MARTHA PARISH COUNCIL JUNE 8, 2015 MEETING MINUTES The June 8, 2015 parish council meeting was opened with prayer at 7:05pm. MEMBERS PRESENT: Fr. Mark Hamilton, Kellie Hood, Bill Tompkins, Donna Lawson, Jim Coyle, John Barnett, Deacon Dan Bisig, David Crawford, Sarah Mann, Gerard Senn and Matthew Karrer. Guest this evening was incoming at large member Steve Shuff. DISCUSSION ITEMS Steve Shuff was welcomed as visiting new at large member. Matt Karrer agreed to the Vice Chair position. REPORTING ITEMS ADMINISTRATION: Todd Oberhausen Please keep Lisa Leister in your prayers. Budget process will be discussed at August meeting. Administration has vision – not just budget/finances. Asking about Data – what’s being booked up? Where? How? Security cameras have been used several times. How long is information stored? Jacob Hein and James Key can work cameras. BUILDING AND GROUNDS COMMITTEE Great spring clean up – close to fifty volunteers throughout the day. Thanks to Tom Pifer and Building and Grounds Committee and volunteers. LIFELONG FORMATION/EDUCATION – Jim Coyle ERE had our closing Pot Luck Dinner on April 29th and our closing catechist meeting on May 13th. Jim will be offering Catechist training opportunities in July which will be open to anyone wanting continuing formation classes. We will be losing a few catechists. One major change for next year will be the fact that Ascension Parish has decided not to return to our combined program. St. Bartholomew under the direction of Becky Box will remain. We will be training families preparing for Baptism in July on Thursday, July 9th. Eat, Pray, Play will return again this year instead of our annual VCS program. It will begin after the 4pm Mass on July 25th. Master Builder will be this year’s theme. SCHOOL: Kellie Hood We are finishing the closing out of this school year. New hires are: After School Care – Anita Ricks comes from Holy Family with 10 years experienced. Pre-K and After School Care will be under same leader. Holly Oyler Director over Pre-School and 4 year old teacher and Anita will be co-directors. New PE – Latoya Lee has MAT in track will be PE teacher 3 days a week at St. Martha, 2 days at John Paul II. Laura Rogers will be our new 4th grade teacher. Laura comes to us from Bates Elementary and Myers Middle School with a couple years of experience. Rachel Thornton will be our library media resource teacher. Still in process of interviewing for 5th and 6th Literature & English teachers. 335 total registered so far. Pre-K/3’s & 4’s – 22 students – 9 -3’s and 13 4’s. Fr. requested Kellie find a school person to write something for the bulletin – thank yous; how many years of service; who have we hired. SERVICE SOCIAL: John Barnett (will be moving to Sports Ministry Chair position) 1. We are still working on marketing. Web site is moving good now – have to thank David Thomas and Brandon Head ? Very professional looking website will link on to Sycamore. 2. John shared the proposed signs/banner that will be posted on property looking a total of five. 3. Sports Ministry Chair – John Barnett Held first meeting last month – 17 attended. A lot of people stepped up in position. Amy Ackerman/Tammy Beam – Athletic Directors each now have an associate Eric Pohler is our New Field Manager – Jim Brinkman was in that position for 17 years. Every School has to have a Coordinator Chris Porter is making sure all coaches have training needed. Ice Baths during football games; Concussion training; Heat training.St. Martha is liable. John heard from CSAA that we will still be merged with Ascension football. They come here, they wear our uniforms. John Paul II will be merging with St. Raphael. Game Day Coordinator/Field Manager – Eric Pohler Chain Crew Looking for Cheerleading Coordinator Sports Ministry needs to send a representative to every parish council meeting. Joe Burns will still do the concessions for Eat, Pray, Play. June 20th is the date set for the annual Golf Scramble – we will field 20 teams at Charlie Vetner Park $100 to sponsor a hole – need “goody” bag items We will come back to St. Martha afterwards July 19th we will host weigh-ins here at St. Martha – email will be sent to parents. WORSHIP: Deacon Dan Bisig We had no meeting this month. We are still looking for new Stations of the Cross for Church. Deacon Dan has sent two emails to Fr. Dale in charge of the Archdiocese Archives and has received no response. FR. PARISH COUNCIL TASK #1 FOR AUGUST – NEW MISSION STATEMENT - DEFINE WHO WE ARE Technology – data backed up? When, where, how often? Security Cameras used several time – no problem/no vandalism/they are checked on a regular basis. Question – John Barnett – are they all stationary? No. 1. Merger – John Paul II/St. Barnabas – move date June 17th School – St. John Paul II on St. Pius Campus Church – St. John Paul on St. Barnabas Campus First Sunday of Advent will officially be one parish Fr. Bill Burks will start from year one of St. John Paul II St. Barnabas tearing down rectory? Tearing down gym? We are not expecting any influx of students from John Paul II. 2. Boy Scouts of America Fr. Hamilton is owner of Pack 194 – all money has to be put into parish bank account and we will have one special imprest account for them - Cub scouts will also be on board. Catholic Committees on Scouting is a Diocese Structure – Director of Youth Ministry falls under that. Girl Scouts are just using St. Martha space. Fr. has no say on issues. Girl Scouts are a Christian Based Program. Our Mexican Priest has arrived – he doesn’t speak English so he can’t help at St. Martha. Hispanic Ministry is still struggling in the Archdiocese. Fr. Hamilton is trying to help straighten it out because he is the Region Representative. 3. Crusade for Children St. Martha donated $15,700.00 – second highest to St. Michaels. 4. Stewardship forms have been completely redone. 5. Thank you to outgoing parish council members: Bill Tompkins, Sarah Mann and Gerard Senn. RECONCILIATION Regular Reconciliation is offered on Monday evenings from 5:30-7:00pm and Friday mornings after the 8AM Mass or by appointment. Students in the school are offered Reconciliation by grade level once a month during the school day and ERE twice a year during ERE sessions. 1st Grade First Reconciliation First Reconciliation will be on Tues., March 15th at 7:00 PM. HIGH SCHOOL YOUTH MINISTRY – Chad Bader 386-0386-cell Upcoming Fall meeting schedule will be published in the bulletin 2 students went on Mission Trip at the end of July to Harvey, ILL 3 students attended CLI in July- Grant money helped with this cost Students participated in Archdiocesan Kings Island and Holiday World Trips NCYC – Nov. in Indianapolis: 11 HS students will attend along with Chad Bader and Annette Bergamini attending as chaperones.- Grant Money has helped with this cost. Donut fund raiser to offset costs was very successful. Many thanks to Doug and Ann Pifer for supporting this effort Approximately 8-15 HS Students participate in the Sunday night activities held in the Youth Room. Youth Director met with 8th graders before the end of the school year and an invitational letter to participate in summer events was sent out. ________________________________________________________________________________ EAT PRAY PLAY… this event was canceled due to lack of registrations. We will revisit this and VCS before the Spring.
