Task 4: Produce a variety of documents
Assessment Objective 4: Select and use tools and facilities in
word processing or desktop publishing software to produce a
variety of business documents
In this task you will use word processing or desktop publishing
software to create a variety of appropriate business documents
relevant to the packs. These will include a letter, memo, flyer,
newsletter and a mail merge letter
You may use any appropriate information from your previous
tasks to include into these documents.

Use the activities to produce evidence for your assignment.
To achieve Pass level you need only complete parts A and B of
this task.
A (i) Create a business letter which will inform all your new
customers of the fantastic Fairtrade packs you have created,
and outlining what is available in one of the packs.
A (ii) Memo – write a memo to the committee member
(teacher/tutor) who sent you the email, and inform them that you
want to run a special offer for the first month an Fairtrade packs,
you will need to get approval before you can go ahead with the
offer.

A (iii) Flyer – once you have got approval to run the special
offer, create a flyer which must be A5 in size, to promote the
Fairtrade packs. The flyer must include text and graphics.
When creating these documents you must make sure that you
have applied suitable formatting eg font style, size and
paragraph justification and ensure that you use a consistent
housestyle in the production of all of your business documents
in this task.

B Use spelling and grammar checkers and proof read
documents to find any errors not identified by the spell checker.
Merit and Distinction level should also create a mail merged
document and a multi-page document, ensuring a consistent
layout for all documents. For Distinction level you should design
and use a consistent house style.

C (i) Using your business letter, mail merge all details of
customers you currently have stored in the database provided.
(Distinction only).
C (ii) Evidence will need to be shown as following, print out
master page and then print out 2 letters that have been mail
merged.

D Newsletter – The committee members have also asked you to
create a newsletter that will be sent out monthly to all
customers, it will give them information about Fairtrade issues
from around the world.
The newsletter must meet the following requirements;
•Text – this could be the company history, special offers, music
reviews
•Images/graphics (choose at least four of the following):
•scanned images
•digital camera images
•a logo using a graphics package
•images from clipart
•images from the world wide web
•graphs

You must indicate the housestyle used in the newsletter, this
can be shown as annotations on your newsletter, try to use the
same housestyle through out all documents in order to gain high
marks. Proof read and spell check the document to make sure it
looks professional and has no errors.
In your documents you should:
• enter text, and insert graphics from more than one source (eg
clip art, Internet, scanner, digital camera, spreadsheet or
database). For higher levels the graphics should be from a
wider range of sources and you need to include tables and
graphs created in other software.
• insert automatic fields (eg automatic date, automatic filename,
page numbers) in at least one document. (Distinction only)

To achieve Pass level, you may use standard templates to
create straightforward documents, which have some formatting
features. At least one document will include graphics from more
than one source.
To achieve Merit level, you must create at least four different
types of document, formatted appropriately, including graphics
from a range of sources. They should have a consistent layout
and contain few or no errors. One document should be more
than one page and at least one should include a table and a
graph/chart created in other software. All items should be
positioned and formatted appropriately.
