School determines eligibility based on:
• Academic Standing: Student shall not receive a “D” or “F” in two or more core subjects at trimester close during the current school year.
• Behavior History: Student shall not have in or out of school suspensions during the current school year. Student shall not have a history of behavior issues on prior field trips.
• The AA Field Trip Policy states “An overnight field trip is a privilege not a right. Safety and learning of all students on the trip is the priority of the staff at all times. Students that become ineligible (due to prior discipline write ups or academic concerns) at any time before the trip and during the pay schedule period may not be eligible for a refund, subject to administrative discretion. Eligibility is determined at the sole discretion of the
American Academy administration consideration.”
Important factors for parents to consider:
• Is your child comfortable away from home?
• Is your child mature enough to handle the responsibility of an overnight trip?
• Does your child tend to wander or engage in unsafe behaviors?
• Are you and your child comfortable being out of communication for extended periods of time?
Tips for overnight trip preparation from the American Academy of Pediatrics:
• Involve the child in choosing and preparing for camp.
• Be positive about the upcoming experience, and openly discuss homesickness.
• Avoid expressing personal doubts or concerns.
• Arrange practice trips or sleepovers away from home with friends or relatives.
• Avoid making pre-arranged "pick-up" plans, which can cause a child to question his or her independence.
Tips for preventing and minimizing the effects of homesickness:
• Minimize contact via phone and text (frequent contact exacerbates homesickness and distress for both parties); AAP recommends no calls home for trips under 4 weeks.*
• Be positive during phone calls (do not ask “Do you miss me?,” “Are you feeling homesick?,” etc.).
• Be aware that your child may be having a great time and then break down when they hear your voice.
*Note: American Academy does allow occasional calls during designated date/time windows

• This is a self-carry trip. With the exception of emergency treatment (epi-pens or rescue inhalers) students must carry and administer themselves with a simple general reminder that is made to the group
• All student medications, medical conditions, and any allergies that require an Epi-
Pen must be disclosed by the registration deadline (March 18, 2016). The only exception is a new prescription, which must be disclosed within one week of receiving the medication.
• All medications including over the counter medications must be listed and have a physician signature on the Student Medication Request and Release Agreement.
• The administration reserves the right to declare a student ineligible for an overnight trip if the nature of the medication requirement is in conflict with the demands and rigors of the field trip schedule or presents a safety concern.

In extreme situations (such as unsafe behavior), parents will be required to arrange for immediate transportation home.

• Cell phones – Toyon Bay does not have cell service. Leave cell phones at home.

• Digital cameras that only function as a camera are allowed.
• Disposable cameras work well, too!
• All other electronic devices are prohibited
• This ensures the students are truly immersed in the trip experience.
• Old-fashioned books, puzzles (such as crosswords), and small games such as playing cards are encouraged for travel time and down time.
• Registration for the trip will open on the American Academy School Store by
Saturday morning, February 20 th at 10:00 am.

Parents, you may pay the deposit and register your student for the trip prior to submitting all forms; however, you will then have until the end of the registration period to submit the completed registration forms to the
STEM department (attn. Kristi Doke). Please download and print these forms from the STEM page on the school website any time after this meeting.
Families with incomplete paperwork at the end of the registration period will be refunded and an alternate from the wait list will be given the opportunity to attend in their student’s place.
