Purpose of Role
Shoreditch Town Hall is a vibrant arts and events venue in East London.
Over the past three years, it has been through an intense period of change,
developing a regular programme of cutting-edge theatre and performance and
establishing itself as a vibrant destination events space in East London.
The role of Marketing & Events Assistant has been created to assist both the
Marketing Manager in the promotion of the Town Hall’s artistic programme and the
Events Manager in providing our hirers with a first class experience from initial
enquiry stage through to the completion of the hire.
This is an ideal role for someone wishing to build a career in either arts marketing or
in the events industry.
Duties & Responsibilities
Events
 To actively engage in increasing revenue and usage of the Town Hall through
hire of spaces
 To liaise with hirers, offering the highest possible standard of service at all
times
 To ensure that all enquiries are directed through the on-line enquiry form
 To ensure that all enquiry forms are followed up in a timely manner
 To carry out site visits as necessary
 To prepare and send contracts for hire events
 To prepare and send invoices for all hire events

To ensure that all necessary paperwork is received from hirer prior to the
event including public liability insurance document, damages deposit and full
payment for the event as well as risk assessments and event plans where
appropriate.
To work with the Head of Venue & Operations/Head of Production/Front of
House Manager to ensure that all preparation is completed to ensure the
smooth running of the event
To resolve issues which may arise from the event
To work with the Finance team to ensure that damage deposits are returned
or banked as required
To work with the Head of Programme & Producing/Event Manager with regard
to the booking of rehearsal space, ensuring all paperwork is in place
To maintain high standards of customer service
Marketing
 To play an active role in the promotion of a cross artform programme including
theatre, dance, live music, comedy and cabaret, working with the Marketing
Manager to ensure campaigns are successfully planned, delivered and
monitored
 Liaising with visiting companies to ensure their requirements are reflected in
print, online, in emails and social media
 Supporting the Marketing Manager in updating the Town Hall’s website
 Create and evaluate regular promotional emails using MailChimp online software
 Assisting with the managing and monitoring of STH’s social media channels
 Developing and maintaining relationships with other organisations by identifying
reciprocal marketing opportunities
 Providing assistance with the management of Spektrix online box office system,
including selling tickets, setting-up shows, creating reports and amending
customer bookings
 Assist in the organisation and management of press nights and events
 Assist with writing creative press releases and news stories and manage the
circulation in support of the venue’s press agency
 Ensure clear and consistent communication of the STH brand at all times
 Create listings, monitor press coverage and record cuttings as appropriate
 Assist with the commission, design and/or print process of print and advertising
materials
 Co-ordinating internal print displays and distribution of flyers/posters
 Organise local and national distribution as appropriate

 Implement advertising campaigns and manage media partnerships
 Assist with design for posters, adverts etc using Adobe Photoshop and Adobe
InDesign
General
 To cover reception at lunch breaks and at other times when necessary
 To occasionally provide duty management cover
 To undertake general administrative and office duties as required, and any
other duties that might reasonably be requested
 To take responsibility, with the rest of the Shoreditch Town Hall team, for
ensuring that the building is secure at all times, reporting any breaches to the
Chief Executive as soon as possible.

Person Specification
Essential

A desire to build a career in arts marketing and/or the events industry

A knowledge of and interest in the theatre sector and wider London arts and
cultural scene

A high standard of written and verbal English

Strong numeracy skills and an ability to interpret data

Great customer service and general communication skills

A systematic and creative approach to problem solving, with a can do attitude

Excellent organisation and time management skills

Teamwork skills as well as the ability to work independently.

Sound ability with all Microsoft Office programmes
Desirable

An arts related degree

Experience of working in an arts marketing or events environment

Experience of using Artifax event software, Spektrix box office system and
Adobe Creative Suite (including Photoshop and InDesign)

Digital marketing experience, including using social media channels, email
marketing tools (Mailchimp or similar) and website content management
systems.


If you are unemployed or have been out of paid employment for some time, or have
just left school/college/university, you may wish to include relevant experience from
voluntary work or education.

Referees
One referee must be your present or most recent employer. If you are currently selfemployed you may use a client as a referee. If you are still in full time education and
applying for your first job, please give details of someone in authority from an
educational establishment.
We will not approach your referees until after we have interviewed you. You may

Criminal convictions
The Rehabilitation of Offenders Act 1974 enables criminal convictions to become
‘spent’ or ignored, after a rehabilitation period. For most posts we will only ask for
details of criminal convictions if you are invited for interview, and these will be
unspent convictions. Only the people directly responsible for the recruitment will be
informed of the criminal record. Information will only be used to assess suitability for
employment insofar as it is relevant to that particular post. The decision will be made
on merit and ability.
Posts which involve one to one contact with vulnerable groups such as the mentally
ill or young people under 18 are exempt from The Rehabilitation of Offenders Act.
Information about spent as well as unspent convictions must be disclosed.
