SCHOOL DAY POLICIES/PROCEDURES
Use this guide as a quick reference throughout the school day to help increase your confidence and ability
to meet school-specific requirements.
Substitute Employee – Keys for Success
Check In/Check Out Procedures
The exact time you should arrive at the school will show in AESOP and is 15 minutes before schools starts in Alpine and Provo
Districts and at our Charter Schools. In Nebo School District the arrival time is 30 minutes before school starts. The substitute
teacher is expected to remain at the school site for the entire length of the teacher day; this includes planning periods unless you
are otherwise directed by the main office. Sign in at the main office when you arrive and check out when leaving. If you do not sign
in and out the school will not have an accurate record of your time. Ask for a school floor plan, if you do not already have one.
Dress Code
Business Casual - Collared shirts, blouses, sweaters, slacks/pants, skirts, and dresses all of modest fit and length. Blouses, shirts and
pants should cover the midriff during all activities in the classroom. All clothing should be neat, clean and without holes. No extreme
styles or jewelry. Hats and sunglasses should never be worn in a school. Always dress professionally to set a good example for the
students.
Personal Belongings
Keep personal belongings with you; do not leave personal items unattended. Do not bring valuables to school.
Lunch Procedures
Please follow individual school procedures for lunch. Elementary schools may require you to accompany students to lunch and stay
with them the entire lunch period. Do not leave the school during the lunch break or planning period unless excused by the main
office.
Finding Materials/Equipment
Check with the school office or another teacher in the same grade if you do not have the necessary materials or equipment to
follow your daily lesson plan.
Emergency Procedures
Familiarize yourself with fire and emergency weather drill procedures. Account for all students during these drills. If an emergency
arises, consult the principal or office staff. If excused, you must sign out and back in and also note the break on your timesheet. If
possible, lock the classroom when you leave.
Procedures for Students Leaving for Special Classes (e.g., speech, reading, art, physical education)
Times for special classes should be noted on the teacher’s lesson plan. Times and names of individual students involved in special
classes should also be noted on the lesson plan.
Classroom Management
An effective substitute teacher is expected to create an atmosphere in which the students can learn in an orderly environment.
Before entering the classroom, ask the school administrator for information on the “school’s discipline plan” and other information
on any special discipline policies or procedures followed at the school.
As a substitute teacher, it is essential to understand and practice effective classroom management and disciplinary skills. Having
complete control of the classroom is a necessity before any classroom learning can occur. Classroom control can be the best
prevention of many classroom issues and stumbling blocks.
Often, a class will “test” a substitute teacher. Students may try to gain status by upsetting class routines. Your response to these
situations is critical. You must always remain calm and never lose your temper. Be patient, convey your expectations to the students,
and be consistent and firm at all times.
If a problem occurs that you are unable to manage, contact the principal or designee immediately for assistance. DO NOT create
situations that encourage students to challenge your authority.
Skills for Effective Classroom Management
1. Get and Keep Students on Task.
 Greet students at the door.
 Introduce yourself.
 Engage students in productive activity.
 Enact your plan.
2.
Have Positive Interaction.
 The designated Problem Student (be proactive and positive).
 The “You vs. Them” class (create interaction with the class).
 Handling wrong answers (redirect and echo the correct response).
3.
Teach Expectations.
 Instructional Expectations.
 For example: Pass your worksheet to the front row or Number your paper from 1 –100
 Procedural Expectations.
 For example: Work silently or Keep all of your materials at your desk.
4.
Respond correctly to inappropriate behavior.
 Redirect student behavior.
 Re-evaluate the situation.
 Reinforce appropriate behavior.






Reinforce proximity.
Restate expectations.
State the facts.
Practice “remove, identify, redirect”.
Explain consequences.
Correct individuals vs. the entire class.
Special Education Students
 Students with disabilities in one area may be capable or even exceptional in others.
 By eliminating barriers to participation, students with disabilities may enjoy the regular classroom activities and assignments.
 Treat all students with respect.
 Do not think first of students’ special needs. Think of them first as learners.
 Be patient; you may have to repeat yourself more often.
 If there are problems, do not single out a child in front of the class.
Working with School Staff
Substitute teachers interact with a variety of school personnel. The ability to communicate positively and effectively with school personnel affects
the quality of instruction students receive.
Many special education classes and primary grade classes use the services of paraprofessionals or teacher’s aides. Most paraprofessionals
demonstrate knowledge and skill regarding student instruction in their assigned areas. They know the daily routines, schedules, classroom rules,
and most importantly, the students. They are often the best source of information and assistance when substituting in these classes.
Some paraprofessionals prefer to take the teacher’s role, and ask that the substitute teacher assist them in the management of the class. Other
paraprofessionals prefer to continue their usual role in assisting the substitute teacher. To avoid misunderstandings in this unique situation, it is
recommended that you discuss teaching responsibilities with the paraprofessional or the school administrator prior to the beginning of class.
Reporting at End of Day
Detail events of the day for the full-time teacher and leave this report in their folder. The teacher may also have one that they leave for you. Leave
the teacher’s materials and students’ work in the classroom or in the office as instructed. Return the classroom key to the office.
Facilities Available for Use
When checking in at the school, you will be given information regarding the facilities available for teachers. You can either purchase school lunch
for a minimal charge or bring a lunch. Most schools have a teacher’s lounge with a fridge, microwave, and vending machines available for your
use.
Getting Paid
You will be paid weekly, based on the time recorded in AESOP Web Time. See the AESOP Substitute Quick-Start Guide for instructions on entering
your time. Be sure to complete an application for either direct deposit or the payroll card. This is our required method of payment and the fastest,
safest and most reliable way to get paid.
Absence Notification Policy
You are expected to attend the substitute teaching assignments that you accept. Contact the KES Scheduling Team immediately when you know
that you cannot fulfill any assignment. The Scheduling Team’s hours are M-F from 3 A.M. - 6 P.M. MST. The phone number is (866) 535-5998.
Cancellation Policy
As a teacher, imagine the strain last-minute cancellations put on the system. Therefore, we do have a cancellation policy in place – not to penalize
the teacher that has an occasional unexpected event, but to prevent anyone from trying to work the system without regard for the strain it puts on
the schools, not to mention their colleagues.
You can accept as many assignments as you want to work; however we do ask that you only accept assignments that you are certain you can
complete. We all know that occasionally, something unexpected happens that may impact your ability to complete an assignment. When this
occurs, call the Kelly office ASAP to let us know that you can no longer work an assignment.
Same-day cancellation means you called after 6 p.m. on the night before you have an assignment. By then, all the scheduling center staff has left
and will not get your message until 3am the next morning. If you have five of these cancellations, it may be grounds for termination.
Less than one hour or no call/no show is an egregious cancellation and may lead to termination with KES
Exclusion Policy
Being excluded from 3 schools could lead to termination with KES (may still be eligible to work for Kelly in other positions).
Show-Up Pay
If you show-up for an assignment that is on your schedule and it is canceled after you have arrived at the school, contact the KES Scheduling
Team at (866) 535-5998 immediately. If there are other assignments they will let you know. If no other work is available for the remainder of the
day, you could qualify for show up pay. KES standard show-up pay is two hours, or ¼ unit, at the quoted rate of pay for the employee.
Miscellaneous Expectations
Substitute teachers must always:

Arrive with sufficient time to prepare the classroom

Use proper English
·
Treat each other with courtesy, kindness, and respect at all times
·
Follow the school/school district discipline policies, as presented in the Orientation Presentation
·
Follow the lesson plan (Contact the main office if a lesson plan is not available)
·
Use the intercom, phone, or buzzer to contact the main office (Do not leave the classroom)
·

Dress in an appropriate and professional manner and adhere to the district/school’s dress code policy
Assume responsibility and accountability for one’s performance and continually strive to demonstrate competence
Understand and respect the values and traditions of the diverse cultures represented in the community and in their classroom
Understand (before instructional day begins) bell schedule and school dismissal procedures for recess, lunch, and end of day (This
includes a roster detailing which students are walkers, bus riders, etc.)
Substitute teachers must NEVER:

Have any physical contact with a student outside of the requirement of an approved lesson plan or by district/school instruction
·
Use inappropriate language nor verbally abuse a student, staff member, or parent
·
Have sole custody of a student in a private setting
·
Leave the school grounds during school hours
·
Leave a classroom unattended
·
Bring any food to share with the students
·
Bring or show unauthorized movies to the students
·
Transport students in a vehicle
·
Disperse or administer medication to a student
·
Move or touch an injured student (Contact the main office.)
·
Comment on a student’s personal appearance
·
Attempt to contact or be contacted by a student outside of the assignment
·
Use school equipment for personal purposes: This includes, but is not limited to, using or installing any software on district/school
computers, downloading of inappropriate or obscene material, and using school resources for purposes that are not job-related
·
School computers should never be used for personal use
·
Use picture or video cameras including those in cellular phones on school grounds
·
Release students during the day (This is to be done ONLY through the school office)
·
Have sole physical supervision for release of students to a bus or other vehicle (This should ONLY be done under the physical
supervision of school district employees)
·
Use cell phones during class

BONUS PLAN
When you complete at least 130 units during one academic year (first week ending in July- last week
ending in June), you may be eligible for a Kelly Educational Staffing bonus!
Bonus checks will be issued in July based on the following structure:

TO QUALIFY:

The combination of all Kelly time worked must equal the total units required in the table to qualify for the

You must be an “active” employee at the end of the school year. “Active is defined as having worked 10
units after the last Sunday in March.

Be sure to maintain an ongoing, accurate record of your units and assignments.
This plan applies to KES instructional positions only and may be modified or cancelled at any time without notice.
KES INSTRUCTIONAL JOB DESCRIPTIONS/CONSENT
To perform the following jobs successfully, an individual must be able to perform each essential duty according to stated expectations.
The requirements listed below under each job title are representative of the knowledge, skills, and/or abilities required to perform the
duties of that position.
SUBSTITUTE TEACHER
In the absence of the full-time classroom teacher, the Substitute Teacher provides instruction, encourages student progress, and manages the
learning environment.
Major Job Functions
Job functions listed below are not all-inclusive; others may be added or deleted at the manager’s discretion.

Assumes duties of the regular District/School classroom teacher promptly and in accordance with school rules.

Implement existing lesson plans in a manner that ensures the integrity of academic time, and motivates students to learn and
participate.

Instruct students regarding a variety of classroom topics/courses of instruction, as determined by the School District’s lesson
plan and in accordance with Kelly Services policy.

Assign reasonable tasks and homework to students in accordance with the School District’s lesson plans.

Creates a classroom environment that is conducive to learning and appropriate to the maturity and interests of the students.
Address the various learning styles of students accordingly.

For long-term assignments, it may be required to develop lesson plans; devise, administer, and grade tests and assignments;
participate in parent-teacher conferences; and attend school-related functions. (These activities may occur outside of normal
school hours.)
SUBSTITUTE PARAPROFESSIONAL
Other job titles that a Paraprofessional may be known by include (but are not limited to): Paraeducator, Aide, Education Technician,
Teacher Aide, Instructional Assistant, Classroom Assistant, Education Assistant, Learning Support Assistant, and Teaching Assistant.
In the absence of the full-time paraprofessional, the Substitute Paraprofessional provides classroom assistance to general education
or special needs students and to the assigned District/School teacher, who has ultimate responsibility for designing and
implementing educational programs, activities and services.
Major Job Functions
Job functions listed below are not all-inclusive; others may be added or deleted at the manager’s discretion.

Present subject materials to students under the direction and guidance of a School Disrict teacher, but never have sole
supervisory responsibility.

Prepare lesson material, bulletin board displays, exhibits, demo, and necessary equipment to enable lesson plan.

Assist teacher(s) to reinforce learning concepts presented through lesson plans, individually and in small groups.

Grade homework and tests (computing/tabluating results) using answer sheets and other methods the school employs.

Assist students in transition from regular classrooms to special needs classroooms as needed.

Understand, address, and be sensitive to the presented special needs of each student, recognizing differences in their abilities
and cognitive levels.
The following job functions apply to ANY instructional position held with Kelly Educational Services:
Classroom Management

Maintain and/or assist in maintaining classroom control that fosters a safe, positive environment for all students and staff in
accordance with Kelly Services and School District policies and all applicable federal, state, and local laws and regulations.

Ensure adequate supervision of students and classroom environment to assure health, welfare, and safety of students.

Take all necessary and reasonable precautions to protect equipment, materials, and facilities.

Remain in classroom and monitor students at all times. Ensure that the students are never left unattended in the classroom.

Report student injury, accidents, illness, and discipline problems to Kelly supervisor and school personnel immediately.

Report all personal injury or school property and/or theft to Kelly supervisor and District/School personnel immediately.

May supervise students in out-of-class settings (e.g., assemblies, lunchroom) as directed and supervised by an authorized School
District employee (e.g., school principal).

If serious or disruptive student behavior problems occur, assistance should be sought from a School District teacher or a building
administrator.
Professional Practices and Duties

Reports to school office at beginning of school day to pick up required materials and schedule of classes, and at the end of the
school day to return materials.

Follows sign in and sign out procedures, as prescribed by the school principal.

Interact in a cooperative and professional manner with students, parents, and school personnel.

Maintain student and school personnel confidentiality.

Never physically move, touch, or be in any type of physical contact with a student.

Work cooperatively with all school personnel, parents, and Kelly team members.

Comply with Board of Education policies and administrative regulations.

Conduct assigned classes at the times scheduled.

Enforce regulations concerning student conduct and discipline.

Be punctual, and start and end class on time.

Use computers, audiovisual aids, and other equipment and materials as appropriate to supplement presentations and the
teacher’s lesson plan.

Dress in a professional manner consistent with Kelly and school policies.

Manifests a positive role in school and community relations.

Demonstrate professional practices in teaching.

Maintain accurate, complete, and appropriate records and files.

Model non-discriminatory practices toward students, faculty, and staff. Endeavors to understand and respect the values and
traditions of the diverse cultures represented in the community and in the classroom.
Skills and Essential Job Function Requirements

Daily personal and close, non-physical contact with children to provide classroom management and learning environment support.

Ability to assist in the implementation of an instructional support program with students of varying ages and sizes.

Effective organizational, communication and interpersonal communication skills.

Must be able to follow oral and written directions and have the ability to establish effective working relationships with School District
staff and students.

Frequent walking, standing, stooping, and lifting up to 25 lbs. Other physical activities may be required.

STANDARDS OF PROFESSIONAL CONDUCT
OVERVIEW
The educator’s primary concern will always be for the student. The educator must strive to create a learning environment that nurtures and
fulfills the potential of all students—acting with conscientious effort to exemplify the highest ethical standards.
Professional Conduct toward Kelly Educational Staffing
1.
Reports time on assignment accurately and efficiently into the electronic timekeeping system through the Kelly Automated Scheduling
System (KASS). Contact the branch for approval before working beyond the scheduled assignment hours. Repeated failure to obtain
approval in advance could lead to disciplinary action up to and including termination.
2.
Reports all time worked, including overtime hours. Nonexempt hourly employees will be paid time and one-half for overtime hours, or
double-time as required. Nonexempt employees paid by the unit will be paid an additional premium of one-half of their base rate for all
overtime hours worked, or double-time as required. The base rate is calculated by dividing total hours worked in the workweek by total
wages earned during the workweek.

Alerts the branch to change in availability, district/school request on future assignments, assignment duty changes, and when assignment
requires leaving school grounds
5.
Reports all incidents involving a Kelly substitute teacher, whether actively involved or merely a witness to the Kelly Services office: This
includes but is not limited to any type of harassment; any injury to a student, Kelly employee, customer employee, or third party; and
property theft and/or damage
6.
Never talks to the media on behalf of Kelly Services or the district/school—referring all inquiries, without comment, to Kelly Corporate
Public Relations
7.
Self-reports any new arrests/charges to the Kelly office immediately (with the exception of minor traffic violations) within 48 hours, and
provides written follow-up statement within five business days
8.
Understands that unapproved gaps of 150 days or more in assignment will lead to deactivation, possible re-screening of criminal history
(which may result in additional costs), or termination from our Educational Program
9.
Uses the Aesop system for accepting assignments
Professional Conduct toward Practices and Performance
1.
Assumes responsibility and accountability for one’s performance and continually strives to demonstrate competence
2.
Dresses in an appropriate and professional manner, and adheres to the district/school dress code policy( for safety reasons no flip flops,
crocs or open toe footwear, or high heels greater than two inches high).

Never uses recording devices or picture/video cameras, including cellular phone cameras, on school grounds
4.
Complies with school policies and applicable laws and regulations
5.
Understands and follows the district/school discipline procedures
6.
Follows the district/school policy for videos and books
7.
Never uses one’s professional position for personal gain or advantage
8.
Does not use school equipment for personal purposes: This includes but is not limited to using or installing any software on district/
school computers; downloading of inappropriate or obscene material; and using school resources for purposes that are not job-related

Leaves the classroom tidy at the end of the day’s assignment/in the same condition as upon arrival that day.
Professional Conduct toward Students
1.
Strives to achieve and sustain the highest degree of ethical conduct
2.
Commits to academic openness, fairness, honesty, and objectivity to students and the learning material
3.
Never harasses, embarrasses, or discriminates against students
4.
Makes a constructive effort to protect the student from conditions detrimental to learning, health, or safety
5.
Endeavors to present facts without distortion, bias, or personal prejudice
6.
Is never physically/verbally abusive to a child, including the use of inappropriate language
7.
Supervises students constantly and never leaves a classroom unattended
8.
Never disperses or administers medication to a student or diagnoses a student. Where there is potential injury or illness, send student to
the on-site nurse or front office. Allows students to see the on-site nurse/front office if and when they request to do so. Never make
judgment calls as to the authenticity of a student’s request in this regard unless otherwise instructed by academic personnel.
9.
Understands that the release of a student(s) during the school day should ONLY be conducted by the school office
10. Before the instructional day begins, know the bell schedule and dismissal procedures for recess, school, and end of day (This includes a
roster detailing which students are walkers, bus riders, car riders/parent pick-up, or attend an afterschool program.)

to, face-to-face, texting, phone calls, or social media activity via mobile or electronic devices.

SUBSTITUTE EMPLOYEE WEB TIME INSTRUCTIONS
These instructions will show you how to record your time into the Aesop system for payroll purposes. The following are critical
elements of the process:
Mission Critical Elements of Entering Time:
1.
You must enter your time into Aesop for the week worked by Sunday at 11:59 pm (midnight). For example, if today is Friday,
you have 2 more days (Saturday and Sunday until midnight) to record your time.
2.
Be sure to verify the assignment detail for each job that you had to ensure that it:
a. Reflects the correct date
b. Reflects the correct School
c. Reflects the correct School Employee (teacher) you replaced
If any of the above are incorrect, contact your branch or the Kelly Scheduling Team and have the assignment corrected.
3.
Remember to Save your time sheets as you record the information
4.
Make sure you have an email address recorded in the Preferences area of Aesop so that you are able to receive
notifications of time approval, rejections, etc.
5.
Best practice: enter your time sheet into Aesop’s WebTime on a daily basis.

understand how absences are managed, and you'll learn important tasks including how to accept an absence in the Aesop system and how to enter your payroll time via
Webtime.
Recording Time for Payroll (WebTime)
1. Log in to Aesop from http://www.kellyeducationalstaffing.com by clicking the “Aesop Login” link and entering your
ID and PIN. If you don’t know your ID or PIN, contact the KES Support Desk at 1-866-KELLY38.
2. From the main screen, click the Webtime tab
3. By default, the screen displays the current period of pay also known as the Assignment Record. Select the desired
pay week (if necessary) by clicking the drop down arrow and then click GO .
4. Icons next to each job in the Assignment Record indicate the status of your submission – the key is shown on the
screen for your convenience.
5. For each job, complete the following:
Verify that the Date, Location and Employee are correct. (i.e., you worked the job listed for that school
employee
NOTE: If the assignment record in Aesop does not list the correct teacher you replaced or the correct start and
end time, STOP - do not enter time for that assignment. Contact your local office or the scheduling team and a
Kelly representative will enter the correct teacher or timeframe of your assignment. Once the correction is
made you can then enter time for that assignment.
a. Enter your Actual Start and Actual End times of the assignment you worked (hint: the scheduled start
and end times are shown in italics)
b. Enter any Break Time you took. If you did not take a break, leave the Break Times fields blank. For
example, if you took a lunch break from 11:45 until 12:15 you would enter those times in the Break Times
field).
6. The system will automatically calculate your Total Hours and/or assign the proper Units based on your input.
Repeat steps A, B, and C
above for any remaining assignments for that week.
7. Be sure to enter the proper AM and PM indicators when recording your time. If you happen to make a mistake, the
system will prompt you about the error when you try to save your time sheet. [e.g. The Actual Start Time must be
before the Actual End Time]
8. Once all your time is entered correctly, click the Save Time Sheet button
9. If you didn’t enter a break time for an assignment, the system will prompt you. If you did not take a break that day,
click the Save Anyway button.
10. Aesop will advise you that your entry was saved.
11. Your time sheet will remain in this status until it is sent for approval by an administrator which is SUNDAY 11:59
PM LOCAL TIME for the week worked.

appears along the left side of the entry
12. On Sunday around midnight, an email will be sent to your approver who will review and approve (or reject) your
timesheet. If you have an email address recorded in Aesop, an email will be sent to you indicating that your time
has been approved or if it has been rejected and why. If your time is rejected, you have the chance to
correct it but you must do so by Monday at 11:59 pm (midnight). Making your correction within this time
frame will allow your pay to process in this weeks paycheck; otherwise if you miss the Monday midnight correction
deadline, that rejected time may not appear until the following pay period.
Instructions for Selecting Your Preferred Schools
You can create a list of preferred schools in which you are willing to work, and customize this list at any time.

Step 1: On your home page, click the Preferences from the top bar menu. Then select Schools page will display.
Step 2: Select one of the following options:
Show me assignments at schools selected below – This designates the schools you are willing to work for. Aesop
will only offer you jobs for the selected schools.

Do not show me assignments at schools selected below (preferred method) – This designates the schools where
you do not wish to work.

Step 3: Click Apply Changes to save your selection.

Step 4: To add a school to this list, select the checkbox next to that school.

Step 5: Click Save to save your changes.

With Kelly ePaystub, your paystub is posted electronically to a secure Internet site rather than mailed to your home. If you are
enrolled in Kelly ePaystub, you will enjoy these benefits:
 Receive information on net pay and all deduction/tax details of your earnings without making trips to the mailbox*.
 Increased security for your personal information over a paper paystub that can otherwise get easily lost or destroyed
 Ability to view a historical record of your earnings for up to 16 months from the time you sign up
(No records prior to enrollment will be available on the site.)
 Help the environment with this “green” initiative by reducing paper.
Enrollment
To Enroll in ePaystub, follow the instructions below:
*Once you have received your first paper paystub, you will receive an e-mail from Kelly inviting you to enroll in Kelly ePaystub or visit
www.mykelly.com (see screenshot below) and click the ePaystub link.
 Register as a new user, following the process as detailed on the site.
 During registration you will be asked to enter a current e-mail address and/or phone/text number, and indicate a preferred
means for communication. If you choose to be notified, you will receive a communication when an ePaystub is available.
 Visit the Web site each pay period to view your ePaystub, even if you do not have a current e-mail address or phone/text
number.
 If you encounter a problem getting to your Kelly ePaystub or you choose to decline from the program, you can go back to
receiving paper paystubs by calling a toll-free number that will be available 24 hours a day, seven days a week.
Note: New employees gain access seven to 10 business days after enrollment.
You will continue to receive a paper paystub until your enrollment is complete.
