGORIES
Chart categories = a driving force
Makes the charts and graphs function on the interactive audit.
-take time to evaluate each degree program
-meet with your college contacts, advisors,
selected students, etc…asking yourselves:
What would our school want to see represented
on our IA Charts & Graphs?
=> total hours & gpa data?
=> major requirements?
=> premajor requirements?
=> other(s)?
TIP:
The prior mentioned document titled, STEP BY STEP INTERACTIVE
AUDIT ENCODING, proved to be a great resource for encoding the
chart categories.
IA AUDIT ENCODING: CHART CATEGORIES
Although chart categories will differ for each school, here is a quick peek at
UK’s Chart Categories…
TIP: First, create the “Category Names”. Next, assign characters to each
of the category names.
TIP: Be mindful of Requirement Name…it is what shows on the Charts
& Graphs.
IA AUDIT: TRANSCRIPT REQUIREMENT(S)
Miami DARS Team has showed how to create one Transcript requirement…we
went a step further and created three:
TRN-COMP (Complete, In-Progress, & Priority Registered Courses)
TRN-PLAN (Planned Courses)
TRN-MISC (Miscellaneous)
TIP: All three will appear on audit
ONLY when something has
applied.

Only two of the three transcript requirements feed the charts…
…TRAN-COMP (Completed, In-Progress, & Priority Registered Courses.
…TRAN-PLAN (Planned Courses)
(TRAN-MISC only holds non-credit/non-gpa items not needed in charts.)

IA AUDIT: THINGS TO LOOK OUT FOR
UNNECESSARY GPA’S ON CHARTS &/OR GRAPHS.
Asking Miami about ability to choose to “hide” gpa results from
charts and/or graphs if the focus is to be solely on credit hours
or “hide” credit hours if the focus is to be solely on gpa.

DOUBLE DIPPING MAY CAUSE GPA &/OR CREDIT HOURS TO BE OFF.
If there are requirements that allow “double dipping” of a course,
then that course’s gpa &/or credit hours may count multiple times.

HIDDEN REQUIREMENTS TEND TO SHOW IN CHARTS.
Asking Miami about hidden requirements appearing in the charts &/or
graphs.

IF DECIMAL AMOUNTS SHOW ON AUDIT’S REQUIREMENT LEVEL CHART
AND/OR GRAPH…USE REQUIREMENT LEVEL ‘MAX HOURS’ FIELD.
If a chart and/or graph shows the credit hours as a decimal amount,
remember to use the requirement level “max hours” field.
