CHAPTER 1 – Introduction Travel and tourism is a booming industry today. The number of people travelling across different places has increased. Now, whether on a business trip or vacationing with family, everybody needs a place to stay and unwind. But it can be a pain in the neck sometimes getting the information about the Spa that suit your budget. A hotel is an establishment that provides lodging, paid on a short-term basis. The provision of basic accommodation, in times past, consisting only of a room with a bed, a cupboard, a small table and a washstand has largely been replaced by rooms with modern facilities, including en-suite bathrooms and air conditioning or climate control. Additional common features found in hotel rooms are a telephone, an alarm clock, a television, a safe, a mini-bar with snack foods and drinks, and facilities for making tea and coffee. Luxury features include bathrobes and slippers, a pillow menu, twin-sink vanities, and Jacuzzi bathtubs. Larger hotels may provide additional guest facilities such as a swimming pool, fitness centre, business centre, childcare, conference facilities, internet facilities and social function services. The term spa is associated with water treatment which is also known as balneotherapy. Spa towns or spa resorts (including hot springs resorts) typically offer various health treatments. The belief in the curative powers of mineral waters goes back to prehistoric times. Such practices have been popular worldwide, but are especially widespread in Europe and Japan. Day spas are also quite popular, and offer various personal care treatments. Health club is a place of business with equipment and facilities for exercising and improving physical fitness. A. STATEMENT OF THE PROBLEM Based on the interview that our team conducted, we found out that the spa & health club that we interviewed encountering some problems on their existing manual system. In some cases, they are encountered some certain problems regarding their existing manual system. These are the following problems: a. Difficult to handle data accurately and securely b. Storage problems - They are using ledgers to keep the information of their client/customer, and also include the appointment sheet for the reservation. Those ledgers and appointment sheets are in a cabinet located at the manager’s office. There are some cases that those ledgers and appointment sheet maybe lost. c. Repeating records of regular customer/client - In listing down the information of their customer, there is a tendency that the records maybe repeated most especially in the case of regular customer. d. Time consuming e. Update, Search, Delete, Edit - These types of methods are not accessible and not carry with the manual method. B. BACKGROUND AND OBJECTIVES OF THE STUDY The Hotel Management Spa & Health Club System is a LAN based subsystem that is designed to be implemented for small to medium sized Spa’s & Health Club. The main objective of this subsystem is to create a computerized system that will automate all the transactions of spa & health club in a hotel. Spa & Health Club System would create a user-friendly interface, where an Admin, Managers and Employees would be able to use this BESTLINK COLLEGE OF THE PHILIPPINES Page 2 system with basic computer skills. The subsystem developed using Java Programming language, which make the system conflict-free from running in any operating system. Project Objectives The proponents will create a system: That will enhance the existing system and flow of their business using the proposed system. Can be user friendly and extensible as possible so its use and extension can be done without much endeavour. That can maintain the large number of data. a. Current relevant institutional gaps b. Improvements/Enhancements to the current running system Based on the information gathered during our interview, the proponents found out some certain problems regarding the manual system that they are currently using. The Spa & Health Club of the hotel using manual system on their daily transactions. Then the team come up with the idea to create a computerized database that can handle all the transactions of the Spa & Health Club of the hotel. And to provide security for the database to prevent data lose c. Request for clientele/user for system development initiative C. SIGNIFICANCE AND SCOPE OF THE STUDY The proposed system will cover only the transaction of the service and inventory of the products of the Spa and Health Club of the hotel. Such as reservation and service transactions including online and walk in BESTLINK COLLEGE OF THE PHILIPPINES Page 3 transactions. Membership, and account details. Moreover, special services such as Spa Treatments, Membership fees, and Facilities that will be automated by the system also, not to forget the additional facilities information that will be efficiently handled by the system. It enables its user to collect all information from the spa & club, the Admin of this project can keep track on all the activities which are performed during the successful operation of Spa & Health Club. Spa & Health Club Management task is specially performed by assigned Managers. It is assigned manager’s job to keep track on all the activities and give good results. A simple user can easily understand all the function of “Hotel Management Spa & Health Club System Project” This study will help spas & health clubs to cope up with their problems regarding about their manual system. It will automate the database of their existing system. D. DOCUMENTATION OF EXISTENCE AND SERIOUSNESS OF THE PROBLEM 1. Documentation of current system Since the client is using a manual system. The proponents can’t present some documents or files for their current system. 2. Problems identified with the existing system These are the following problems: a. Difficult to handle data accurately and securely b. Storage problems - They are using ledgers to keep the information of their client/customer, and also include the appointment sheet for the reservation. Time consuming - It consume too much time to locate/find some past information of the customer. e. Update, Search, Delete, Edit - These types of methods are not accessible and not carry with the manual method. 3. Process models of existing systems contributing to the problem This flow chart describes the process/flow of transactions in Spa & Health Club. START The guests are asking for the services that spa offered Receptionist will entertain the questions/concern of the guests. After filling up the form, the assigned personnel will get the information needed for their record. After using the services, the guest will pay for the services that he used. Accept the payment. END 4. Data models of these existing systems 5. Data that may be relevant to prove existence and seriousness of the identified problems E. REVIEW OF EXISTING ALTERNATIVES Since our clients are using manual system, they are experiencing some difficulties regarding on how they secure their records. They are only using a ledger to record all the information of their customer and also the reports they’re doing. That was the only resources that they have. That’s why we proposed a BESTLINK COLLEGE OF THE PHILIPPINES Page 6 system, a system that will help them not only to secure their records but also to make their manual system a computerized one, so that they will not encounter again some problems regarding on how they secured the data of their customer.
