March 3, 2016 at 10:30am. February 4, 2016 has been cancelled due to conflicting commission

DGC Meeting 1/14/2016
Meeting Notes:
Agenda:
Student Intent Proposal update
Notes:




Carmen discussed the two additions to the DGCStudentIntentProposal document.
1. Retired K intent. This has been discussed with some of the directors of campus child care
centers and they are ok with this proposal.
2. RPC will continue to be involved with cross-walking to Plan code in PeopleSoft.
Carmen was asked to explain what PS Plan codes are. She indicated they similar in function to
the legacy intent and epc codes. (e.g. F intent with an EPC of 323 is a student in a nursing
program.)
Carmen provide a timeline. Data Governors can take this out to their commissions and have it
forwarded to councils and other interested groups. We will discuss any feedback during the
March 3 data governance meeting. can finalize then vote
Goal is summer quarter 2016 implementation.
Carmen would also like to send the information about M intent. SBCTC policy and research staff are
ready to go out with this proposal. We discussed briefly a struggle Clark College is having to code prespecial admissions students in a way that works for Perking, legacy rules, and financial aid. Carmen
indicated an alternative nursing code of 323T with a 24.01012 cip code (which is an academic cip code)
And an M intent (both academic and CTE program) would work.
Upcoming:
We will discuss updating time location codes. These are used in facilities reporting and CAM report for
forecasting. Will need to decide which commission owns this data. It could be BAC, which is where
facilities reports. However, Instruction typically is the area which has to determine the code for each
class. Please see if anyone uses this code at your college.
Additional Discussion:
There was some discussion about the chart of accounts in PeopleSoft and how this is going through
another revision. The discussion was about how Data Governance can involved, or at least know about
what is going on. John Ginther, SBCTC Accounting and Business Service Director, is now responsible for
reviewing how to standardize the chart of accounts framework across the colleges. Please remind your
commissions about the Data Governance Committee and our role in standardizing coding.

DGC Meeting 1/14/2016
Data Governors to do:
Voting. “Business requiring a vote shall be submitted to the committee membership at least two weeks
prior to a meeting where business will be considered. Only decisions to be made on coding require a
vote.” (Data Governance committee Charter, 2013). Unless there are substantial changes to the
proposal there will be a vote taken on the student intent proposal at the March 3, 2016 meeting. Please
confer with the other Data Governor from your commission prior to that meeting.
Check at your college to see if anyone used the Tile Location code for any reporting or other purposes,
or if this is only needed by facilities.
