Meeting Closed at 10:44pm Attachment 122014-001 Membership card printing proposal We have issued the same membership card for many years now. The card is laminated cardboard and while functional is neither modern nor professional looking and is criticised for being too large to fit the standard male wallet. Earlier this year one of our AV members made a proposal to print plastic credit card sized membership cards. I have been discussing the proposal with the member and the general proposal is for a contract arrangement as follows: $1.90 per card fully inclusive: one side (AV logo), colour print black and white on the reverse (member name, number, expiry date) He can supply in the small numbers that we require – average per weekly print run is 9 Membership coordinator to send new card details to contractor by email – probably using an Excel template, and probably weekly. Contractor will print cards and deliver to membership coordinator within 48 hours Contractor to invoice AVs on a monthly basis Contractor will need to sign confidentiality agreement AVs to supply template for cards – no special software required. We could use our graphic contractor for this purpose Cost analysis – based on approximately 400 cards per year Annual cost – ongoing each year - $760 Current cost – cardboard cards, laminating envelopes, laminating machine and printer costs apportioned over time - $140 Other options AVs purchase a professional card printer - $1,100 – one off purchase Plastic cards - $140 – printer cartridge $110. Use a commercial printer – not really viable as I have not found one that will service the small numbers we require. The smallest minimum run I have found is 25. Title of project Working Well - A Capacity Building Program for Aspergers Victoria Volunteer Workers 2. Project Description Please address the following: 2a. Issue i.e. what is the problem or need that you seek to address? Although anxiety and depression are not part of the diagnostic criteria, individuals with Aspergers Syndrome (AS) are at a greater risk of an anxiety disorder or clinical depression and have higher suicide risk. Last year, four families known to Aspergers Victoria experienced suicide of a loved one with Aspergers Syndrome. Therefore, it is essential that our dedicated volunteers are better equipped to assist members, not only in leading and facilitating effective support groups, but also in understanding best practice in suicide alertness and prevention. Volunteers are the life blood of our organization, but are not sufficiently resourced to meet the rapidly growing community of families and individuals with AS that require our ongoing support. Volunteer workers provide monthly social and support groups for adults, young adults, teens, girls and boys with AS, as well as groups for parents and carers, siblings and partners. Phone volunteer workers also provide information, referrals and a listening ear to callers in need, who are often distressed and at times, in crisis. Greater guidance, professional peer support, upskilling and training is needed to build capability and strength so we can better support the families we serve to improve outcomes and also identify individuals at risk. 2b. Target group(s) i.e. who will benefit? 1. Aspergers Victoria volunteer workers (Group Leaders, Group Assistants and Telephone Help Workers) 2. Aspergers Victoria members, individuals and families throughout Melbourne and Victoria, including individuls with AS who are vulnerable and at risk 3. Participants and members attending support groups at the following locations: The Nerve Centre, Blackburn Reservoir Neighbourhood House Wembley Primary School Yarraville, Salvation Army Ringwood and; Carnegie Library 4. The wider community and general public who are seeking advice and information (including recently diagnosed individuals and families) 2c. Goals i.e. what do you aim to achieve? Our goal is to achieve positive outcomes for all members (including those who may be vulnerable and at risk) by building capacity of our support volunteer workers to: - conduct their important work following best practice policy and procedures - be equipped with practical knowledge on suicide alertness strategies and to be able to identify when members may be at risk - be equipped with training to refer individuals in crisis to access help and have the information on hand to connect them with appropriate resources - have sufficient resources, peer support and training to lead and facilitate successful peer support groups and/or; -have sufficient resources, peer support and training to work on the phone help desk following best practice 2d. Approach i.e. how will you do it? 1. We will employ a Groups Coordinator in a paid role to ensure that volunteer workers at Aspergers Victoria are operating with best policy practice and procedures and understand their duty of care obligations. The Groups Co-ordinator will also liaise with volunteer workers to ensure they are receiving essential supports and resources to carry out their important work. 2. We will engage ArcVic to facilitate the safeTALK workshop ("Suicide Alertness for Everyone Workshop" to apply basic TALK steps (Tell, Ask, Listen, & KeepSafe) and provide custom training to all volunteer workers 3. We will consolidate the current excellent work provided by our support groups through the group leaders manual and by strengthening the skills of group leaders through ongoing training sessions to improve their skill set and allocate mentors to support them 4. We will develop a peer support strategy and program for group leaders and assistants (in consultation with ArcVic providing mentoring and assistance to the Aspergers Victoria Board and Phone Help Co-ordinator with specific training and resources for the development of our help services) 5. We will engage a paid psychologist/counsellor to supervise and mentor telephone workers 6. We will find new ways to support and increase our volunteers, whether this be via increasing our volunteer base or paying for contracted services. 7. We will provide mindfulness training for all volunteers out of the Nerve Centre at Blackburn (skills and strategies which can also be passed onto our members and group participants) 2e. Anticipated outcome(s) i.e. what will success look like? Success would translate into volunteer workers who: - are well equipped to carry out their important work at Aspergers Victoria - understand and follow Aspergers Victoria best practice and procedures - have greater capacity, confidence and resources to identify and refer individuals and families who are in crisis and at risk - can readily access support through mentoring, counselling and/or supervision Success will translate into the overall long term strength and sustainability of an organization which fosters resilient relationships amongst volunteer workers and a high level of mutual respect and compliance and one that is able to identify individuals and families who are in crisis and at risk and provide them with appropriate information and referrals to seek immediate help. 3. Other organisations involved in the project: ArcVic (Anxiety Recovery Centre Victoria) Volunteer Victoria Melbourne Mindfulness Centre (Dr Richard Chambers) Sensory Education & Advocacy Services Networking with research and other Autism related organisations including OTARC, CDA, Amaze and the I Can Network 4. Project Budget Please provide an indication of the total expenditure of the project. Please round up to the nearest dollar e.g. 120,000 70,000 5. Request Amount How much are requesting from the Foundation? Please round up to the nearest dollar e.g. 95,000 50,000 6. Please provide details of confirmed or unconfirmed funds from other Foundations/Governments/own funding We are a registered health promotion charity, run by volunteers. I have done some initial research… Who are courses for: - Courses for Group leaders and Board? - will GL do the practice required? Here is some initial information to give an idea of options: Smiling Mind Education Program: tool to help do mindfulness for Groups “This section of the Smiling Mind website is for people wanting to run Smiling Mind’s Mindfulness Meditation program with groups. This can be teachers, educators, counsellors, team leaders, facilitators, sports coaches or those conducting wellbeing or mindfulness programs. The program is downloadable for FREE. It is supported by a comprehensive manual for teachers/ facilitators and is designed to be easily implemented without a large time commitment. The program can be tailored to suit a range of audiences and environments and no meditation experience is required from the teacher/ facilitator. It is recommended, though, that group facilitators first practice the exercises themselves. Click here for more information about Smiling Mind and Mindfulness Meditation. – See more at: http://smilingmind.com.au/education-program/#sthash.w6W9kcTg.dpuf and : http://smilingmind.com.au/education-program/” Melbourne Mindfulness Centre From Dr Richard Chambers (Clinical psychologist & mindfulness consultant, Monash academic) I would welcome the opportunity to work with your leaders. In a day, I could outline: - The science and practice of mindfulness - Personal application e.g. stress reduction, performance enhancement, communication - How to teach mindfulness and use it in clinical practice - Using mindfulness with young people - Using it with ASD Participants would walk away with a clear understanding and experience of mindfulness and ways to immediately start practising and applying it. My fee for a full day for a not-for-profit such as yours is $2700. This will include some written resources and MP3 mindfulness practices. I am also happy to run a 60-90 minute introductory presentation. The fee for this would be $700. Monash University Craig Hassed does run a Train the Trainer 4 week course once a year. It is nearly finished, and we haven't got another schedule for next year yet. I'm actually trying to convince Craig to put an extra one next year as it has been so popular. We usually reserve places for Monash staff first, if we get a week or so out from the beginning of the course and there is still spots available then we will invite externals. There will be a $240 charge for non-Monash people. At two recent events (one a speaker night and the second a support group night) a ‘lapsed’ member signed a renewal form to access the discounted event ticket rate, promising to pay online later. The payment has not been made and the renewal has not been processed. The second was a new member who completed a form, also promising to pay online later – again no payment has been received and the application has not been processed. A PayPal payment for new membership was received from a person with a USA address. Interestingly she had paid, but not completed an online membership application. I sent her email explaining our member benefits and her inability to access most of these from overseas. She withdrew her application and requested a refund which has been processed. Reminder to renew emails were sent to 53 members whose membership was due for renewal in September with the Spring newsletter but who failed to renew at that time. 41 of these people who did not renew in September had joined AVs in 2013 – ie they were first year members. 10 members responded to the email by renewing their membership. Nov 13: Webinar on Corporate Sponsorship (Julie Johnson) Summary: Julie talked about the growing trend of corporate partnerships and corporate engagement being at an all time high Cash donations being the most common form of corporate support but also skills based volunteering (often through HR). Your brand influences what you have to offer, has to be the right fit with a corporate. Need to think like a corporate and craft a good proposal if you are going to approach corporates. Good market examples: Movember and Gilette, Starkids, Jetstar and World Vision – these are good synergies. She suggests work out what’s in it for the corporate, what does corporate get in return. Need to craft a case for support, get to the point and compel the corporate to act. Keep proposals simple and use images to enhance the story. Appeal to the emotion, then to intellect! (If this is something AV wants to pursue long term I wonder how we could we engage coroporates. Could potentially engage a corporate HR division to assist with job interview stills for young adults as a starting point (for example), could be a project idea for a grant or partner up with corporate to assist in the project and fund it!). 2. Started work on organizational template from Our Community Winning Grants Seminar (Andrew Wright). Propose for all board members to add information to form a basis for all grant submissions. 3. Looked at previous Whitehorse Grant Application and spoke with the grants officer about process for applications next year. She agreed it would be good to get in touch with Metro Access Officer at Whitehorse to discuss the grant before we submit in the new year. (Metro Access Officer may be a good contact to have for AV as well?) 4. Research into the Ian Potter Foundation and their Grants Program http://www.ianpotter.org.au/ After establishing that we meet the criteria with new DGR status, drafted an ‘expression of interest’ based on latest AV minutes, business plan etc. It’s an experiment in formulating a concept and demonstrating a need (potentially for future grants). It’s not a grant application so there’s no hard copy required and it’s a ‘relatively’ short online document. If they like the basic concepts outlined in our expression of interest they will invite a more formal grant application which needs to be submitted early next year. Aim to submit online in December if approved. Hours worked: 1. Webinar: 1 Hour 2. Winning Grants Notes Review and Organizational Template: 1.5 Hours 3. Whitehorse Grants research: 1 Hour 4.
