Website Officer Job Specification Department: IT Responsible to: IT Manager Responsible for: None Hours of work: 35 hours per week Cadwyn’s IT department consists of: IT Manager 2 x IT Officers Web Officer Together we support all of the IT infrastructure and systems within Cadwyn, as well as our social enterprises - Calon Residential Leasing and CanDo Lettings. As Web Officer you will be a first-class communicator with planning and organising skills, enthusiasm around web technologies and a creative flair for coming up with new ideas. You will be responsible for all of Cadwyn’s existing web-based projects. Currently these include: Cadwyn website at www.cadwyn.co.uk CanDo Lettings website at www.candolettings.co.uk Our Intranet\Extranet (we currently use Yammer) HR self-service system However, this is just the beginning as we have ambitious plans for growing our Internet presence in innovative ways to communicate with our tenants and the wider community. This role is ideal for someone who would be excited at the prospect of leading these new projects. Job purpose To ensure Cadwyn’s websites, Intranet and extranets meet the requirements of the organisation and everyone we work with To work with the IT Manager to find ways that web technology can contribute to Cadwyn’s efficiency and innovation To be our expert at using the Content Management Systems of our sites To bring a creative flair to the IT Team at Cadwyn in both design and web To keep up to date with changes in web and social media technologies and lead Cadwyn in keeping ahead of these changes. Key Outputs of the role: 1. 2. 3. 4. 5. 6. 7. 8. 9. Liaise with Directors, Management, Staff, Board and Tenants of Cadwyn over requirements for our websites. Develop strategies for the future of Cadwyn’s websites. Create specifications and detailed operational plans for the delivery of Cadwyn’s web strategies. Project manage all website developments and improvements. Assist the IT Manager in commissioning and tendering of external website designers and developers. Manage our day-to-day relationships with external website developers and designers. To write and edit content, and work with other content creators within Cadwyn. To deliver training to Cadwyn staff and tenants on creating content for the web. To implement new features to our websites such as online statements for tenants and tracking repairs online. 10. To run focus groups with staff and tenants to help improve our websites. 11. To monitor usage of websites and report to management. 12. To co-ordinate testing and quality control of websites, including accessibility testing. 13. To engage with other organisations to ensure Cadwyn uses best-practice on the web. 14. To develop strategies for and manage our social media presence. 15. To advise others at Cadwyn on changes in web technologies. 16. To ensure external designers and all content producers work to style guides. 17. Work with the IT Officers to help them support web-based remote working systems. 18. Work with the Marketing and PR Assistant to optimise style guides for online usage. 19. To work with the rest of the IT team to provide general IT support to staff within Cadwyn as required. 20. Undertake any other reasonable tasks consistent with the post as directed by the IT Manager. Website Officer Person Specification Requirement Qualifications/Memberships HNC/HND qualification or equivalent Essential Desirable Higher Education (HNC, HND, Degree or Masters) in relevant discipline Professional Qualifications Membership and participation in an appropriate professional society Knowledge Understanding what makes a good website and how to create one Understanding of how websites are updated using content management systems Understanding of the housing sector Understanding how intranets and extranets work to boost efficiency of organisations Experience of dealing with API’s and linking with back-end databases Skills/Competencies Project Management Liaising with people and drawing up professional project specifications and plans Ability to work with designers and an understanding of website design principles Strong skills in using Microsoft Excel, Outlook, PowerPoint, Word and Access Excellent communication skills with an ability to work with and influence a range of professions Demonstrable decision making ability Ability to accurately edit content of websites Experience Experience of having managed a website or intranet – which could have been as a staff member of an organisation or as a volunteer Use of Adobe Creative suite (or similar) Experience of having generated content for the web, which may include writing, images, video or any other media Experience of meeting targets and continuous improvement under pressure Experience of successful team working Experience of working on own initiative, planning and organising multi- dimensional projects and workload Experience of working in an IT customer focused environment Willing and able to provide training to users on a one-on-one or group basis.
