invites sealed offers/tenders from experienced companies/ authorized Agencies for comprehensive
annual repair and maintenance of computers hardware /software systems and related items/ peripherals
and laptops installed/available in the corporate Office as per the list. Interested firms who have executed
similar nature of works at least for 3 years in the preceding seven years may obtain tender document on
payment of Rs.400/- Plus VAT from the Office during office hours up to 3 P.M. till 30.9.2013. It can also
be downloaded from OFDC Ltd. website www.odishafdc.cum, which after duly filled should reach this
office latest by dtd.30.9.13 up to 3 P.M. alongwith non refundable tender document fee for Rs.400/-. The
tenders will be submitted alongwith EMD of Rs.1500/- (refundable) in shape of DD drawn infavour of
Managing Director, Odisha Forest Development Corporation Ltd. payable at Bhubaneswar. The Offers/
quotations will be opened on same day at 4 P.M. in the presence of the bidders or their authorized
representatives, if interested, at Corporate Office, OFDC Ltd. The undersigned reserves
the right to
accept or reject any or all offers before or after tender without assigning any reason thereof.

Expression of interest for AMC of Computers and other related equipments and peripherals
including Laptop of OFDC Ltd.
The Managing Director, Odisha Forest Development Corporation Ltd. invites offers/quotations
from authorized Agencies for repair and maintenance of computers and related items installed in the
Corporate Office of OFDC as per list enclosed for a period of 12 months . Sealed offers/quotations super
scribed “Quotation for AMC of Computer items and laptop” may be deposited in the tender box kept on
Ground Floor of the Corporate Office of OFDC at A/84 Kharavelanagar, Unit –III Bhubaneswar -1 latest by
30.9.13 upto 3 P.M. . The bids would be opened on the same day at 4 P.M. in presence of the bidders or
their authorized representatives. The list of items to be covered under AMC is attached to tender forms.
The bidders are
required
to furnish
cost of maintenance
of computer system and laptop on
comprehensive. OFDC reserves the right to accept or reject any or all of the offers, in full or in part, without
assigning any reasons whatsoever. The terms and conditions of AMC are given below. The bidder should
have adequate experience in carrying out similar types of works in maintenance sectors of such
computers etc. A statement indicating details of previous works in maintenance sector may also be
enclosed while submitting the tender application.
TERMS AND CONDITIONS
1. The contract rate will remain valid for a period of 12 months from the date of
agreement or finalization of rate in the next EoI which ever is earlier.
2. Successful bidder has to submit Security Deposit @ 10% of contract value in shape of
D.D./ Banker cheque in favour of Managing Director, OFDC Ltd. payable at
Bhubaneswar.
3. The bid should be accompanied with refundable EMD of Rs.1500/- which will be
refunded to the unsuccessful bidders within 7 days without any interest and the EMD
of successful bidders will be adjusted towards security deposit i.e. @ 10%.
4. The bidder shall attend the unlimited call and periodical maintenance immediately
as and when required by the corporation.
5. Successful bidder would required to execute an agreement in prescribed format
provided by Corporation after depositing the full S.D. amount within three days of
finalization.

6. The following documents are to be enclosed by the bidder alongwith the bid application.
a)Attested copy of certificate regarding Registration of firm either with register of
company or registrar of firm or appropriate authority duly valid.
b)Attested copy of ISO certificate if any.
c)List of computer technicians/ Engineers alongwith technical bio-data.
d) Detail list of agreed clients present and past along with TDS certificate, work order if
any.
e)Attested copy of Service Tax/ professional Tax Registration.
f)Attested copy of Service Tax return paid for last financial year.

Maintenance service shall consist of on site preventive and corrective
maintenance of computer system (Hardware as well as software) and all related
equipments like Printers, Scanners, UPS etc. and will include supply and replacement of
all defective parts with original .
8. Charges for Annual maintenance of computers , related equipment and laptop will
be paid on comprehensive basis. Hence, the Agency will require to quote the rates on
comprehensive basis for the systems / laptop enclosed as Annexure-“A”.
9. The agency will arrange to store frequently required spare parts sufficiently in
advance
. Other spares may be called from the agency office/warehouse in
Bhubaneswar. All the complaints should be attended to and defects rectified
immediately on receiving of the information and in any case on the day of reporting. In
case the defect is major and it is not possible to rectify within a day, the problem should
be reported to the designated officer of the OFDC computer cell and a standby
equipment should be immediately provided.
10. OFDC may, in its own discretion, add /or reduce number of computers / Laptop in
the AMC or withdraw some or all the equipment from AMC. In such cases, payment shall
be made on a proportionate basis at the rates agreed to in the tender for similar
equipment.

11. A register will be maintained by the AMC provided for booking the complaints and
keeping record of the uptime of the computers. Use of software for this purpose will be
preferred. A system for registering complaints needs to be developed and maintained by
the vendor and to be certified by the Nodal officer of Computer Cell at Head Office of the
OFDC .
12. In case an equipment/machine is being taken for servicing to service center, the firm
will provide a stand by equipment and will take prior permission of the Nodal Officer
Computer Cell before taking the equipment out. Cost of transportation and insurance of
equipment will be borne by the firm.
13. The firm will honor complaints lodged by phone/email/fax/post or any other mode
of communication. Counting of down time will start from the time of logging the
complaint and will continue till the machine is properly repaired and a certificate to the
same effect is obtained from the user.
14.The firm shall maintain all the machines satisfactorily till the end of the AMC tenure
and handover all inventory in good working condition to the next vendor, in case the
AMC is not extended or is terminated.
15.The rates once approved will not be enhanced by the AMC provider in any case during
the contract period.
16. No advance payment will be made in any case. The payment will be released on
quarterly basis after making statutory deductions like TDS , Work Contract Tax or any
other statutory duties etc. if any at the end of each calendar quarter.
17.OFDC shall not be responsible for damages of any kind for any
mishap/injury/accident caused to any ser ice engineer of the AMC provider while
performing maintenance duty in OFDC’s premises. Al liabilities, in that respect such as
legal or monetary, shall be borne by the AMC provider.
18.In case the AMC provider backs out of the contract on midway without explicit
consent of the OFDC , the security deposit so deposited shall stand forfeited.
19.The contract can be terminated by either party by giving clear one month prior
notice.
20.
The prospective bidders may, if desired, depute an authorized representative for
verifying the configuration and condition of the equipment or any working day without
disruption of Official work.

21.The selected firm will not involve any third party in implementation of services under
this AMC.
22. In case the successful bidder refuses to accept the offer , after being finalized in his
favour, his EMD amount will be forfeited and management shall take a suitable
decision in the interest of the Corporation.
23. The firm selected shall submit an affidavit as to have never become black listed for
any works /projected by any public authority.
24. Only those bidders who fulfill the terms and conditions given in the tender document
will be considered for bidding.
25. The OFDC reserves the right to cancel the Contract at any time for any breach of
terms of contract and the SD amount so deposited will be forfeited.
26. In case of dispute the matter shall be referred to the single arbitrator headed by
Managing Director OFDC Ltd. , whose decision shall be final and binding on both the
parties.
27. In case of any legal disputes the courts at Bhubaneswar will only have the
jurisdiction to adjudicate such dispute.
28. The successful tenderer will have to sign an Agreement with the OFDC on a nonjudicial stamp paper of Rs.10/- before taking over the contract.
29. Payment will be made within 15 days of the receipt of the claim after deduction
of Taxes & penalties if any. No advance payment shall be entertained in any case.
30. After 60 days of satisfactory completion of contract period , the performance
security shall be refunded.
