Strategic Plan
Fiscal Year 2013 - 2014

Introduction
In fiscal year 2013-2014, the Board of Directors proposes the following Strategic Plan as a
foundation for building the future of the Ottawa West Chapter. IAAP headquarters has decided
that for consistency purposes, there will no longer be annual themes. Instead, we will be
focusing on building the chapter and not worrying about combining the theme into our monthly
meetings, etc.
I.
Ottawa West Chapter Strategic Plan Time Line, Goals and Objectives
A.
Plan Phasing
The strategic plan covers fiscal year 2013-2014, with a hope that it will be
continued beyond, and is divided into four phases. By using phases, the
leadership can begin to accomplish needed objectives and ensure that
educational foundations are being laid for the future.
Plan: Focus efforts on current Chapter priorities in a manner that is not possible
with a multitude of broad objectives.
Flexibility: Review Chapter needs during the planning stage of each phase of the
plan and adjust activities to focus on the Chapter’s current priority objectives.
Continuity: Update and extend the plan into the future. Using phases allows the
Chapter to continually “roll over” its activities from phase to phase.

Annual Targets






Increase membership by 5 new members by June 30, 2014
Increase community involvement in order to create greater publicity for our
chapter and IAAP overall
Increase visibility within the business community for our chapter and IAAP
overall
Increase the knowledge of members on Member of Excellence and
Certification/Recertification
Increase in the number of chapter members achieving Member of Excellence
Maintain Chapter of Excellence

Phase Objectives (examples)
Phase I Objectives, period of July through September, will include:



Hold a Planning Day Meeting and review the Strategic Plan
Form a Welcome Committee that functions to welcome all members and
guests at every meeting
Pinpoint Member of Excellence requirements at the September chapter
meeting
Phase II Objectives, period of October through December, will include:






Assist Dress for Success in Ottawa by volunteering as a Chapter for an
evening
Participate in a charitable event (walk/run) as a team in October
Donate food items to the Food Bank or adopting a family for Christmas
Look into volunteering within the community as a team
Hold a one-hour Membership Recruitment meeting in October
Hold a Student Information Night in October
Phase III Objectives, period of January through March, will include:



Continue to increase Ottawa West Chapter and IAAP’s visibility within the
community
Review/Update Strategic Plan
Hold an Executive Night in March
Phase IV Objectives, period of April through June, will include:


Educate our membership on amendments and upcoming annual meetings.
Strategies and Guidelines




Restructure the Board of Directors and their committee responsibilities and improve
leadership participation by the Board of Directors
Strive to increase knowledge in regards to the IAAP organization within the Chapter
and to increase the leadership skills of the Committee Chairs through teamwork,
communication, and education
Focus efforts of the Board of Directors to support the mission and the vision of the
organization
Implement certain programs selected for targeting during the initial Phase I period,
placing others on the priority list during Phase II and III
The above items were discussed at the Annual Planning Day on August 25, 2013 and will be
implemented on an ongoing basis in 2013-2014. The Strategic Plan will also be reviewed in
January 2014.
III.
Volunteer Organization
A.
Functions
The Ottawa West Chapter volunteers will be organized to perform three functions:




Board of Directors will be responsible for the management and oversight of the
plan
Committee Chairs will be responsible for committee activities
Overall membership will participate in the plan and support the activities of the
other two
Ottawa West Chapter Strategic Team
The strategy, management and monitoring of the plan are the responsibility of the
members of the Ottawa West Chapter, Board of Directors and Committee Chairs.
IV.
Volunteer Participation
The Ottawa West Chapter’s Strategic Plan will function with three types of volunteers:
The Board of Directors, Committee Chairs and members of the Ottawa West Chapter.
Each will play an important role in the success of the Plan.
A.
Board of Directors
The core members of volunteer efforts will be members of the Board of Directors.
The intent is that the Board should be more active in promoting the various
interests of the Chapter.
While assisting with membership recruitment/retention will not be their only
activity, members may expect it to be a major focus. Their role will take many
forms:








Identifying potential new members and Membership Recruitment meeting
involvement
Informing, educating, and engaging members in the work and mission of the
Chapter
Assisting Committee Chairs with leadership skills and activities
Participating in the Mentoring program
Being part of project teams
Participating in education and seminar activities
Committee Chairs
The roles of the Committee Chairs will include, but not be limited to, the following:


Leading by example
Identifying potential new members




Informing, educating, and engaging members regarding their respective
committee
Participating in education and seminar activities
Mentoring next year’s Committee Chairs
Membership
Each will play an important role in the success of the Plan including the following:

Budget
Budget for the Fiscal Year 2013-2014 Strategic Plan was drafted in June 2013 and will be
approved by the membership in September 2013. This budget does allow ample funding
for all phases of the plan and its objectives.
