Edinburgh Iyengar Yoga Centre -Community Benefit Society Limited Description of Duties for Centre Manager/Co-ordinator 1. IDENTIFICATION Title: Centre Manager/Co-ordinator Responsible to: The CBS Committee via Chairperson Last update June 2015 2. DUTIES To coordinate, develop and maintain the Edinburgh Iyengar Yoga Centre and be responsible for the overall smooth running of a busy well established Centre which has daily classes over a 7 day a week period. Support & manage the Administrator and cleaners and ensure good liaison and communication between the CBS Board; Teaching Staff and Centre Users. 3. DIMENSIONS The Iyengar Yoga Centre is located within the geographical area of Bruntsfield within Edinburgh and provides arrange of classes and yoga events to a large well established client base of both students & teachers of Iyengar Yoga. Background to The Edinburgh Iyengar Yoga Centre The centre has recently been registered as a community benefit society, with a number of shareholders and a bank loan providing the financial support to purchase both the building and business from previous owners: The aims of the Society will be to promote Iyengar Yoga in the Community, building on the long-established tradition of the Centre by: Teaching Iyengar Yoga to pupils of all levels of ability from beginner to advanced and to those of all ages and fitness Training teachers in Iyengar Yoga allowing the continued spread of Iyengar yoga in the wider community beyond the Centre. Organising workshops by visiting and local teachers to promote the further understanding of Iyengar Yoga 6. KEY RESULT AREAS- The co-ordinator carries out the work decided by the Board of Directors Liaise with Accountant to ensure quarterly VAT payments and Annual Corporation Taxes are paid on time. Liaise with the teachers - collect contracts, certification of teaching level and insurance documentation. Ensure payment of bills and monitor the bank & Paypal account. Oversee the maintenance of the building and front garden. Update the website with each term's information, news, events and booking process. Maintain and develop social media presence - regular posts, photos and tweets. Line management responsibilities for Administrator. 2 Develop a Personal Action Plan in line with Centre’s requirements and implement monitoring and evaluation systems in order to demonstrate results, with support from Board. Liaise with shareholders & Centre Teachers to involve them in activities & future developments where appropriate. Prepare regular updates / reports for CBS Board and work with CBS Board on providing information for financial bodies (Bank; Accountant etc) and Shareholders, especially around required financial returns. Contribute to discussions around responding to students needs within the centre and promoting wider uptake of Iyengar Yoga to specific targeted groups and within wider community. Develop effective communication shareholders using appropriate methods. 7. EQUIPMENT AND MACHINERY The manager/co-ordinator will work either in his/her own home or in the Centre. She will provide her own office space and office equipment at home, including telephone and internet connection and all incidental stationary, for the purposes of carrying out the duties detailed at no additional expense to the Society. The Society will re-imburse Manager/co-ordinator for the cost of external printing, postage and other specific outlays by agreement. 8. ASSIGNMENT AND REVIEW OF WORK The Manager/co-ordinator will operate on a freelance basis line managed by the CBS Chair who meets regularly with the Manager/co-ordinator to review the Manager/co-ordinator’s workload and support needs. The Manager/co-ordinator’s work will be guided by the CBS Board of Directors in line with the needs of the Edinburgh Iyengar Yoga Centre The majority of the day to day workload is planned and prioritised to achieve objectives and targets The CBS Board & Shareholders and manager are given updates on progress / current position at agreed intervals. The Manager/co-ordinator agrees their objectives and develops their personal development plan with their line manager via an annual appraisal. This appointment is subject to a 3 month probation period & and subject to ongoing performance review thereafter. 9. KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED Experience in project management & development of a similar organisation. Proven interfacing effectively with range of stakeholders and members of the public at all levels in a busy pressured work environment. Expert knowledge in using a range of IT & book keeping methods / techniques for managing a small organisation and a good knowledge 3 of centre administration skills and techniques Excellent communication, negotiation and management skills, developing and maintaining communication with a variety of people. Ability to work with people and as part of a multidisciplinary team with variety stakeholders Proficiency in use of basic software systems (Excel and Word) Strong organisational and communication skills Minimum of 12 months experience of managing financial systems & staff The ability to make judgements and regularly reorganise priorities yet be a team player Multi tasking ability Ability to promote, advertise and market the concept of the CBS model & The Yoga Centre to students, public and the wider community Practical, pragmatic and pro-active approach, ability to act on own initiative and work without constant supervision Practical interest in Yoga – particularly the Iyengar method 10 DUTIES DESCRIPTION AGREEMENT Centre Manager/Coordinator’s Signature: Date Chair Person’s Signature: Date 4
