The post of Administrator is a central position and a main point of contact for the company, working within the Scottish Dance Theatre team to ensure the smooth running of the operations of the company, focusing on administrative support for the education/creative learning department as well as general company administration.
Key Responsibilities
Supporting Performing Company activity:
Tour management including:
Communicating with venues in relation to practical issues such as rehearsal spaces, travel and accommodation
Booking tour accommodation, arranging for payment
Arranging tour travel
Compiling comprehensive touring schedules in liaison with all departments
Organising working visas as required for international touring
Co-ordinating inoculations for staff members for international touring
Booking rehearsal spaces internally and externally for company rehearsals and
Creative Learning activity.
Setting up and co-ordinating Scottish Dance Theatre auditions for dancers
Organising guest tickets for Scottish Dance Theatre performances
Supporting Creative Learning activity (Creative Learning administrative support is overseen by Head of Creative Learning):
Working with the Head of Creative Learning on all aspects of setting up tour education work including mail-outs, follow-up calls, workshop bookings and scheduling
Working with the Head of Creative Learning to set up other projects throughout the year including classes, summer schools and other dance projects
Administrating the year long weekly Creative Learning class schedule to include engaging and contracting tutors

Supervising school placements and administering their tasks, working with
Dundee Rep’s Skills & Training Facilitator
Working closely with the Head of Creative Learning on aspects of Dundee Dance
Partnership projects and other projects as appropriate
Supporting Scottish Dance Theatre team activity:
Answering the main company telephone, managing the SDT inbox, dealing with general enquiries
Assisting the Company Manager with financial administration, including credit cards and petty cash, compiling tour budget spreadsheets, collating expenditure figures and issuing freelance contracts
Booking travel, accommodation and organising travel insurance and EHIC cards for all guest artists and administrative staff as appropriate
Keeping competent records, maintaining relevant databases, mailing lists, compiling relevant statistics
Working closely with the rest of the team to give administration support on special projects
Attending and taking notes of meetings including internal forums (Green committee, Health & Safety committee) Dundee Dance Partnership, company meetings and dancer development review meetings.
Maintaining office and company equipment and stationery supplies, leading on office re-cycling
Administering PVG scheme disclosure checks for all relevant staff and keeping up to date records
Organising company events
Other duties as appropriate at the request of the Company Manager.
Essential Qualities
At least two years’ experience in a busy team working environment.
Computer literate with full knowledge and experience of Microsoft Word,
Access, Excel, and Outlook
Excellent typing and secretarial skills

Confident Internet user particularity online travel, accommodation, conferences and events booking etc.
Good public relations skills
Excellent written and oral presentation skills
The ability to work within a team while showing readiness to use initiative and a sound sense of time and workload management
A willingness to work in a flexible manner often under pressure
Friendly, confident, loyal, outgoing person who relishes a challenge
Desirable – an interest in the arts
Terms and Conditions
The salary is £19,500 per annum. Thereafter the salary will be reviewed each April
There is a probation period of three months during which time the notice period is one month either side
After the successful completion of the probation period the notice period is two months either side
Holiday entitlement is 20 days per annum plus statutory days, rising to 25 days after five years. Holiday entitlement may not be carried forward and there is no cash alternative except at termination of employment
The working week is 37.5 hours Monday to Friday (as an example this could be 9am
– 5.30pm which will include a 60 minute unpaid lunch break). There will also be occasional evening and weekend work
There is no paid overtime but if practicable Time Off in Lieu may be given at the discretion of the Company Manager
