Introduction
Purpose
This document is the 15 version of software requirement specifications for
the product BUYER PURCHASE MANAGEMENT SYSTEM (BPMS) 1.0.The
document intends to describe the requirements for BPMS 1.0.as a Web Based
System, which handles purchase orders for a retail business having more than one
store in different States.
The Business working is as follows.
The business is a chain of Dollar shops in United States. Dollar Shops are
those stores where every item sold is either for 1$ or less. Items are bought from
various vendors located in or outside United States. The Management has some
members who are called “Buyer”. The buyer get in contact with various vendors
and create catalog (list of items) from where the Store Managers of every store buy
items for their store.

Document Conventions
The document has used underlined words to highlight the user requirements.
It also uses capital lettered words to highlight key words. The document has tried to
maintain a priority of requirements .The priority has been determined by the
judgment of the author and may subject to change. Priority of higher-level
requirements is inherited by detailed requirements. The document has used short
forms for some commonly abbreviated terms.
Intended Audience and Reading Suggestions
The document is intended to be a guide for developers, users and testers.
The goal of this document is to identify the requirements of application BPMS 1.0.
A developer may directly want to know the requirements by reading the section of
USER REQUIREMENTS and skipping other sections if required.
Product Scope

Purpose
The application is designed to maintain data related to the Store, Vendors
and the items sold by the various vendors online. The Data Stores allows Stores to
generate Purchase Order. The system also compares the actual delivery of items
with the Purchase Order made.

Benefits
The application will help the task maintaining the purchase orders in a much
more organized way. Currently it involves lot of paper work thus requires time and
is also prone to error thus the benefit with a new online system would be that work
could be done much faster and in a much more accurate manner. Also the Data for
the store, vendors and items will be available very easily.

Objectives
The objective of this project is to ease the tasks of generation of purchase
order and the task of comparing the actual receipt of goods with the purchase order
in an effective and efficient way.

1. Overall Description
Product Perspective
The need for software is felt, as the earlier system is manual thus requiring
lot of paper work and making it difficult to keep track of all the previous purchase
order and their status. The Online system will give the advantage of keeping track
of all purchase orders at any given point of time thus eliminating paper work and in
turn error caused by it
Product Functions




Maintenance of details of various items, vendors and stores online.
Online generation of purchase order
Easy comparison of actual receipt of order with the Purchase order.
Status of all purchase order is available

All The above users have similar rights. They have total access the BPMS system.
They have the rights to generate new users in the system .They will have the total
access to all the information in the system being a people from the management
team of the organization.

District Manager
District manager may have more than 1 store under him. He logs in he sees only
stores under him i.e. a list of his stores and toggle between them. He should have
managerial type access only for those stores that are under him.


Store Manager
Assistant Store Manager
The Store Manager and Assistant Store Manager have limited access in the
BPMS. They will be able to see the details restricted to their Store only.
Following are their rights

Cost of items bought will not be disclosed
The comparison with other vendor items will not shown
 Sales Deposit
Enter the details of Sales for his store registers

The Usage of the system will be restricted only to add cash registers
and Changing his password
 Limited Internet Access
The Stores will have limited Internet access that is the usage of BPMS
system online rest of the Internet will not be accessible.
