All Occasions Party & Event Rentals has been owned and operated by the same family since its
inception in 1997. The company was founded with a vision of becoming the Okanagan Valley’s
premier wedding and event Rental Company. We built our reputation one event and one
customer at a time.
We are innovators and as such are on the lookout for ways to improve our skills, services and
product offering to you our valued customers. We strive to learn and keep current with new
trade practices and exciting products. We are members of the American and Canadian Rental
Associations as well as the IFA’s international Tent division. We have aligned ourselves with
these organizations as we share and support the same visions: a safe and professional working
environment, ongoing knowledge and training and a commitment to bringing the highest
quality products to the market place.

At All Occasions Party & Events Rentals we carry a full range of tents to fit a variety of
applications. Our equipment is top quality, clean, expertly maintained, and represents the
latest in design and technology. Quality you can see and engineering you can trust. Our tent
experts, aided by our tent specific software, can outline space requirements and identify
possible layout concerns. Each event is different and your site may have unique tenting
requirements. Delivery charges will apply to all tent rentals. Please call us to discuss your

All customers are required to call an underground utility locator to map out any underground
utilities. Please call this service at least one month prior to tent set-up.
Please note seating ranges are approximate and depend on many factors that will vary for each event. Our tent
experts with the aid of our tent specific software will customize a floor plan to suit the specifications of your
event.

RENTAL POLICIES & PROCEDURES
HOW DOES PRICING WORK?
Rates are quoted for a 24 hour, single use rental. If you require a longer rental period please
contact us for rate information. All charges are for time out whether the items are used or not.
There is no refund for unused items.
HOW AND WHEN DO I PAY?
A reservation fee is required at the time of booking your order. This fee will be applied towards
your total rental bill when the order is fulfilled. Payment can be made in any of the following
ways: MasterCard, Visa, debit card, cash or personalized cheque with ID. Upon making your
reservation, the items will be reserved for you on your specific date. As these items will be
made unavailable to other clients, if you do cancel you will forfeit your reservation fee. Final
payment must be made before the items are released. A credit card imprint or cash deposit
must be left as security for the rental items.

CAN I CHANGE OR CANCEL ITEMS?
Your satisfaction is of the utmost importance to us. The day you book your order the items are
considered out of our inventory for your date and thus made unavailable to other potential
customers. This ensures you will have all the items you need on the date you require them. We
realize that changes in numbers have to be expected and therefore we have the following
policies:
1) Items may be added (subject to availability) up to the close of business, the day prior to
delivery or pick up.
2) Reductions in quantity for each item of up to 20% can be made once without penalty as
long as they are made no later than 14 days prior to your event. Reductions in quantity
greater than 20% or any reductions made within 14 days of your event are subject to
50% cancellation fee plus taxes. Any cancellations or reductions made within 7 days are
subject to 100% cancellation fee. In the case of cancellation of an entire order, the initial
reservation fee will be forfeited.
WHAT HAPPENS IF ITEMS ARE BROKEN, DAMAGED OR LOST?
The customer is responsible for the goods from the time of pick-up/delivery until the items are
returned to All Occasions Party & Event Rentals. Be sure that all equipment is secure and
protected from the weather while it is in your possession. We do charge for: badly soiled,
broken, damaged, or missing items, including packaging materials. Our insurance does not
cover equipment while it is in your possession. All Occasions Party & Event Rentals does offer
damage waiver coverage. Please ask for details on our damage waiver policy upon booking.
HOW DOES DELIVERY & PICK UP WORK?
Delivery is available at reasonable rates. Delivery rates are based on drop off to a point
immediately accessible to our truck tailgate, usually your curbside, driveway, or garage. All
deliveries require a signature of the responsible party for equipment to be left. Should you
require delivery beyond our truck tailgate or set-up and take down of items, please request a
quote prior to delivery. Delivery times are set on the week of the event. You will be given a
morning or afternoon delivery time. Morning delivery means the items will be delivered
between 8am and 12pm. Afternoon delivery means between 12pm and the last delivery of the
day. Our trucks will deliver until their schedule is complete. Should you have special delivery
requests, please contact us and we will do our best to accommodate your needs. As there are
many deliveries in a day it is not always possible to give exact delivery times.
PLEASE CHECK TO MAKE SURE YOUR ORDER IS COMPLETE
We do our best to make sure your order is complete. If you discover any missing or damaged
items, please contact us immediately so that we can make a note on your contract and you will
not be charged. We will not accept disputes after an event is over.

RETURN
Rental items need to be returned to their point of delivery. China, glassware, and flatware
should be scraped free of food and placed back in their supplied containers. All original
containers and boxes must be returned. Linens must be dry to prevent mildewing, free of any
wax, food or confetti, and placed in the laundry bags provided. Please read and follow the
special instructions packed with items that require special handling.
