The factory management will be informed about FWF membership through the questionnaire. CSR is a standard topic during all factory visits by the sourcing staff. Audit and WEP planning: How does your company ensure suppliers are included in the monitoring system and ensures the threshold is met? (depending on the length of membership 40, 60, 90 %) List the factories that you wish to audit in this coming financial year and if possible, which month you prefer for the audit. List the factories where you wish to conduct a training as part of FWF’s Workplace Education Programme. Coherence of the monitoring system Describe the coherence between different monitoring activities. E.g.: Describe the way in which (the outcomes of) your monitoring activities influence your sourcing decisions. If a manufacturer does not accept the FWF standards, major issues are found during an audit or major issues are reported within the complaint procedure, how do you respond? Role of staff and agents/intermediaries/contractors In case you source through agents/intermediaries/contractors: what is the role of staff members and agents in the execution of monitoring activities? Execution of Corrective Action Plans Describe how you support manufacturers in the execution of corrective action plans. E.g.: The CAP is used as a controlling instrument between your company and the manufacturer. Your company implemented a system (e.g. a database or a simple Excel spread sheet) to track improvements. How will previously raised issues (from former audits or complaints) be addressed with suppliers? Sourcing staff of your company discuss the CAP together with the person in charge when visiting the factory. If applicable, explain your policy regarding the use of abrasive blasting methods in textile finishing techniques. Answer the following questions (see FWF’s sandblasting policy for more information): 1. What production locations are used for abrasive blasting (including all subcontractors)? 2. How do you assure that sandblasting occurs in a safe working environment? 3. How do you assure that no unapproved subcontracting occurs? 4. What is the company plan for phasing out sandblasting (including a time frame)? Co-operation with other clients Do you plan to cooperate with other clients of manufacturers with regard to monitoring and execution of corrective action plans? External production If applicable, describe which monitoring activities are conducted at suppliers of "external production". External production = finished goods which are bought by affiliate from other brands for resale in a retail or wholesale (web) shop owned by the affiliate. FWF encourages affiliates to resell goods from another FWF affiliate or a member of Lair Labour Association. 3. Complaints Handling State the name and position of the staff member who is responsible for dealing with complaints. Describe how you will ensure workers are aware of FWF’s complaints procedure. Describe the internal procedure/strategy for dealing with potential complaints. 4. Training and Capacity Building Activities to inform staff members Describe in what way and by what means staff in your company is informed about FWF membership. Describe what training is provided to staff members who are involved in the execution of monitoring activities. Please describe your ways of communicating internally (e.g. monthly newsletter; international sales meeting; staff meetings; etc.). FWF organises a seminar for affiliates twice a year. We recommend company staff (CSR, buyers, sourcing department, communication) to take part in the seminar. N.B. This is not applicable if you do not have any agents or intermediaries. Activities to inform manufacturers and workers Describe in what way manufacturers and workers are informed about the Code of Labour Practices. Which suppliers will participate in the FWF Workplace Education Programme (China, India, Bangladesh, and Turkey)? In 2015, FWF will also be able to provide trainings in Tunisia, Romania and Vietnam. What other training activities will be conducted? Describe strategy for strengthening capacity of management and workers in countries where FWF is not active/does not provide training. 5. Information Management Please describe the procedure to keep the supplier information updated in FWFs online information system. Together with this work plan, affiliates are required to add supplier information of the coming financial year in the online information management system. The list should include all the suppliers that the affiliate expects to work with. Exact FOB percentages are not required at this point of time. Please see the performance benchmarking guide for more information and the manual with user instructions of the information management system. Please describe the system for keeping track of progress on the implementation of the Code of Labour practices. What efforts do you take to identify all production locations, including subcontractors? What kind of tool is your company using to keep track of the implementation of the CAP? Who is responsible for keeping the information up-to-date? How do CSR and purchasing share information about working conditions at suppliers? 6. Transparency & communication Describe how the general public will be informed about FWF membership and the outcomes of the activities in the work plan. N.B. According to FWF procedures, affiliates must at least keep information on FWF membership on their websites and write an annual social report, to be published on the company’s website.
