Types of Activity

• Contact – records all types of communication or attempted communication with a student

• Note – non-actionable information about a student that may be relevant to you or other staff working with a student

• Referral – action required

– If assigned a referral you should take and record action (new referral, note, close)

Contacts

• Allow faculty/staff to record interaction with a student (i.e., in-person meeting, phone conversation, email received from student, etc.)

Interactive contacts include a student response and remove a student from the priority list

Important to record both interactive and non-interactive contacts so other direct connects can view

88@1

Notes

• Allow faculty/staff to put a notation on a student’s record.

• Notes are typically informational in nature and are generally not time sensitive

• Care list information entered as notes

• All notes may be public, which means viewable by direct connects

Creating a Referral

Choose a referral category (same categories for appointments and contacts)

Assign to lists direct connects

Status should be closed after contact with the student

Students should not be notified of referral

88@1

Addressing Referrals

• If assigned a referral you should note your actions such as

– Attempt to communicate (non-interactive contact)

– Record communication (contact)

– Refer the student to another direct connect

– Close the referral

What is a Risk Indicator?

• An indicator of the student’s risk for attrition or poor academic performance.

• Each student is categorized into one of four groups:

– Green

– Yellow

– Red

– Red X2

88@1

Outreach with At-Risk Students

Red indicators need immediate attention from Shannon,

Yvonne, Venus, Coaches and

Sue J.

may require referral to other direct connects

Yellow, especially those with intent to leave should be priority for SA staff

Early alerts will be referrals by Sue J to appropriate direct connect

88@1

Commitment to MAP-Works

• 15 minutes each day

• Use the activity features to inform others

• Address referrals (which will include early alerts) in a timely manner and close them

• Encourage students to take all three surveys and review their student reports
