Congratulations! We are pleased to confirm your acceptance for a non-remunerated research stay at the
University of Ottawa, which will take place during a period of [X] months, from [start date] to [end
date]. The research you will be conducting at the University of Ottawa is a part of the curriculum of your
program of study, titled [name of program], at [name of school/institution].
Your research on “[research field/project]” will be facilitated by professor [name of prof] from the
[Department of prof] who will ensure you have access to the appropriate resources as previously agreed.
During your entire stay at the University of Ottawa, you will have an administrative status as studentresearcher. You will not have to pay tuition and incidental fees to the University of Ottawa and your
research activities will not entitle you to the granting of credits or conferring of a degree from the
University of Ottawa. You will be responsible for all incurred expenses during your stay in Canada,
including the mandatory adhesion fees to the university health insurance plan (UHIP).
Once you’ve received this letter, you must show it to the Canadian representatives in your country (for
example, the Canadian embassy or consulate). Before your departure, you must check with Citizenship
and Immigration Canada (CIC) to see what permits, visa, applications, permissions or other documents
you require to enter and stay in Canada, as well as to conduct your research activities at the University of
Ottawa, even if they are unpaid. You must also review the requirements on the CIC website that apply to
you, and take into consideration the processing times for applications both in Canada and in Canadian
visa offices abroad. Starting on March 15, 2016, Canada will require an Electronic Travel
Authorization (eTA) for all visitors flying into Canada who are citizens of countries other than the
United States (U.S.) who do not need a visa to enter Canada. Please check carefully if this requirement is
applicable to your situation.
Under Regulation R186(a) of the Immigration and Refugee Protection Regulations, a Self-funded
Researcher with autonomous funding arrangements may meet the definition of Business Visitor and thus
be eligible to work in Canada without the need to secure a work permit.
Three weeks prior to your arrival, please email urop@uottawa.ca to process your registration as a
student-researcher at the University of Ottawa. Please attach a copy of this letter of invitation to your
email.
Upon your arrival in Ottawa, please go to the Office of Undergraduate Research (550 Cumberland
street, Tabaret Hall, room N108-109).
Make sure you have on hand :
- your passport;
- this letter of invitation; and
- other supporting documentation (study permit, work permit, etc.), if applicable.
You will then be able to register for the university health insurance plan (UHIP) and subsequently obtain
a identification card at Infoservice (550 Cumberland street, Tabaret Hall, Ground Floor) to have access to
various services offered on campus. The fees of the UHIP will need to be paid before you can receive
your ID card. The fees, for a period of 1 month, are $51.00 CAD.
