1 Chapter 9 Working with a Database Chapter 9 Vocabulary Access The Microsoft Office RDBMS application. Alphabetical order See Ascending order. Append Adding data to the end of table. Ascending order In order from lowest to highest. Also called alphabetical order when a sort is based on a text field and chronological when a sort is based on a date field. Boundary The column borders in a table. Chronological order See Ascending order. Data Redundancy Unnecessary data duplication. Database An organized collection of related data. Database schema A description of the data and the organization of the data into tables in a relational database. Datasheet The data for a table organized with fields in columns and records in rows. Datasheet view Used to display the basic structure of a table in a datasheet with fields in columns and records in rows. Descending order In order from highest to lowest. Entry The data for a field. Field A column in a table. Used to store data. Filtering Displaying records based on a specified criteria. Form A database object used for entering records into a table and for viewing existing records. Form view Used for entering records with a form. Importing data Converting a file created in one application for use by the receiving application. Landscape orientation A print setting that uses the widest part of the paper to print across. Navigation pane Used to run, open, and manage the objects of an Access database. Populating a database Adding records to a database. Portrait orientation A print setting that uses the narrowest part of the paper to print across. RDBMS (Relational Database Management System) A software application that contains tools to manage data, answer queries, create user-friendly forms for data entry, and generate printed reports. Record A set of data for the fields in a table. Record controls Used for displaying a specific record in a form or for displaying a new, empty record. Located at the bottom of a form. Record selector The gray box to the left of each record in a datasheet. Sorting Placing records in a specified order. Table A database object that stores related data organized into rows and columns. Updating Modifying a record. Found on the Home tab. Ascending Orders records from low to high based on the data in a specified field. Found on the Home tab. Bold Formats text as bold. Found on the Format and Home tabs. Clear All Filters Removes all filters that have been applied to a datasheet. Found in Home > Advanced. Close Print Preview Closes print preview. Found on the Print Preview tab. Copy Creates a duplicate of the selected data for pasting. Found on the Home tab. Create E-mail Starts a wizard for collecting data through e-mail messages. Found on the External Data tab. Delete Record Deletes the active record. Found in Home > Delete. Descending Orders records from high to low based on the data in a specified field. Found on the Home tab. Excel Imports data from an Excel workbook file. Found on the External Data tab. Filter Displays a menu for limiting displayed records based on specified criteria. Found on the Home tab. First record Displays the first record in a table. Found in the record controls at the bottom of a form. Font Changes the font of text in a form or datasheet. Found on the Format and Home tabs. Font Size Changes the size of the text in a form or datasheet. Found on the Format and Home tabs. Form View Displays a form in Form view where records can be added. Found in Home > View. Landscape Changes the print orientation of a document to landscape. Found on the Print Preview tab. Last record Displays the last record from a table. Found in the record controls at the bottom of a form. Narrow Reduces the amount of white space around the edges of a document. Found in Print Preview > Margins. New (blank) record Displays a new, blank record in a form. Found in the record controls at the bottom of a form. Next record Displays the next record from a table. Page Setup Displays the Page Setup dialog box for changing print orientation and margins. Found on the Print Preview tab. Paste Places the most recently copied data at the insertion point or in the selected cell. Found on the Home tab. Paste Options Displays a list of formatting options for pasted data. Found in a Word document immediately after data has been pasted. Portrait Changes the print orientation of a document to portrait. Found on the Print Preview tab. Previous record Displays the previous record from a table. Found in the record controls at the bottom of a form. Print Displays the Print dialog box for printing a table or form. Found on the Print Preview tab. Print Preview Displays a preview of a table or form. Found in File > Print. Remove Sort Removes all sorts that have been applied to a datasheet. Found on the Home tab. Spelling Checks the spelling of all the entries. Found on the Home tab. Text File Imports data from a text file. Found on the External Data tab. Toggle Filter Applies or removes a filter.
