Job Title: Fundraising Support Officer
Responsible to: Community and Events Manager
Hours per week: 35 hours
Location: 21 Dublin Road, Belfast, BT2 7HB
Salary: £17,161 (NJC point 18)
Contract: Permanent
Job purpose:
To provide responsive, high quality fundraising and administrative support to the Community &
Events programme, in particular to liaise with volunteer fundraisers, Support Group members,
fulfil the Donations in Lieu of Gifts programme, collections programme and to support the
Community Fundraisers & Events team.
Key Tasks
1. To provide fundraising administrative support to volunteer fundraisers, event participants and
Support Group members, offering advice and information as required both on the telephone
and on line. This will involve preparing and dispatching promotional materials in support of
fundraising events e.g., template event documents, tickets, posters, sponsorship forms etc.
2. To establish and maintain a database of active event volunteer fundraisers and coordinate
fundraising volunteer requests to support the community and events programme whilst
adhering to Investors in Volunteers working closely with the Volunteer Coordinator.
3. To provide fundraising and administrative support to Community Fundraisers in a timely
manner. This will include preparing and dispatching promotional materials in support of local
events.
4. To provide fundraising and administrative support to the Events team in a timely manner. This
will include preparing and dispatching promotional materials in support of fundraising event
participation.
5. To manage NICHS merchandise, taking responsibility for stock control, monitoring of usage and,
in liaison with the Community and Events Manager, re-ordering. This will also involve creating
weekly, monthly and annual reports in a format agreed with the Community and Events
Manager.

6. To provide administrative support for Donations in Lieu of Gifts working with the Community
Fundraisers. This will include scheduling promotional opportunities at wedding fairs and other
similar events and arranging appropriate promotional materials for these events as well as
fulfilling the initial enquiries or orders and passing those contacts to the community team to
develop, ensuring the database is fully updated with all contact details.
7. Working with the Community Fundraisers to coordinate and manage a planned programme of
public collections. This will include :
 Arranging collection dates and venues for public collections
 Recruiting volunteers, arranging briefing, dispatching and collecting boxes
 Counting and reconciliation of coins from collections.
8. Working with the Community Fundraisers and newly recruited volunteers to develop and
manage a system for placing, emptying and maintaining fixed collecting boxes.
9. To ensure accurate and proper use of the Raiser’s Edge database ensuring all activities and
communications are entered and updated on the database and ensuring compliance with the
organisations database policies and guidelines.
10. To ensure all financial procedures are carried out in full compliance with the organisations
financial policies.
11. Any other duties that fall within the scope of this role that may be required from time to time by
the Community and Events Manager

Personal Specification
Essential:
 Educated to at least GCSE (4 GCSE’s) or equivalent
 At least 2 years’ experience in a comparable administrative and/or customer service role
 Experience of budget management and cost control of stock
 Proven experience of working with and co-ordinating volunteers
 Excellent telephone manner and the flexibility to deal with people of all ages and walks of
life
 Proven experience in providing excellent customer/supporter care
 Excellent time management skills and demonstrable experience in multi tasking across a
range of activities at any one time
 Excellent prioritisation and organisational skills and the ability to manage and complete
projects within time constraints
 A calm and organised manner and ability to manage last minute requests
 Proven experience in Excel, Word
 Proven experience in using a fundraising Database like Raisers’ Edge to manage
relationships, plan activities and record income and expenditure
Desirable Criteria
 Commitment to the work of NICHS
 Creative skills in the use of MS creative packages
 Experience in use of social media to maximise impact and awareness of activities online
 Proven knowledge and experience in ensuring the NICHS website is updated to reflect the
key activities such as collections
