Administrative procedures/policies for review
Background:
As part of its work in governance the Board follows a cyclical process to review, revise and update
the Division’s policies and administrative procedures.
Over the last number of years the Policy Committee has worked through the Division’s Policy manual.
Policies have been: updated to bring them in line with current legislation, regulations and/or practices;
added to address new legislation (i.e. Occupational Health and Safety); or deleted if deemed
unnecessary. In some cases policy has been transferred into Administrative Procedures. The Board has
directed that the Policies and Administrative Procedures be separated and this work will be undertaken
this year. The former plan to continue the review of all policies to ensure they are clear, concise,
consistent, complete and up to date will continue. This is a matter of due diligence and should reduce
risk of liability in the long term.
On a go forward basis the Policy Committee plans to work through the policy manual on a
systematic basis evaluating policies upon the following criteria:
• is the policy current and complying with current legislation/regulation
• is the policy relevant and necessary (if not deletion will be recommended)
•
whether the document should be in the form of a policy or an administrative
procedure
Initial discussion
The following draft policies/administrative procedures are put forward for discussion by trustees.
The Policy Committee recommends the following policy as outlined for initial discussion to the regular
Board Meeting on June 26, 2014. Initial discussion is intended to address the process for developing
replacement draft policy:

Recommendation:
That the Board approve the recommendations of the Policy Committee as outlined in this report.
Recommended motion:
“that the Board approve the draft administrative procedures and policies as outlined in this report for final
approval and adoption by the division”.
