CALL TO ORDER
The regular meeting of the Alpha Chi Omega Chapter of Alpha Kappa Alpha Sorority, Inc. was held at
The Rudisill Regional Library. Soror Lisa Belt called the meeting to order at 10:16 a.m.
Hymn and Pledge
The Meditation was given by Soror Louise Palmer.
A Quorum was established.
The agenda was accepted with updates. Add Hymn and Pledge. Quorum Validation. Adoption to Agenda.
Approval of Minutes. After New Business add Mid-Western Regional Conference Delegates. Installation
of an Officer.
MINUTES
The minutes were accepted with corrections. On page 6 remove 1 s at the end of bus under Regional Bus.
The price of the deposit is $600.00 for the bus.
OFFICERS REPORTS
BASILEUS – Soror Lisa Belt
The Basileus report was included in the chapter newsletter. This was sent via chapter email and mailed to
non-email members.
This is the Basileus’ last meeting with the chapter. She thanks all the Sorors for the privilege of serving
as their Basileus.
TAMIOUCHOS – Soror DeArnetta Ward
A report was read and submitted for audit.

EPISTOLEUS –Soror Anne Hurd
Highlighted correspondence:



Information from our Headquarters. We are alerted to a Community Partner Project with the
National Council of Negro Woman. With many past incidences of disasters around the country
and woman being responsible for maintaining the households we are asked to make emergency
plans for our own households. Follow this through. Spread the word in the community.
A notice from the Rudisill Regional Library about the Sonkofa Freedom Award this year
honoring past Essence Editor Susan L. Taylor who will be accepting the award and speaking. On
Saturday February 8, 2014 at 10:00a.m. at the Library.
An announcement to promote small businesses on the 1st Friday of the month by spending dollars
in them.
All correspondence received and listed above is available for review upon request.
GRADUATE ADVISOR – Soror Evelyn Page
A report was read and submitted.












Theta Xi had Rush on Sunday, January 19, 2014 at 5:00p.m.
The Chapter orientation was at 4:00p.m.
A thank you to Sorors Delaina D. Holmes, Nuceka Chatman, Lynetria Johnson, Pamela Boxley,
Vanessa Hall-Harper, Traci Love, and Sherron Jones for attending.
There was 1 candidate to come and submit an application.
All MIP materials have been submitted and sent to the Corporate Office.
One correction was needed on the application and the paperwork was resubmitted. The Regional
Director will notify them when Corporate contacts her.
Theta Xi participated in the MLK Parade along with Alpha Chi Omega.
Soror Evelyn Page met with the Undergraduates on Tuesday, January 28, 2014 to plan the
Calendar for the Spring Semester.
Their MIP process will begin on Sunday February, 16, 2014 at 10:00a.m. in the Rogers Law
Library pending approval from the Regional Director.
Alpha Chi Omega is invited to attend their luncheon which will conclude on Sunday March 2,
2014 after the initiation ceremony.
Theta Xi will be celebrating their 40th Anniversary on the day of the final initiation ceremony.
The Graduate Advisor will plan a meeting with the Graduate Advisor Council and give them
updates.

Parliamentary Procedural Tips were presented.

HODEGOS – Soror Nuceka Chatman
A report was submitted and read.
During the month of January sisterly prayers were sent out to Soror Tamarah Danzy regarding her
brother.
The Chapter and sorors supported Soror Ava Fisher on the loss of her mother.
The Hostess list is being revised to only include financial Sorors. Please note the changes.

March Hostesses: Soror LaVerne Ford Wimberly, Paulette Jenkins, Gerri Webb, and Barbara Jackson.

IVY LEAF REPORTER – Soror Regina Baker
A report was submitted and read.





Two articles were submitted to the Spring Edition of the Ivy Leaf.
One was on Fashionetta with a group picture of the contestants.
One was on the Breast Cancer Walk and Health Fair.
A half page ad was submitted to support the upcoming Mid-Western Regional Conference.
Deadline for the Green Ivy MWRC newsletter has changed.

They are for Spring March 1, Summer June 1, Fall September 1, Winter December 1.
Deadlines for the Ivy Leaf are Spring January 15, Summer April 15, Fall July 15, Winter October
15.
A notification was sent to the Corporate Office concerning the damaged or not received issues of
the Ivy Leaf by Chapter members.
March 18th is the deadline for an ad in the Souvenir Journal for the Boule. A full page is $600.00.
A 1/8 page is $100.00
The proper protocol concerning pictures was presented. “No pinkies and No” Skee Wee’s are
allowed.” These are not official gestures of Alpha Kappa Alpha Sorority, Incorporated. It was
noted that we can make the sign of an Ivy with two hands.
Sorors are encouraged to purchase and review the “Alpha Kappa Alpha Sorority, Incorporated
Protocol Manual.”
PECUNIOUS GRAMMATEUS –Soror Katherine Bracy
A list of active members was submitted.
A report was read and submitted.


Grand total of receipts through January 31, 2014 $3,210.71.
Renewing financial members as February 1, 2014 32. Life 6 Reactivation 0. Transfers 0
Total 38.
Sorors are encouraged to pay their dues early in 2015.
STANDING COMMITTEE REPORTS
NOMINATING – Soror Jerica Wortham
The qualifications of a Delegates were read.
The qualifications of the Anti-Basileus were read.
* Update to the Agenda.
AUDITING
The 2013 Audit will be done. A conference call is scheduled. It is to be done in February to be completed
by March 23, 2014 at the latest.
Nominating
1 application was received for the position of Delegate.
Our delegate strength is 45.
The qualifications of a Delegate were read.
We can have 5 delegates, which include the Basileus and Graduate Advisor. Therefore we need to elect 3
delegates. With 2 alternates.
The qualifications for the office of Anti-Basileus were read.
No applications for the office were received.
The Basileus opened the floor for nominations for the office of Anti-Basileus.

Soror LaVerne Ford Wimberly nominated Soror Gerri Webb for the position.
Read the list of Sorors who are eligible according to our By-Laws. Sorors Regina Baker, Delaina D.
Holmes, Jewel Maynard, DeArnetta Ward, LaVerne Ford Wimberly, and Lisa Belt.
The Baslieus did discuss our current situation with possible options with the Chapter Parliamentarian and
the Regional Director. She was directed that at such times you can suspend a particular point of the
Bylaws. Or a friendly amendment to the Bylaws can be done with the least constrictive amendment. This
was reviewed at the Leadership Conference.
A recommendation was made that we suspend the Bylaws. But the Parliamentarian noted that we cannot
make a Friendly Amendment because our Bylaws state that any bylaw amendment must be submitted in
writing at the previous regular meeting.
The Nomination for Soror Gerri Webb for the Office of Anti-Basileus was withdrawn.
The Friendly Amendment needs to be submitted to the Parliamentarian and then presented to the Chapter.
Soror Evelyn Page moved that the vote for the Office of Anti-Basileus be tabled and moved until the
March meeting contingent upon the Parliamentarian receiving a written amendment to our Bylaws for the
qualifications for the Office of Anti-Basileus in a proposal in writing. The motion was seconded. The
motion carried. The voting will take place next month under Unfinished Business.
The Parliamentarian noted that a written amendment to the Bylaws for the qualifications of the Office of
Anti-Basileus was received at this meeting in February. The proposed amendment was read and the
Chapter was given notice.
Mid-Western Regional Delegates:
Nominations for MWRC Delegates are Margaret Anne Hurd, Priscilla Haynes, and Pamela Boxley. The
floor was opened for additional nominations for delegates. Regina Baker, Tracye Love, and Katherine
Bracy have agreed to be alternates. Soror Evelyn Page moved that nominations from the floor be closed.
The motion was seconded. The vote for the listed delegates was accepted by general consent.
CONSTITUTION AND BYLAWS – Soror LaVerne Ford Wimberly
Over 11 Constitution and Bylaw amendments have been submitted for review. Soror LaVerne thanks
Sorors for the submissions and following the process. The information will be submitted to the Chapter at
a later date.
AUDITING – Reviewed announcements done earlier in the meeting.
* Note of Clarification from the Executive Board meeting. Soror Vanessa Hall Harper will assist with the
Alpha Phi Alpha Hospitality Room refreshments. She will put together a menu for recommendations. We
are looking at requesting $10.00 per Soror to supply the food.
FOUNDERS’ DAY
A report was submitted.
The Founders’ Day was held in conjunction with the Alpha Kappa Alpha Sunday at First Baptist Church
North Tulsa. 50 Sorors participated with their worship service that started at 11:00a.m. We volunteered as
ushers, with readings, and singing. Active and inactive Sorors participated and were invited. After the
service 41 Sorors attended the rededication program that followed immediately after the service.

The attire was black with pearls. The food was catered and served by the Church. Proceeds from the meal
will be used to assist the First Baptist Youth Program.
Suggestions for improvement from the committee:1. Submit a budget request for the chapter’s annual
budget to include the potential cost of a closed Founders’ Day event. 2. Make sure that the Executive
Board agrees to the needs of the chapter having a closed re-dedication Founders’ Day activity. 3. The
Chapter Philacter be at the door to check financial cards or letters from the National office of those Sorors
who are inactive and want to participate in the re-dedication ceremony. 4. The Chapter Ivy Leaf reporter
makes sure that all Sorors (active and inactive) are in proper protocol prior to pictures being taken.
A Founders’ Day Evaluation has been distributed.
* Some Sorors are still experiencing problems accessing the Yahoo group.
GLOBAL POVERTY – Soror Anne Hurd
Funds were raised and as a result we were able to write a check for the purchase of a Goat for $120.00
and put extra money, $50 towards the purchase of a share of a heifer from Heifer International for the
2013 program calendar year.
PROGRAM COMMITTEE REPORTS
EYL – Soror Trayce Love
A report was emailed.
Upcoming activities:
In February a fundraiser will be held at the Black owned Mooyah Burger restaurant on S. Lewis for Black
History Month with an earned percentage going towards the EYL activities. They will work with the
Fundraising committee. On March 29 there will be a Community Forum partnering with the NAACP
Youth and Jack and Jill of Tulsa, with existing AKA committees.
Topics specific to Youth and their families will include Health, Human Trafficking, Technology, and
Bullying. It will be at the Rudisill Library. The committee will be accepting applications for new EYL
members from 5/1/14 – 5/31/14. Schools with TPS ends on 5/27 or 5/58 this year. They are also
reviewing the Mentor program for EYL girls. They will have a promotion with a speaker.
MEMBERSHIP – Soror Pamely Boxley
Today the Chapter Orientation Workshop will take place immediately after Sorority meeting at the
Library. The Basileus, Anti-Basileus, Epistoleus and Tamiouchos must be at the MIP orientation
workshop. They will look at having another workshop for Sorors who missed today. An emergency
Membership meeting will at Soror Vanessa Hall Harpers home on Friday February 7.
HEALH INITIATIVE/BREAST CANCER WALK – Soror Anne Hurd
Checks were delivered to the Soulful Survivors and Tulsa Project Woman totaling the amount for $557
each. This includes the $50.00 from the Hostess Committee food money from December that was
recommended by that Committee and approved on in the January meeting. With $25 to Tulsa Project
Woman and $25 to the Soulful Survivors, the recipients from the Health Fair/ Breast Cancer Walk.
SOCIAL JUSTICE AND HUMAN RIGHTS/ CONNECTIONS – Soror Anne Hurd for Soror Gerri
Webb
A report was submitted and read.
The committee met on January 13, 2014.

The remaining 2014 activities voted on by the chapter are: 1. Attend the AKA Advocacy Day at the
Capital. 2. Hold a public forum to educate the community on Human Trafficking. 3. Receive Front Porch
Training (as part of the forum) on March 29, 2014. 4. Collect coats in October to be donated.
The next meeting will be on March 29, 2014.
MLK Parade and Day of Service.
Alpha Chi Omega participated in the 2014 MLK Parade. The parade theme was “2014 Living the Dream!
Let Freedom Ring.” There were approximately 16 members from Alpha Chi Omega. 1 member from
Theta Xi. 19 EYL girls. 4 Honey Don’ts (children of Sorors). Sorors went to the Retro Bar and Grill after
the parade.
A total of 22 sweatshirts were requested and ordered in the original order. We have received an additional
12 orders. Today is the deadline for this second order.
For the Day of Service Activity 28 books will be delivered to the Girls (Scouts) Beyond Bars
Organization. They have been engraved by Soror LaVerne Reed. Soror Gerri will make arrangements to
deliver them.
SPECIAL AND AD HOC COMMITTIES
PAN-HELLENIC COUNCIL – Soror Chris Ledford
They will meet on Thursday February 13. The AKA’s will be giving them our program calendar of
events. J.D. Morrison was discussed.
UNIFINISHED BUSINESS
REGIONAL BUS TRIP – Soror Anne Hurd
A $600 deposit was done to secure the bus. An email was sent via the Yahoo group with all the
information. We have 27 people riding on the bus with us that includes
Sorors from other areas. Please make payments to Soror Katherine Bracy. The Bus will leave on March
20.
TIMELESS HISTORY PROJECT – Soror Lynetria Johnson
Soror Lynetria has helped spearhead this required project by direction of the Regional Director and the
National Office. A draft is in process but additional information is needed. Our deadline has been
extended for two weeks. There will requests for additional information and please respond and get the
information to the Sorors who are helping. At this time Sorors Lynetria is helped by Soror Anne Hurd,
Yolanda Mitchell, and Evelyn Page.
ANTI-BASILEUS/2014 PROGRAM CALENDAR 1ST QUARTER – Soror Delaina D. Holmes
Reviewed the 2014 program and calendar activities for February.
NEW BUSINESS
Sankofa Freedom Award
The executive Board recommends to the Chapter that we take $50.00 from our savings account to make a
donation on behalf of our Chapter to the Sankofa Freedom Award program. A vote was taken and the
recommendation passed.

The Executive Board recommends that we sponsor a suite for the men of Alpha Phi Alpha Fraternity, Inc.
on Friday, March 29th, 2014. Soror Vanessa Hall-Harper will help lead this project.
It is recommended that she get a menu together with a budget and costs to have the event and present this
to the chapter at the next meeting.
Soror of the Year – The 2013 Soror of the Year was announced. Soror Lisa Belt was awarded the honor.
Installation of Officer
Soror Lisa Belt installed Soror Delaina D. Holmes as the new Basileus for 2014.
Announcements were made.
 The going away party for the Basileus Soror Lisa Belt and Soror Shelly Cole will be tonight at
TeKei’s on 16th and Utica from 7:00p.m.-9:00p.m.
 Soror Sherron Jones is having a function called “It’s A Grown Folks Affair” on February 14th,
2014 from 9:00p.m. – 1:00p.m. at the Tulsa Fraternal Order of Police Lodge #93. 12512 East 21
Street. Tulsa, Oklahoma. There will be a catered dinner and music is by Silky Soul. $15.00.
BYOL. Advance tickets. $20.00 at the door. Limited seating. See Soror Sherron Jones for tickets.
 Soror Tracye Love is opening her own counseling business called Love and Associates. Please
wish her luck and prosperity.
 Please register for the MWRC. Soror Lisa Belt will stay to assist in group registration if you need.
