Meeting Agenda and Minutes No. 5
Wednesday October 15, 2014
Meeting begins at12:17pm; Meeting finished at 12:52 pm.
Present: Chloe Lopez, Victoria Partosa, Hyerin Choi, Jessalyn Chen, Michelle Newson, Sarah
Nehme (12:24pm).

Item 1. Pending applications
Executives who were not present last week, please provide your input on the following
applications:
1A. ENSU – Green Steps to Work
Amount Requested: $400

Item 2. Executives missing meetings
Executives who are unable to attend a given week`s meeting, will need to write their comments
for the agenda before the meeting.
Item 3. First Sustainability Hub/EWG Meeting of the Year
Michelle has informed the UTERN team the meeting will take place on either Wednesday
October 22nd or on Thursday October 23rd. She also notes that Green Drinks is on Thursday
October 23rd and it would work out well if most people can make it on the Thursday. So that
students who attend the EWG meeting can easily make it to Green Drinks and network with
other students.
Item 4. Green Drinks
Chloe has informed the UTERN team that Paupers booked is currently booked on the Thursday
October 23rd from 7pm onwards. Currently, there are 28 “going,” as seen on the Facebook event.
The event on Facebook was created yesterday, and the turnout number of students is looking
quite promising. Chloe and the UTSU Sustainability Commissioner have thought about merging

UTSU’s Ecofest with UTERN’s Environment Week, hoping that this event will take one whole
month. Ecofest/Env Week will be in March. So far there has been interest to join and take part in
Ecofest/Env Week from Toronto 350.org and UTEA. Other suggestions include (external
organizations) Live Green and City of Toronto.
Item 5. Work-Study Hiring Package
UTERN exec members will need to download the package and fill in the necessary information
and give it to Laurane.
Item 6. Peoples’ Climate March Reimbursement
Yesterday on October 14th 2014 at 12:00pm-2pm reimbursement office hours started. The
executive team will be holding office hours to reimburse the students. The procedure is follows:
check the list of people who attended, check the name of the student, ask for proof of current
enrolement at U of T and TCard (for student number), and check how much for the
reimbursement and the cheque will be given to the student.
As a final reminder, here are our office hours for reimbursement:

Students will have received an email with our office hours and instructions for cheque pick-up.
They should know that they have to have a valid TCard and proof of current enrollment (eg.
ROSI invoice or Fall 2014 timetable) ready when they visit us.
The list of PCM attendees is attached to this email. There will be a hard copy along with the presigned cheques in an envelope in the UTERN mailbox, with instructions in the back. That is the
one we’ll be using during our office hours.

If you are the last person in the office when our office hours end, please leave the envelope in the
UTERN mailbox!
Item 7. Opt-Out Period
Procedure for opt out:
1. There will be a sheet for students who wish to opt out of the UTERN levy.
2. Students who wish to opt out will need to provide their student number, email address,
initials and sign an agreement for.
3. The agreement form will include a statement that the student (who wishes to opt out of
the UTERN levy) will not be able to apply for funding or benefit from UTERN services
for that academic year they have opt out for.
4. Once the student has completed the necessary documents, the student wishing to opt out
of the levy will be reimbursed with 50 cents only.
Office hours for opt-outs, as discussed last week, will be held in conjunction with the PCM
reimbursement hours above. We should have a petty cash box with the 50 cents – check with
Sarder.
As above, students should have a valid TCard and proof of current enrollment (eg. ROSI invoice
or Fall 2014 timetable) ready when they visit us.
Item 8. By-elections for GSU, UTSC, and UTM Representatives
To be held this Friday October 17, 2014, from 5:30 onwards at ES1042A.
Revised copies of the Notice of By-elections have been distributed to Sustainability Offices and
campus groups at UTSG, UTSC, and UTM, as well as on our website and social media.
By-elections will be at 5:30, currently no student has sent in a statement of interests in running
for a position.
Item 9. Open Forum
Any other ideas, questions, and/or concerns that need to be addressed. Input is welcome via
email!
Chloe and Sarah discussed about updating the listserve for new students. Sarah will be updating
the listserve with the new students, sending out a digest email on events (such as green drinks,
planet in focus event, and divestment).
Sarah informed the team to send in your profile bios to her by Thursday night, to be updated onto
the UTERN website on Friday.

UTERN Green Drinks will not be buying drinks for students at Green drinks on Thursday
October 23rd 2014. UTERN will only provide appetizers for students. Also at Paupers pub, the
venue, no one under the age of 19 is allowed to come into the pub after 9 pm. Currently, there
are 28 people “going” to green drinks according to the facebook event.
