Centre for Doctoral Training in Healthcare Innovation Department of Engineering Science University of Oxford Academic, Clinical or Industrial Short Research Visits - Application for Financial Support The CDT in Healthcare Innovation will provide financial support for CDT students who have an official supervisor* based outside Oxford, to visit that supervisor and his/her research group, at their place of work (expected to be a university or hospital or firm), for short periods during years 2-4 of their CDT DPhil research. Visits can be up to 30 days’ duration per year, although two periods of 2 x 2 weeks, or 1 period of 30 days, is preferred by the CDT. This funding is for cases where support for such visits cannot be found from another source – e.g. industry / an award held by the student’s academic supervisor / the student’s college. Any student applying for these funds is required to fill in this application form and will need to justify: - the value of the visit; - what s/he will do; - why the CDT needs to support this visit financially. The returning student must submit receipts for all pre-approved expenses and a 1 page report on the activities. *The definition of ‘official supervisor’ for these purposes is an academic/clinician/industrial partner registered as a co-supervisor on OSS and GSS. Notes: This application will only be authorised once the CDT Director has signed this form. - Please return this form to the CDT Administrator once your supervisor has signed it. It will then be given to the CDT Director. - An itemised estimate of costs must be provided by the student. - Only itemised expenses which are pre-approved and then accompanied by a receipt at time of claim will be refunded. - All expenses should normally fall within the conditions of Oxford's 'Value for Money' policy. - Note that students are expected to take the most economical method of transport. Where they choose to take an alternative method of transport, they will be reimbursed at the equivalent cost of the cheapest method. Costs will be reimbursed as follows: o Rail and bus: Use the equivalent of 2nd class or economy rate. You must book in advance to avoid elevated fares on the day. o Car: mileage will be paid, at the rate of 45p per mile via the shortest route, only where public transport is not feasible or travel is more expensive via public transport. o Economy airfares will be covered if this is the most economical means of transport (must show quotes). o Taxi fares will only be covered where there is no cheaper method of transport available (or the timings of public transport are unreasonable, such that there is a long waiting time in the dark and cold late at night, or by doing so other cheaper transport options are made possible - such as cheaper flights, trains, buses, etc.). o Subsistence may not be claimed for, as this is covered by your EPSRC stipend or whatever means you are financing your living expenses. 2
