Administration Manager COMPANY: SASFIN FINANCIAL ADVISORY SERVICES (PTY) LTD DIVISION: Financial Planning JOB TITLE: Administration Manager MANAGER: Head: Operations MAIN PURPOSE OF THE JOB Manage the day to day operations and Client Service Support staff of SFAS Financial Planning. Provide implementation support to the Head of Operations and Head of Financial Planning, in the implementation of short, medium and long term operational- and strategic objectives in SFAS Financial Planning. KEY AREAS OF RESPONSIBILITY General management of Client Service Support Staff Monitoring and management of all administration processes and procedures Maintenance and updating of business process documentation Risk and compliance monitoring and reporting of business risks Assist with FSB reporting Client liaison and client complaints management Assist with the preparation of Management Information and related reports Operational implementation of the business Strategic Business Plan IT liaison and project management Assist the Head of Financial Planning with management reporting Assist the Head of Financial Planning with budget management and controls DESCRIPTION OF TASKS Assist with all operational requirements for new planners including book transfers, training and IT requirements Review, maintain and effect continuous improvement of all processes and systems including CRM (X Plan). Monitor the daily workflow within the CRM system Support Head of Operations as Risk Champion for the financial planning division and maintain all risk incident logging and monthly risk attestation Liaise with Product Providers and ensure all contracts for Financial Planning are up to date Project liaison Maintain and monitor Financial Planner Book reports Quarterly calculation of Financial Planner administration fees Co-ordinate all daily work and load shedding, when required, amongst the Client Services Support team Assist with maintenance of all compliance registers and compliance reporting procedures Identifying areas of improvement in SFAS financial planning administration and operations procedures Day to day and monthly management and client reporting within Financial Planning as detailed in the Operations Procedures Manual Management of monthly commission cut off to ensure that all flow sheets are processed timeously and no bottlenecks occur Assist the Compliance Officer and Head of Financial Planning with all FSB reporting requirements Daily management of administration staff including new staff training Setting of annual key performance areas, performance appraisals and staff performance management when required Assist the Head of Financial Planning with financial planner commission suspense tracking and clearance Monitor changes to Sasfin policies and procedures and ensure implementation in Financial Planning if applicable Communication to Financial Planners on process changes QUALIFICATIONS/SKILLS Minimum 5 years Life assurance/investment administration experience as well as knowledge of risk and investment products Minimum 5 years staff management experience Advanced Excel, Power Point, Word, MS Access and Outlook skills are a critical requirement. High attention to detail, highly organized with excellent time management and prioritization skills Ability to work under pressure and deliver on strict deadlines Knowledge of X Plan / Astute would be an advantage Resourceful and proactive Excellent communication skills, written and oral Ability to deal effectively with problems Excellent people management skills Client service orientated REMUNERATION Total Cost to Company *Please consider your application unsuccessful if you have not received a response within 2 weeks of submission.
