CREATING A NEW DATABASE

The city zoo wants to use a database to store info about the zoo animals.

Save the database as Zoo db.

Create the following fields:

Staff ID-Text Animal-Text Type-Text Males-Number Females-Number Location-Text

1.

File menu, import records. Vol 1 RMS student server (X), business education folder, data base folder, zoo db copy.

2.

Check to make sure the fields match and that there is a black arrow between them.

3.

Click import.

4.

View menu: browse mode, view as table.

Part Two of the Zoo Database-3 printouts

Zoo data base-Mammals

1.

View menu: layout mode

2.

Layouts menu: new layout/report

3.

Name: Mammals, Columnar list/report, click next

4.

Choose Columnar, click next

5.

Select the fields: include all fields in the order listed above, click next

6.

Sort animal, ascending order, click next

7.

Standard, click next

8.

Header, right side, choose small custom, enter your name and hour, click next

9.

View in layout, click finish

Layout mode

1.

Drag header line down to allow for shape and title.

2.

Show all records from the records menu before going to the next step, if you have done a find before this printout.

3.

Find all the mammals by using the find mode under the view menu.

4.

Select field names by clicking and dragging or hold down shift and click on each. Use your down arrow key to move them down or drag them. Remember to keep them above the header line.

5.

Use the draw tools at the left. Draw a shape to put your title in. NOTE: if line does not appear change the pen color to black and try again.

6.

Select text tool “A” and click inside the shape. In all caps enter: ZOO MAMMALS

7.

Adjust font size and alignment (click on the arrow icon on the draw toolbar at the left and then click on the text box.

View menu: preview mode (ctrl-U) See what it looks like.

Preview mode to check layout. If the columns are not wide enough you will need to adjust them in layout mode. Make sure that you are adjusting the fields in the bottom section not in the header section. Drag to move on the page and drag to make the field longer or shorter by using the grabber boxes on the field. Go between layout (ctrl-L) and preview

(ctrl-U) modes to check your changes.

10.

Sort again using the A-Z icon.

11.

Print out and keep until all three printouts are done.

New Animal arrives at the Zoo

The zoo has received a female Red Shoulder Hawk in the Aviary; please change the female count to reflect this.

Zoo data base-Animal Population

1.

Layouts menu: new layout/report

3.

Name: animal population, Columnar list/report, click next

4.

Choose Columnar, click next

5.

Select the fields: Type, Animal, Males, Females, click next

6.

Sort type, ascending order, click next

7.

Standard, click next

8.

Header, right side, choose small custom, enter your name and hour, click next

9.

View in layout, click finish
