JEDI’s Bookkeeper & Human Resource Assistant Job Description Title: Bookkeeper & Human Resource Assistant Reports to: Executive Director/Fiscal Adviser Exempt: No Approved by: Date: Employee Signature: Date: Hours: Part Time (2-3 days per week) Salary/wage: $20-25 depending on qualifications and experience Definition of Position/s: Responsible for reviews and process of financial, and provide administrative support as needed to management, processes and maintains human resources systems. The accounts of JEDI are complex and require experience and knowledge well beyond that needed for a typical small business or non-profit. You are responsible for having a solid understanding of the organization’s operations and management, and some of its more complex financial management and accounting issues. Working closely with management and staff members to coordinate and implement all JEDI’s activity to the highest degree of professionalism. Maintain books of account (including but not limited to preparing payables, coding and posting invoices, preparing deposits, journal entries, reconciliations, petty cash; 2. Oversee issuing of accounts payable and receivables; 3. Prepare financial statements for project staff, executive director and board of directors; 4. Reviews invoices, requisitions, and purchase orders and other source documents for completeness and accuracy 5. Prepare/process staff payroll, travel, and expense claims 6. Determines, resolves and rectifies documentation insufficiencies and/or inconsistencies with other employees and/or the public 7. Maintain year-end working papers and spreadsheets, and assist with preparation for any audits or independent audit of the JEDI’s books with support from the executive director; 8. Assist in preparation and conduct financial reviews by regulatory agencies 9. Provide technical support (including software updates, trouble-shooting and back-ups) 10. Maintain current knowledge of regulatory changes and impacts on the organization’s books of account; (Uniform Guidelines and Grant Notice of Awards) 11. Maintain an accurate and complete trail of supporting documentation for all financial and bookkeeping activities; 12. Maintain up-to-date, complete and systematic filing system to support bookkeeping and financial records 13. Assist in the creation, updating and maintenance of Human resources tools such as the JEDI Employee Handbook, TASC benefits, etc. 14. Make sure JEDI is up to date in its legal postings for hourly wage, etc. 15. Other duties as assigned by executive director. Human Resource Assistant: General Job Duties: 1. Maintain employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to management; directing the process of benefit claims 2. Ensure legal compliance by monitoring and implementing applicable humans resource federal and state requirements; maintain records 3. Maintain management guidelines by preparing, updating, and recommending human resource policies and procedures 4. Perform all other duties functions or duties as directed by Executive Director. Required Knowledge, Skills and Abilities: Knowledge of: 1. 2. 3. 4. Office and non-profit fund accounting practices and procedures; Human resource requirements; Business English; spelling and business arithmetic; Modern office equipment, filing systems, procedures and functions in connection with accounting and fiscal units; 5. Familiarity with or experience in data entry including, accounting, spreadsheet and word processing software. 6. Fund accounting for non-profits 7. Government grant regulations and Uniform Guidelines Ability to: 1. Keep accurate and detailed records, assemble and organize data and prepare reports from such records; 2. Make arithmetical computations with speed and accuracy; 3. Be able to sit for extended periods of time, operate business machines for extended periods of time and deal with the stresses of deadlines, detailed accounting duties; 4. Deal with the public tactfully and courteously and work harmoniously with other employees; 5. Maintain confidentiality; 6. Type accurately from copy and rough draft; 7. Work independently to organize schedule, and manage assignments and pace workload; 8. Ability to respond sensitively to questions and complaints from staff, funders and the public and maintain confidentiality 9. Create new programs within JEDI parameters; 10. Comply with state labor laws & guidelines 11. Interact effectively with JEDI staff and contractors; 12. Use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions, maintain office efficiency by planning and implementing office systems, layouts and equipment procurements; 13. Design and implement office policies by establishing standards and procedures; 14. Design and implement filing systems and ensure filing systems are maintained and current; 15. Monitor and maintain office supply acquisitions; 16. Maintain a safe and secure working environment. Qualifications: Education equal to high school diploma or equivalent and completion of core units required from an accredited community college for an Associate of Arts degree in business administration, finance, accounting or closely related field. Non-profit bookkeeping experience a must. Government grant experience highly desirable. Human resource background a distinct plus.
