The Centralia-Chehalis Chamber of Commerce is a regional business association with a
growing membership and whose mission is to “Promote, Protect and Inform the Business
Community.” The general service territory of the Chamber is Lewis County, south
Thurston and north Cowlitz counties. The population base served is some 80,000. The
concentration of the membership is within the Centralia-Chehalis area. The current, paid
membership is at just over 725 members. The majority of the membership is within the
service/retail sector and some 15% is in the manufacturing sector. Other sectors well
represented within the membership is construction trades and the professional services of
financial, insurance, and real estate. The membership continues to experience positive
increase with an average of 15 new members per month. This increase is diversified and
reflects, in general, the diversity of the base membership.
As our community continues to urbanize and our business community grows we are
beginning to experience the retention challenge. Currently the retention rate is in the high
eighty to low ninety percentile, which by national trends reflects a high retention rate. To
strengthen the value of the Chamber’s annual publication and continue to strengthen the
membership value this Request For Proposal (RFP) is presented for your response to the
Centralia-Chehalis Chamber of Commerce for the 2007 Annual Directory & Community
Profile.
The following are the basic services requests by print quality and quantity.

Front/back cover stock to be 100# fortune gloss or
equivalent and be trimmed, full bleed with a final
production size of 8.5” X 11” spiral bound. Internal pages
are to be 60# fortune matte or equivalent. Directory to
include both alphabetical and categorical listing by
business, principal(s), address, telephone and fax numbers,
e-mail, website and category. Will include no less than 15
pages, 4-color of editorial text with no more than a 50/50
advertisement-text mesh ratio.

Vendor will provide trimmed, full bleed, 4-color front, 2color back, 5” X 7”, 80# fortune gloss (or equivalent)
membership plaque.
Evaluation Questions: The following questions will help the selection committee review
the received responses. Please provide your response on printed, additional pages listing
each question followed by your response. Please number the pages and each question.
1) The Centralia-Chehalis Chamber of Commerce has identified four specific
audiences that will use the Annual Directory & Community Profile as:
a. Chamber Membership
b. Local Community (Lewis, south Thurston, North Cowlitz counties)
c. Visitors to the area – both recreational and business travelers, and
d. Individuals and businesses relocating to the local community.
How would your company propose to design and layout the publication to
“target” each audience in cooperation with the Chamber of Commerce?
2) How would your company work with the Centralia-Chehalis Chamber of
Commerce to develop the necessary editorial content and support photos to
address question number one?
3) How would your company propose to seek, secure and manage the advertisement
sales?
4) What is your proposed advertisement rate structure? Please address size and color.
5) Please provide a proposed schedule for increased number of editorial pages as
advertising commitment changes the required advertising-editorial text ratio.
6) Please address how your company would collect revenues and manage
uncollected payments?
7) Please address how your company would work with the Centralia-Chehalis
Chamber of Commerce to distribute the Annual Directory & Community Profile
and the Membership Plaque to the Chamber membership and local community?
Please provide this as a defined budget line item.
8) The Annual Directory & Community Profile and Membership Plaque delivery
date is no later than the second Friday, January 2007. What is your proposed
timeline by activity to meet this important deadline? Please identify key activities
including advertisement sales, editorial content development, drafts/proofs and
final proofing by date.
9) The Centralia-Chehalis Chamber of Commerce traditionally has received a 12%
royalty from the publication to assist in distribution. What is your proposed
royalty schedule and anticipated income for the Chamber?
10) The RFP is proposed for a one-year contract, however the Centralia-Chehalis
Chamber of Commerce allows the opportunity to discuss and mutually agree to
multiple-year contract. Please define your preferred contract term.
11) Please address your professional qualifications to meet the Centralia-Chehalis
Chamber of Commerce’s Annual Directory & Community Profile and
Membership Plaque production needs. Please provide three professional
references.
