Management System Objective:
Improve performance through the use of data, information and knowledge to understand variability and
to improve strategic and operational decision-making.
BEF Item: 3.1 Generating, Collecting and Analysing the Right Data to Inform Decision-Making:
Excellent organisations have effective systems and processes for determining what data and
information should be collected (e.g. the development of meaningful organisational KPIs) and how it is
handled, stored, analysed and interpreted to create information and knowledge. Organisations use this
information to increase their understanding of the environment in which they operate (internally and
externally) and continually review it to ensure it remains current, meaningful and effective.
Approach:

Surveys are undertaken in the following areas and data is collected to inform decision-making:

Various staff members within the Corporate Group analyse and interpret numerous forms of
data.

A Balanced Scorecard is in place for Facilities and Services which provides data in graphical
format to inform decision-making.

Records are stored and disposed of within the University’s approved Records Management
System (TRIM) in accordance with the Records Management Policy:

Ensuring data integrity
o
The Enterprise Information Management (EIM) Team has implemented an ECU wide data
warehouse approach and reporting tool. This tool focuses on collecting data from the
University’s core applications for Finance, Research and Students and will be expanded to
include Staff in the near future.

Deployment:

Staff within the Corporate Group use a variety of applications as outlined in Approach.

Information is disseminated by the website. A project to migrate the existing University’s website to
a content management system is underway which will streamline access to the information and
ensure the integrity of the information.

Data integrity is reliant on adequate and correct training of staff, and some systems validation.
Results:

All core services used by the Corporate Group are supported by information systems.

Improvement:

Implement an applications framework that provides a register of systems and their interfaces into
other applications.

Agree strategic and operational decision making performance indicators with a view to including
these in a Corporate Balanced Scorecard.

Roll-out the content management system to the remaining Centres within the Corporate Group.

Make use of Google Analytics and make statistics ready available.

Consider replacement/enhancement to staff directory such that details are current and accurate.

Implement a solution that reports contract performance and milestones across the Corporate areas.
