DIRECTIVE ON DUTIES AND OPERATION PRINCIPLES OF PREPARATORY
SCHOOL (PREPARATORY UNIT)
Establishment
Article 1- Foreign Language Preparatory School was established as affiliated to the
President’s Office of Atılım University.
Scope
Article 2- This Directive covers the provisions concerning the establishment of Preparatory
School based on the Law No: 2809, laws adding additional articles to the Law, Law No: 4281
and Regulation on Organization and Operation of Foundation Higher Education Institutions;
and duties and operations principles which regulate teaching in English.
Basis
Article 3- This Directive was drawn up on the basis of Article 49 of Law on Higher
Education No. 2547, Article 3 of Law No. 2923 and Article 7 of Regulation on Organization
and Operation of Foundation Higher Education Institutions.
Preparatory School (Preparatory Unit)
Article 4- The language of English shall be taught at the Preparatory School (Preparatory
Unit) of Atılım University based on specifically organized courses and shall be provided to
students enrolled in one of the study programmes of the University whose language of
instruction is partially or fully English.
Administrative Bodies
Article 5- Below are the administrative bodies of the Preparatory School:
a) Director of the School
b) Vice Director
c) Academic Coordinator
d) Administrative Coordinator
Director of the Preparatory School
Article 6- The Director shall be assigned by the President of the University among the
teaching staff of the University for a term of one year and appointed upon the approval of the
Board of Trustees. A director whose term of office ends may be reelected.
Duties of Director of the Preparatory School
Article 7- Below are the duties of director of the preparatory school:
1. To ensure the preparation of Preparatory School and Department of Foreign
Languages.
2. To determine the course load of the instructors.
3. To organize meetings with academic and administrative coordinators and make
decisions based on the proposals and to submit the decisions to the President’s Office.
4. To manage the Preparatory School in accordance with the present legal arrangements.
5. To implement and follow the decisions of the Board of Trustees and the President.
6. To attend the senate meetings and present recommendations.

7. To submit recommendations to the President’s Office on necessary changes or
additions to be made in the school regulation.
8. To determine the number of instructors and teaching staff that are needed and submit
it to the President’s Office.
9. To ensure that the teaching and education are carried out in accordance with the
specified aim and principles.
Vice Directors
Article 8- The Director shall assign two teaching staff at the most to assist himself/herself.
The assignment shall be made for a period of one year upon the Director’s recommendation,
positive opinion of the President and approval of the Head of the Board of Trustees. Vice
directors whose terms of office end may be reassigned.
Academic Coordinator
Article 9- Academic Coordinator shall carry out the academic work of the Preparatory School
and shall be assigned for a period of one year upon the Director’s recommendation, positive
opinion of the President and approval of the Head of the Board of Trustees. Coordinator
whose term of office ends maybe reassigned.
Duties of Academic Coordinator
Article 10- Below are the duties of Academic Coordinator:
1. To organize the classes at various levels together with the Director and Vice Directors
of the Preparatory School based on the results of the proficiency exam.
2. To determine the teaching hours of the book chapters that are used in the academic
programme of the School and follow the progress.
3. To supervise the teaching progress.
4. To organize various meetings to increase the quality of the teaching and take decisions
accordingly and implement them upon the approval of the Director of the School.
5. To control and approve the Proficiency, Midterm, Achievement, weekly pop-quizzes
prepared by the Exam Centre.
6. To take necessary measures to ensure that the examinations are administered properly.
7. To reorganize the groups of students based on their success with the Director and
Administrative Director at the end of every level.
8. To supervise video course, writing course, project studies, and material office studies.
9. To evaluate the information provided by In-service Training Instructor who regularly
follow the performances of instructors and students.
10. To enlighten the parents about the performances of the students and the education.
11. To resolve the student problems.
12. To take initiatives on staff recruiting when needed.
13. To prepare student and instructor handbooks.
14. To work for the preparation of books to increase the quality.
15. To prepare Summer School program and materials and supervise the summer School’s
operation.
16. To fulfill every duty assigned by the Board of Trustees, President and School Director.
Administrative Coordinator
Article 11: Administrative Coordinator shall carry out the administrative work of the
Preparatory School and shall be assigned for a period of one year upon the Director’s
recommendation, positive opinion of the President and approval of the Head of the Board of
Trustees. Coordinator whose term of office ends shall be reassigned.

Duties of Administrative Coordinator
Article 12- Below are the duties of Administrative Coordinator:
1. To present recommendations to the Director of the School on development the quality
and the efficiency of the study programme at he school and prepare data based on
research.
2. To practice within the framework of the Regulation on Preparatory School.
3. To resolve the problems on administrative and academic issues with the Academic
Director.
4. To take precautions for possible problems.
5. To do necessary adjustments to carry out the study programme at desired level.
6. To control the examination dates whether they are in parallel with the study schedule.
7. To ensure that instructors are distributed among the classes properly.
8. To prepare the annual Preparatory School Academic Calendar.
9. To prepare the weekly working schedules of the instructors for each course.
10. To determine the students of every class throughout the academic year.
11. To prepare the documents on which the results of pop quizzes, midterm, final and
proficiency examinations are written; to submit the results of the Director and
Academic Coordinator.
12. To follow the daily and weekly absence of students to the courses and submit it to the
Director.
13. To follow the daily and weekly absence of instructors to the courses and submit it to
the Director.
14. To assign an available instructor acting for the absent instructor.
15. To ensure that the examinations are administered in a silent environment.
16. To listen to the students’ opinions and problems on various subjects; to resolve those
in his/her power otherwise report them to the relevant units; to counsel the students
when necessary.
17. To inform the parents of the students about their sons/daughters face-to-face or on
phone when it is asked.
18. To control the attitudes of students and warn those who misbehave.
19. To fulfill every duty assigned by the Board of Trustees, President and School Director.
In-service Training Unit:
Article 13- Preparatory School In-service Training Unit shall train the new recruited
instructors for two weeks. Highly experiences and qualified teaching staff shall be assigned in
this unit.
Duties of In-service Training Unit:
Article 14- Below are the duties of In-service Training Unit:
1. To teach the contents and teaching methods of the books used in the School.
2. To provide trainings on class management, use of body language, efficient use of
voice in the class, methods and techniques of learning, how to resolve discipline
problems, how to increase the attention of the students and how to motivate them, how
to prepare course plan.
3. To provide trainings on fundamental phases of vocabulary teaching, new methods of
vocabulary teaching
4. To provide trainings on new methods of listening-comprehension, fluent speaking
teaching.
5. To provide trainings on teaching reading skills, writing and finding topic sentences,
summarizing and paraphrasing.

6. To provide trainings on new approaches to and techniques of grammar teaching.
7. To provide trainings on teaching essay and paragraph writing in a correct and effective
way.
8. To provide trainings on examination and test types fundamental principles of
preparing them.
9. To provide trainings on fundamental principles, methods and techniques of choosing
and preparing course materials.
Effective Date
Article 15- This Directive shall come into effect following its approval by the Senate and the
Board of Trustees.
Execution
Article 16- The President of Atılım University shall execute the provisions of this Directive.
