The manager is the key to a successful season and a happy coaching staff. The Manager is always on the front line and does all the great work behind the scenes. All SIIH Players, Coaches, and Parents are governed by the rules of USA Hockey and the Missouri Hockey Youth Hockey League (MO Hockey). One of a Team Manager’s most important contributions to the team is helping to develop and maintain a positive and supportive environment for families, players, and coaches. The Team Manager traditionally leads in team organization off the ice. It is highly suggested at the start of the season to coordinate an outing in order to create cohesion among teammates and families. Suggested events can be: laser-tag, family hosted pot luck dinner, team pizza night, attend a Blue’s game together, bowling, Christmas party, acknowledge a player’s birthday, and many other possibilities. USA Hockey offers an abundance of team building suggestions on their website www.usahockey.com. You will be the single point of contact for your team. The families will rely on the Team Manager to provide information about practice and game schedules, changes or discussions about team plans, and any activities the IceHawks put forth. A weekly update via email helps families plan for upcoming activities and identify any transporting/carpooling needs. Identify your mode of contact to the families; or ask each family how they wish to be contacted. You may establish a social media page, phone tree, or “text message blast” for passing along unexpected changes. You will also be the direct link between your team and the SIIH Board. Communication and feedback is crucial and greatly appreciated. Please bring all necessary matters to the Board. A “Parent Awareness” form is required by SIIH from each family with each parent signature. All parents and players are responsible for knowing the SIIH Rules and Regulations. A copy of the SIIH Rules and Regulations can be found in the Manager’s Corner on the SIIH webpage as well as located in Appendix A. Encourage your families to be familiar with the document. If rules are violated, the actions will be reviewed by the SIIH Rules and Discipline committee, resulting in possible disciplinary action. The dynamics of the team unit (coaches, manager, and parents) are as important as that of the coaches and players. 7 In order to be eligible to participate on any team, all participants, including coaches and managers, are required to receive a USA Hockey number and complete a background check. Links can be found in the Manager’s Corner on the SIIH Webpage. Below are the steps to take: 1. Register with USA Hockey to receive a USA Hockey number. Go to https://www.usahockeyregistration.com/login_input.action and choose “Ice Managers/Volunteers.” Follow the online instructions. Save a copy of your USA Hockey information and forward to Melissa Bourn at bournmelissa@hotmail.com and Heather Mowen at Heather.Mowen@csileasing.com. There is no charge for managers to register with USA Hockey. 2. Complete a background check using the application that can be found by going to http://mohockey.org/screeningprogram.asp. Click on “Missouri Hockey Background Screening Information & Instructions (PDF)” and follow the online instructions. SIIH will reimburse Managers and Coaches the processing fee when you submit a receipt to the SIIH Treasurer, Robin Drolet at robindrolet@hotmail.com. The background check must be updated every three years. If the Manager and his/her spouse plan to share the Manager’s role, SIIH requests that both parents apply for the background check. 8 SafeSport Training All volunteers, coaches, managers, and parents are required to complete SafeSport Training. This mandatory SafeSport training by USA Hockey provides training on recognizing and reducing circumstances for potential abuse to occur. SafeSport Training is valid for two years and only requires a Refresher Course thereafter. Once the families have completed their certification, you must keep a copy of their certificate in your Manager Binder. 10 Team Manager’s Binder Each Team Manager must keep a binder containing the team’s credentials. Maintaining this binder is one of the most important task of the manager and the binder should be available at all practices, games (league, non-league, and playoffs) and tournaments. It is important that the manager’s binder is accurate and complete for all teams. This is especially important for any team that makes it to the State playoffs at the end of the season. This book may be checked to ensure that all players and the team are eligible to participate in the playoff games. The manager must make sure the team’s credentials are kept up to date throughout the season. This manager’s binder must include the following: 1. USA Hockey Official Player Verified Roster 2. Supplement Player Rosters to document any additions and/or deletions that are made to the official roster (the deadline for roster changes is Dec. 31). All additions/deletions must be approved by the Hockey Director and the Registrar before a player will be allowed on the ice with the team. Each Player, Coach, and Manager must have these completed forms kept in the binder: 1. USA Hockey Consent to Treat (Appendix B) 2. A copy of the front and back of the Coaches’ Coaching Education Program Cards, CEP 3. Copy of Player Code of Conduct (Appendix C) 4. Copy of Parent Awareness (Appendix D) 5. Incident/ Injury report (Appendix E) 5. Scottrade Waivers (Appendix F) 11 Risk Management Due to the nature of the sport of ice hockey, there is a higher risk of incident or injury. When this occurs, there are several steps to take to insure a proper resolution or procedure is followed. Player Injury Report In the case of an accident a report must be submitted immediately following the incident or injury. It is easier to fill the form out at the time of the accident than it is to track down details afterwards. Fill out an injury form if an injury requires medical treatment, and forward a copy of the form to the Director of Managers, Melissa Bourn at bournmelissa@hotmail.com and Director of ADM & REDSS, Gus Feldker at gfeldker@gmail.com. If a player is out for an extended period of time due to a broken bone, concussion, etc., that player may not come back to practices or games without a release signed by the player’s doctor and submitted to Director of Managers, Melissa Bourn at bournmelissa@hotmail.com , Director of ADM & REDSS, Gus Feldker at gfeldker@gmail.com, and the Team Manager. A copy of the Player Injury Report can be found in the Manager’s Corner on the SIIH webpage and in Appendix E. Off Ice Incident Report In addition to the possibility of On Ice injury, there may be incidents that occur off-ice that you, the manager, or a parent, will need to report. Such incidents could be an injury, parent altercations, player altercations, locker room occurrence, or other possible situations that can occur between individuals and teams. Complete a report for all questionable incidents and submit to Director of Managers, Melissa Bourn at bournmelissa@hotmail.com and Director of ADM & REDSS, Gus Feldker at gfeldker@gmail.com. The Incident Report can be found in the Manager’s Corner on the SIIH Webpage and in Appendix E. 12 Volunteer Program The Southern Illinois IceHawks Youth Hockey Program is a volunteer run organization, including and not limited to all past and present board members, coaches, team managers, team parents and friends of the IceHawks. Volunteers are essential to sustaining a strong quality youth hockey program. A copy of the Volunteer Policy is located in Appendix G and in the Manager’s Corner on the IceHawks Webpage. Volunteer Requirements All families from Mites to Bantam are requested to complete 8 volunteer hours per season. In an effort to make volunteer work more equitable for the entire program, a $100 DEPOSIT per family will be required. A check made payable to Southern Illinois Ice Hawks in the amount of $100 will be held as a deposit by the organization until family volunteer requirements have been completed. The volunteer check will be returned during the end of year banquet provided volunteer requirements have been completed. The deposit check WILL NOT BE CASHED unless a family does not satisfy the volunteer requirements by the end of the season. All deposit needs to be received by the organization before any participant can take the ice during tryouts. The $100 volunteer deposit check MUST be turned in at the time of tryouts. Mini’s and Midgets are exempt from both programs. However, if help is needed for your team, the families are responsible to assist. As volunteering opportunities become available, e-mails will be sent to the Team Managers to distribute to their families. Opportunities will also be posted on the IceHawks webpage, Dibs, in email blasts, and Facebook. The following is the procedure to be followed: Volunteers should register on Dibs prior to event. Volunteers should check-in with the event organizer and sign the sign-in sheet to get credit for their volunteer opportunity. At completion of the volunteers shift their hours will be credited to the required (8) hours by the Volunteer Chair. Volunteer Fee Opt-out Donation The Ice Hawks require a $100 per family donation, however if a family chooses not to volunteer for any organization events leading up to the start of the season or during the season. This fee is payable at the time of team tryouts via personal check or cash per family, not per child. 13 During tryouts parents are to notify the IceHawks that they are taking the Volunteer Fee Optout and date check at current date. Once a family uses the opt-out option they will not be required to volunteer for any events during the season. Available Volunteer Opportunities 14 Coaches Team Managers Uniform Fitting Playoffs Fundraising Other Opportunities (Posted throughout the year) Sponsorships In order to keep registration fees reasonable and allow all interested players to participate in the Southern Illinois IceHawks Youth Hockey Program, the IceHawks offer and encourage local businesses to provide sponsorships of varying levels and in varying capacities. Our organization depends on the support and involvement of many local businesses. The Southern Illinois IceHawks (SIIH) is a non-profit 501(c) (3) organization in which a majority of the revenue being obtained from player registration fees, and community-based sponsorships, and donations. If you know of or have a business that would like to provide sponsorship, please consider asking them to support the IceHawks organization by giving them a sponsorship form or forward the business contact information to Elizabeth Nappier at elizabeth.nappier@icloud.com. At various times during the season, the IceHawks will be looking for additional donations to assist in fundraising efforts. For example, previously the IceHawks have hosted a 5K Puck-n-Run in which the Belleville’s Farmers Market has donated the fruit for the participants. If you would like to donate items or services, or know of a business that would be willing to donate items or services, please contact or forward their business contact information to Elizabeth Nappier at elizabeth.nappier@icloud.com. In addition, please share the sponsorship form with all families to assists in gaining additional sponsors. The sponsorship form can be found on the IceHawks webpage in the Manager’s Corner and in Appendix H. 15 Fundraising Throughout the year SIIH will host various fundraising events. The funds aid in coach training, coach certification, equipment, lowering ice costs, providing welcome packets, expanding opportunities for the organization, and hosting the End of Season Banquet. Organization fundraising activities include: The Belleville Chili Cook-Off Beer and Chicken Dance Entertainment Book Sells Schwann’s Online Ordering with a date to be determined. Amazon Smile: Si Ice Hawks Hockey @ http://smile.amazon.com/ Team Fundraising In addition to the SIIH organization fundraising, individual teams may coordinate and participate in fundraising activities that directly supports their team for personal hockey expenses. Team fundraisers can go towards offsetting tournament costs, team t-shirts, team building activities, and other expenses the team incurs. Examples of successful events: Krispy Kreme Card Sales, STL Blues Ticket Sales, Sports Card Sales, Team Party With silent auction, and others. For additional information and ideas, as well as support contact Elizabeth Nappier at elizabeth.nappier@icloud.com. Individual Fundraising One fundraising opportunity offered, that allows families to recoup their registration costs, is selling TJs Pizza. This will occur during the fall. Families will receive up to 40% of the sales of the pizza to help offset registration costs. This money goes back to the individual player selling the pizza. For additional information, contact Elizabeth Nappier at Elizabeth.nappier@icloud.com. 16 Ice Times All team managers will receive their allotted ice times from Jen Mauk, Ice & Dry Land Manager. It is advised that you place these ice times on a printed calendar as you begin to plan your games and tournaments. A calendar is available in Appendix Q and on the Manager’s Corner. Practice Ice – Swapping: Managers will have the freedom of swapping practice ice with other SIIH teams. For example, if you have practice on Wednesday and you scheduled an away game, e-mail the level above and below you to see if they are interested in a swap for an alternate date. If agreed, both team managers must send a confirmation e-mail to Jen at JenMauk5@gmail.com to update the tags on the SIIH calendar. It is unlikely you will be able to swap Saturday practice ice to a weekday. All teams will have practice ice on Saturday, except for tournament weekends and Saturdays designated for home games. Game Ice: Avoid scheduling Declaration/Regular season games on Saturday. Sunday is best. All SIIH teams will have regular scheduled practices on Saturday, September 12th – February 27th between 6:00am-12:10pm. If you schedule an away game on Saturday, the double day ice touch should be approved by your coach. Due to our ice shortage, it is unlikely your Saturday practice slot will be rescheduled and you may forfeit your practice allocation. Tournaments: Send a survey to your parents, as soon as teams have been announced, for tournament play. Google forms has is a great resource to use for sending surveys and documenting responses. A list of possible tournaments is included in this manual. These are the dates most often used for the 2015/16 season for tourneys: Columbus Day Thanksgiving Christmas MLK Presidents Day 17 October 9th-12th November 25th-29th December 19th - January 4th January 15th-18th February 12th-18th Please see tournament policy before registering for a tournament. Send an email to Jen Mauk at JenMauk5@gmail.com as soon as your team has agreed on tournament dates. You will not forfeit Saturday ice if you notify Jen of tournament at least 2 weeks prior to event. Calendar updates: It is likely that we will be adding ice times to the calendar throughout the season of additional practice/game times. Please review the SIIH calendar on the website frequently. It is recommended that you send your families your TEAM page link via email to the calendar or have them sync their personal calendar to your team page via ical. 18 Locker Room Policy In addition to the development of our hockey players and enjoyment of the sport of hockey, the safety and protection of our participants is central to the Ice Hawks goals. SIIH adheres to USA Hockey’s SafeSport Program as a means to help protect its participants from physical abuse, sexual abuse and other types of misconduct, including emotional abuse, bullying, threats, harassment and hazing. To help prevent abuse or misconduct from occurring in our locker rooms, SIIH has adopted the following locker room policy as stated by USA Hockey. This policy is designed to maintain personal privacy as well as to reduce the risk of misconduct in locker rooms. At various facilities the Ice Hawks use, there are several different locker rooms available for our program’s use. Often each of the locker rooms has its own restroom and when available, shower area. Some of the locker rooms share a restroom and/or shower area with one or more locker rooms. Some teams in our program may also occasionally or regularly travel to play games at other arenas, and those locker rooms, rest rooms and shower facilities will vary from location to location. SIIH’s team organizers will attempt to provide information on the locker room facilities in advance of games away from our home arena. At arenas for which you are unfamiliar, parents should plan to have extra time and some flexibility in making arrangements for their child to dress, undress, and shower if desired. Locker Room Monitoring SIIH has predictable and limited use of locker rooms and changing areas (e.g., generally 30-45 minutes before and following practices and games). This allows for direct and regular monitoring of locker room areas. While constant monitoring inside of locker rooms and changing areas might be the most effective way to prevent problems, we understand that this would likely make some players uncomfortable and may even place our staff at risk for unwarranted suspicion. We conduct a sweep of the locker rooms and changing areas before players arrive, and if the coaches are not inside the locker rooms, either a coach or voluntary locker room monitors (each of which has been screened and is Safe Sport certified) will be posted directly outside of the locker rooms and changing areas during periods of use, and leave the doors open only when adequate privacy is still possible, so that only participants (coaches and players), approved team personnel, and family members are permitted in the locker room. Team personnel will also secure the locker room appropriately during times when the team is on the ice. 19 Parents in Locker Rooms Except for players at the younger age groups such as the minis, mites, and squirts, we discourage parents from entering locker rooms unless it is truly necessary. If a player needs assistance with his or her uniform or gear, if the player is or may be injured, or a player’s disability warrants assistance, then we ask that parents let the coach know beforehand that he or she will be helping the player. Naturally, with our youngest age groups it is necessary for parents to assist the players getting dressed. We encourage parents to teach their players as young as possible how to get dressed so that players will learn as early as possible how to get dressed independently. In circumstances where parents are permitted in the locker room, coaches are permitted to ask that the parents leave for a short time before the game and for a short time after the game so that the coaches may address the players. As players get older, the coach may in his or her discretion prohibit parents from a locker room. Mixed Gender Teams Some of our teams consist of both male and female players. It is important that the privacy rights of all of our players are given consideration and appropriate arrangements made. Where possible, SIIH will have the male and female players dress/undress in separate locker rooms and then convene in a single locker room before the game or team meeting. Once the game or practice is finished, the players may come to one locker room for a team meeting and then the male and female players proceed to their separate locker rooms to undress and shower, if available. If separate locker rooms are not available, then the players will take turns using the locker room to change. We understand that these arrangements may require that players arrive earlier or leave later to dress, but believe that this is the most reasonable way to accommodate and respect all of our players. Cell Phones and Other Mobile Recording Devices Cell phones and other mobile devices with recording capabilities, including voice recording, still cameras and video cameras, are not permitted to be used in the locker rooms. If phones or other mobile devices must be used, they should be taken outside of the locker room. 20 Prohibited Conduct and Reporting SIIH prohibits all types of physical abuse, sexual abuse, emotional abuse, bullying, threats, harassment and hazing, all as described in the USA Hockey SafeSport Handbook. Participants, parents, or volunteers in SIIH may be subject to disciplinary action for violation of these locker room policies or for engaging in any misconduct or abuse or that violates the USA Hockey SafeSport Policies. Reports of any actual or suspected violations should be sent to Director of ADM & REDSS, Gus Feldker at gfeldker@gmail.com. The Safesport report can be found in Appendix I and in the Manager’s Corner. You may also email USA Hockey at SafeSport@usahockey.org or call 1-800-888-4656. 21 Scheduling Games The Manager is responsible for scheduling all declaration and league games. This is probably the most time consuming of all manager responsibilities. At the start of the season, Ice & Dry Land Manager, Jen Mauk, will distribute the ice schedule for your team. There are two meetings that are to the benefit of your team to attend in order to make contact with other organizations and the managers from the corresponding teams. These meetings will be scheduled closer to the start of the Declaration season in September and October. You will also be able to schedule games with many of those teams at these meetings. Additionally, you will find contact information on the MO Hockey Youth Division website at http://www.mohockeyyd.org.prod.sportngin.com/page/show/1970566-missouri-hockeyyouth-division-clubs as well as direct links to all Missouri Hockey clubs. Upon receiving your ice schedule, start contacting the Team Managers in your division via email or telephone. Traditionally, you will schedule one home and one away game with each team in your division, however this may change once league teams are set and MoHockey determines the number of games your division is to play. If your division has a different format, it will be outlined on the MO Hockey Web-Site and during the Coach/Manger meetings. It is advisable that you keep all Team Manger contact information and contacts for future use. As you build the schedule keep in mind the other activities that are occurring throughout the season. The best approach is to have a printed calendar with all future events marked. It helps to do some research into the Coaching staff schedule as well as family vacations and/or other events ahead of time in order to avoid possible conflicts. Avoid scheduling Declaration/Regular season games on Saturday. (Sunday is best) All SIIH teams will have regular scheduled practices on Saturday, September 12th – February 27th between 6:00am-12:10pm. Additionally, try to avoid October 1, 2, and 3, Thanksgiving week-end, Christmas Break, President’s weekend, and MLK week-end as many tournaments occur during this time that your team may wish to participate. A majority of your games should be scheduled on week-ends. Week night games can be very difficult for both teams because of school, parent’s work schedules and traffic. If possible, try to schedule week night games only with closer teams (Meramec, Affton, Kirkwood, & Twin Bridges). Try to evenly space out games. Try not to “front load” your schedule with games to allow for adequate practice time at the beginning of the season. 22 Squirt, Pee Wee, and Bantam will play 3-4 Declaration games during the month of October. After the Declaration Season is over, teams will be seeded, the number of games each team is to play is determined, and the regular season will begin on a date shortly thereafter. Once you have determined your team’s league schedule, it is your responsibility to enter only your home games into the MO Hockey youth division website at http://www.mohockeyyd.org/servlet/Model2Servlet?action=ViewPublicSchedule&_ga=1.14146 2066.1648908523.1431866007 . You will receive your login information to use on the MoHockey Youth Division website for entering all required information. Instructions for the Scheduling Website are as followed and are located in Appendix J, in the Manager’s Corner on the IceHawks webpage, and in the Coach Scheduling Site Manual on the MoHockey website. 1. Choose DECLARATION or REGULAR season. 2. Select the Schedule Game link from the left navigation menu or from the main page. 3. Select your team to schedule games. Multiple teams will only appear if your registrar has assigned you as a coach or manager for more than one team. 4. Select the visiting team which you will schedule play against. 5. Select the building where the game will be played. 6. Select the rink or sheet of ice on which the game will be played. 7. Select the month, date and year the game will be played. 8. Select the time the game will be played. Be sure to note am or pm. 9. To schedule and save the game, press the Save Game button. The Save Game button should only be used when both coaches have agreed to the game date, and time. 10. Check the message at the bottom of the page for errors. After your league game schedule has been entered, finalized, and approved, MO Hockey will coordinate with MIHOA (Missouri Hockey Officiating Association) to schedule referees to be present at each game. Cancelling and Rescheduling Games It is advisable to have all games confirmed with the opposing team prior to finalizing games, however, if your team has no other choice, but to reschedule a league game after the season has started, you must submit a Game Rescheduling Form B to MO Hockey along with a $100 fee. Additionally, inform the director of managers, Melissa Bourn, at bournmelissa@hotmail.com as well as the appropriate leveled Commissioner Representative with the rescheduled information. How to Cancel A Game, Commissioner Representative 23 information, and Game Rescheduling Form B is located in Appendix K, in the Manager’s Corner on the SIIH Webpage, and on the MoHockey Website. Once you have the games schedule, you will need to change the tags of your ice times on the IceHawks webpage calendar. Additionally, you will need to add your away games with your team tag. You will receive training on using the SIIH webpage to complete your calendar. 24 Game Day MO Hockey No Alcohol Policy As stated in Missouri Hockey Youth Division Rules & Policies, Part 1, Section E, Part D: Alcohol of any type is not permitted inside the rink viewing area. It is the responsibility of the clubs, teams and coaches to insure alcohol is not present in the viewing area of the rink. Please make sure your families are aware of this policy. Uniforms Players should bring both “Home” and “Away” jerseys to all games. Be sure that all players have a mouth guard, are wearing a neck guard, and a helmet chin strap. Officials have been told to enforce these rules. Additionally, coaches tend to ask that all players arrive to the ice rink at least 1 hour prior to the start of game. Score Clock ~ Score Sheet~ Penalty Box The home team is responsible for supplying 3 volunteers at each home game; one to keep score, one to run the score clock, and one to supervise the penalty box. When visiting another team, one volunteer is needed to supervise the penalty box. Involve all of your families by creating a schedule at the start of the season allowing them to choose what job they would like and at which games. Educate your families on how to fill out the score sheet and how to run the clock prior to the start of league play. Instructions and a sample are located in Appendix L and in the Manager’s Corner. It is helpful to print the team roster (name and jersey number) onto labels for ease of filling out the score sheet. Templates are available on the Manager’s Corner and will be e-mailed to all managers. The template uses Avery shipping label 5163 which are included in your toolkit for use. Three labels will be needed for each score sheet, which will allow you to place one on each page of the score sheet. Be sure the score sheet has been signed by the officials, the home team coach, and the opposing team coach. Keep one copy of the score sheet for your records, give one to the opposing team, and mail the original copy to MO Hockey. MO Hockey will assess a $10 penalty fee for illegible and incomplete score sheets. Your team is responsible for paying the penalties. 25 Your coach will receive a packet of score sheets and self addressed stamped envelopes at the start of the season MO Hockey coaches meeting. You will need to get these from your coach. In the event that you should need more, please contact the Director of Managers, Melissa Bourn at bournmelissa@hotmail.com or by phone. Entering Home Game Results ~ Mail Score Sheet It is the Manager’s responsibility to input your home game results (scores) into the MO Hockey website http://www.mohockeyyd.org/servlet/Model2Servlet?action=ViewPublicSchedule&_ga=1.14559 8260.1648908523.1431866007 within 48 hours of game completion or a $10 fee will be assessed. The Manager is also responsible for mailing the original score sheet to MO Hockey within 48 hours of game completion or a $10 fee will be assessed. Instructions on how to enter game results are included in the Scheduling Website Manual in Appendix K. Teams will be responsible for any assessed fees. MO Hockey will bill SIIH, who will in turn bill the team who incurred the assessment. 26 Practice Games District and Non District Games Your team may choose to find opportunities for practice games to supplement your league play with your coach’s permission. You have the option to use your open home ice (full sheet) to schedule a game in place of a regular practice. Practice games are a great way to develop game skills before the season begins. They are very beneficial to first year players to experience “game situations” before league play begins. Practice games should be limited to 3-4 per season. To schedule practice games, contact the Team Manager from the opposing team and give them as much information as you can in your initial message. If you have several open ice slots when you can host a game, list them all. If there are days in which you can travel to their rink indicate when they are. If a team contacts you and offers to host your team, be prepared to reciprocate or say up front that you have no home ice to offer. Once you have scheduled games do not cancel them if you can possibly avoid it. Once you have scheduled a home practice game with the opposing team, you must notify MIHOA in order to request officials or referees. Access the MIHOA website at www.mihoa.org in order to input your request. There is also a link on the MO Hockey website www.mohockeyyd.org. You must request access to the MIHOA website by sending a request for access to www.oswebs.com/mihoa/organization/dir.asp?dir=pwdreq. If you encounter problems please contact the Director of Managers, Melissa Bourn at bournmelissa@hotmail.com. Typically the home or host team covers the referee expense. If you are hosting a team and they are not able to reciprocate, you may ask the opposing team to split the referee fees. Referee fees range from approximately $45 for Mini-Mites to $70 for Bantams. 2015-16 Ref Fees will be sent out when we receive them. If they are in agreement, please collect their portion on game day. The SIIH Treasurer will bill your team not the opposing team for the referee fees. You may schedule practice games with the teams in your MO Hockey district league play or with teams outside the MO Hockey district. If you are contacted by teams outside the MO Hockey district verify that the team is on equal level of play. If you travel to play teams outside 27 the district, whether it is for practice or tournament participation, you must obtain a travel permit from the MO Hockey Registrar. The cost is $10 if you request the travel permit 3 weeks before the scheduled game, $20 if you request the travel permit less than 2 weeks but more than 1 week before the scheduled games and $30 if you scheduled game is less than 1 week. Please see MoHockey website, Manager’s Corner, or Appendix M for Travel Permit. FAILURE TO OBTAIN A TRAVEL PERMIT WILL RESULT IN $100 FEE PER INCIDENT and the possibility of Discipline action. Keep score during the game. Do not send the top copy of the score sheet to Missouri Hockey. Offer a copy to the opposing team. 28 Tournaments As Manager, you may take on the role of Tournament Coordinator or delegate to another member on your team. The Tournament Coordinator will be responsible for conducting a team survey for the possible tournaments, seeking approval from the Director of Managers, registering the team to participate, coordinating acceptable accommodations as stated by the hosting tournament organization, collecting tournament fees from your team families, and submitting tournament fees to the hosting organization Tournament participation is not mandatory; however, it is usually a fun experience for the players and families. Please keep in mind the expenses associated with tournament play and make sure you have agreement for the majority of your team before scheduling. If there are any questions, managers or parents can contact the Director of Managers, Melissa Bourn, for further direction. Tournament play is limited to 3 tournaments. The majority of the tournaments will take place on holiday weekends. It is important to identify the desires of the team participating in tournaments early on so that families can make plans and arrangements and games can be scheduled on non-tournament week-ends. When planning tournaments, you will want to check with other Team Managers as they may be attending the same tournament. Often times, tournament directors will issue discounts when multiple teams from one club attend a tournament or when your team attends multiple tournaments from the same hosting company such as Ultimate Tournaments. When receiving the discounts, be sure that all parties are aware of the discount and how they will apply. If you have any questions, please contact the tournament director or Director of Managers, Melissa Bourn. 29 SIIH Tournament Policy The purpose of tournament play is to provide a forum for diverse competition and strengthen team bonding while spending time together during an event. It is the intent of this policy to provide guidance and structure to SIIH team tournament activities. Tournament play requires a significant financial commitment and team collaboration should guide the process. 1. All tournament play will require approval of the SIIH Board if it is not covered by the statements below. Once tournaments are selected, please inform the Director of Managers, Melissa Bourn at bournmelissa@hotmail.com. 2. SIIH teams will be limited to 2 tournaments per year for House teams and 3 tournaments per year for Travel teams. For all teams, at least 1 tournament must be in town. The other tournaments may be out-of-town. Any exceptions to this rule (more than 3 tournaments for Travel or 2 for House) will require approval of the SIIH Board. A. In town will be considered within 120 miles of O' Fallon city center B. Out-of-town will be considered any tournament more than 120 miles from O' Fallon city center C. League games are not considered an out of town tournament, however MOHockey will allow an out of town team (NW Arkansas, KC, etc.) that your team faces in a tournament to be used as a league game 3. First step in the approval process is: the team’s managers will conduct anonymous voting of families. At least 80% of families must approve before seeking SIIH Board approval. The Team Manager must be able to substantiate this approval by submission of voting forms. Google forms is a great resource for conducting and recording responses to surveys. Second, lodging and any team functions while attending the tournament should be setup with consideration for the team’s finances and schedules. Lodging for away tournaments is generally done through the tournament company. If you need assistance, contact Melissa Bourn or Jen Mauk. 5. Finally, families opting to not participate in a tournament or activities surrounding a tournament will not be punished or admonished for this decision. Any indication of such retribution will be referred to the SIIH Board for review. Local Tournaments Local District tournaments are those directed by the teams in the Missouri Hockey League, i.e. Meramec Ice Blast Tournament, Chesterfield’s March Meltdown, Capital City Freeze Tournament, etc. Local tournaments may be found on the MO Hockey Youth Division website 30 http://www.mohockeyyd.org.prod.sportngin.com/page/show/1959563-tournaments. Tournament Directors may contact you individually to advertise their upcoming tournaments. Additionally, a list has been provided below of the more current tournaments. When traveling to and from tournaments or out of district games, travel in a group if possible. Organize dinner arrangements at your location for all families to join. Out of District Tournaments Out of District tournament participation requires you to request a travel permit from MOHockey. Out of District tournaments are those directed by teams outside the Missouri Hockey League, i.e. Chicago Cup Thanksgiving Tournament, Waterpark Classic in the Wisconsin Dells, etc.. The following procedures are to be followed when requesting a travel permit for all USA destinations: 1. Complete the travel permit form found at Manager’s Corner, Appendix M, or http://www.mohockeyyd.org.prod.sportngin.com/page/show/2084239-youth-divisionforms . A sample travel permit is also in Appendix M. A. Name of club requesting travel permit. Example: Southern Illinois IceHawks B. Name of division. Example: Mite AA C. Dates of the event. Example: October 18 – 20, 2015 D. City and State of the event. Example: Holland, Michigan E. State the nature of the event: Example: tournament F. Include the name of the person who will receive the permit, include their address, zip, telephone number and a fax number (The travel permit will be faxed when possible). 2. Include a copy of your USA team roster with the travel permit request form. The roster is obtained from the Registrar, Heather Mowan at hlmowen@yahoo.com. You may have to do this multiple times if you experience any roster changes. 3. Include a check payable to Missouri Hockey, Inc. with the travel permit request form. 4. As manager you will have access to update the calendar, roster, parent information, and rink information. Team Finances The Team Manager is responsible for establishing and documenting team finances. Team revenue comes from parents, sponsors, and/or fundraising activities. An example spreadsheet of team expenses can be found in Appendix N. In addition, you will receive the spreadsheet via email. Traditionally, at the start of the season, the Manager will collect an initial deposit from each player that will cover the expected expenses . The funds will be used to cover team expenses: i.e. practice game referee fees, tournament fees, coach’s gifts, and any other expenses the team deems they will incur. Distribute account statements to parents on activities of team balances and expenses. Refund balances at the end of the season. Team Meetings Conduct meetings with parents to inquire how they wish to participate in team functions. At this time, you may wish to have several parents become tournament coordinator, website and/or social media liaison, team building planning coordinator, and team fundraising coordinator. Ask for input from all parents on how to make your team have a fun and successful season. Be sure to always vote on team decisions concerning tournaments, extra ice purchases, etc. It is important to involve the parents, which in turn makes them feel part of their child’s team. Team Events Youth Hockey All Stars is a popular team events sponsored by the St Louis Blues. Information for this event can be found on www.blues.nhl.com, click on Fanzone then Amateur/Youth Hockey. This is a fun night for the kids. Most mini-mite, mite, & squirt teams try to participate if the team agrees. 34 Team Pictures SIIH is coordinating with a single photographer to photograph all team photos on a date to be determined when all ice has been allocated. Please do NOT schedule games on these dates to allow for picture time on the ice. Jerseys All players are required to purchase jerseys for season and post season play. Jersey fittings are announced via webblast, email, and facebook. Once jerseys have arrive you will be contacted by Denise Campo to pick up your team jerseys for distribution. State Championship Tournament Travel Teams and GRHL Teams will compete in the State Championship Tournament at the end of regular season play. Regular season play traditionally ends the 2nd week of February. The top 2 teams from the tournament will advance to the Championship Finals for the title. Please be aware that your team may be one of the hosting teams in your division when the schedule is released. You will be given all of the information needed including rink location, team seeding, and schedule. More information will be provided by MoHockey as the end of the season nears. Award Patches At the end of the season, award patches are distributed by MOHockey once you have requested the desired patches for the player earning them. Patches can only be earned for league or tournament game play. The following patches are available: Shut Out (allowed no goals in one game), Hat Trick (3 goals in one game), or Playmaker (3 assists in one game). Follow the procedure listed on the Awards Patch form located in the Manager’s Corner or in Appendix O. End of Season Coaches Gift At the end of the season, many parents like to show their appreciation to their coaches. Many Managers or parent volunteers offer to collect money from each family and purchase gifts or gift cards for Coaches and Assistant Coaches on behalf of the team. 35 Missouri Hockey All Missouri Hockey Youth Policies and Guidelines, calendar of events, as well as instructions can be found on their website http://www.mohockeyyd.org.prod.sportngin.com/mohockeyydhome. You may also find standings information for your team/division by clicking on the red tab at the top of the page labeled “Standings”. “View Schedule” for game scores of all games completed in your division. Syncing Ice Schedule One way for families to stay up to date is to sync the calendar on the SIIH webpage to their personal devices. Below is one way this can be done.
