YRITYS OY MobiPeat user guide 9.3.2016 1 MobiPeat mobile peat production reporting system 1.1 Introduction MobiPeat mobile peat production reporting system is a mobile user friendly system for reporting daily peat production. The data is collected in real-time to the central DAX system where the production quantities are stored. Users can use their mobile phones to connect to MobiPeat and report their daily production without a need to access a computer. The reports can be sent by using a computer as well. 1.2 User interface Any mobile phone capable of internet browsing can be used to access MobiPeat. On the MobiPeat web page login window the user must type in his username, password and select correct company id. All MobiPeat’s pages have a link to the homepage of the application on the upper right hand corner. Refer to the mobile phone’s user guide for instructions on how to browse and use web pages with your mobile phone. For any other mobile phone language the default is English. You can also change the language manually. Once you have logged in, scroll down the home page. On the lower right hand corner is the indicator (flag) of the current language. Clicking it opens up a language selection screen where you can change the user interface language. The language is changed, setting is stored and used the next time you log in. After logging in you can see the following elements: Production report drop-down list. Total production summaries for products, bogs and peat piles for the current year. MobiPeat uses color coding of text to indicate the following: Quantities: Green text: amounts entered by a user today (e.g. 200.0 m3 above). Black text: amounts retrieved from the DAX system (e.g. 100.0 m3 above). Reported production data from all production units is sent to DAX immediately. The collected and verified daily data is then processed by night and sent back to MobiPeat system. These figures are then shown with black numbers on MobiPeat screen. Quality: Green text: quality data entered by the user (e.g. 1.00 kg/m3 above) Red text: quality data missing (e.g. – kg/m3, - w-% above) Text in a red box: quality data has been missing for more than 3 days. Black text: quality data retrieved from the DAX system (e.g. 12.23 kg/m3, 45.24 w-% above) Note: Total monthly production of a peat pile can be found at the bottom of a peat pile screen. MobiPeat mobile peat production reporting system 5 YRITYS OY MobiPeat user guide 9.3.2016 Monthly production by a peat pile 1.3 Using MobiPeat 1.3.1 Navigating To change the summary view to a different bog open the Production Notification dropdown list and select a different bog. To see or report production of a peat pile, click on a pile link. 6 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 This opens a summary view of the peat pile. To move back to the previous screen, scroll down to the bottom of the current screen and click Back link. To log out of MobiPeat, use the Logout button at the bottom of a screen. Select the bog you want to report production to. The correct bog may already be visible on the opening screen. If not, open the Product Notification drop-down list and select the correct bog. 2. Click on the peat pile link you want to report production to. Scroll down the screen to see more choices. 3. Click on the date link you want to report production to. If no production has been reported to that date, the amount column is blank. 8 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 4. Enter the production amount of the peat pile. Enter quality information if it is known at that time, otherwise leave blank. You may report quality information later. Remember though that you have a seven day time frame to report the production data. Note: When reporting production, you cannot report quality data without quantity. Sending only quality data will result in an error message. 5. Scroll down the screen and click the Save button to send the information to MobiPeat. MobiPeat mobile peat production reporting system 9 YRITYS OY MobiPeat user guide 9.3.2016 Tip: If you are using a Nokia phone, when entering the numbers on a field, hold down the phone’s keyboard button to change the phone’s input characters to numbers. Use the Cancel link if you want to cancel the action and return to the previous screen. Use the Logout link if you want to log out of MobiPeat. Use the flag button if you want to change the language of MobiPeat. 6. You are done. The amount you reported is sent to MobiPeat system. You can now continue reporting production to other bogs or piles or you can log out of MobiPeat. 1.3.3 Correcting errors If you are entering daily production amount and want to cancel the action, scroll down the screen and click the Cancel link to return to the previous screen. If you have entered and sent incorrect amount for a day, reopen that day, enter the correct amount and click Send button. (See chapter 1.3.2 for instructions). The amount is corrected immediately. 2 MobiPeat mobile peat production reporting system and DAX 2.1 Production orders A new production order is created using local procedure. If a DAX production orders is to be reported in MobiPeat, the following conditions must be met: The status of the production order must be either Started or Reported As Finished. 10 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 A production unit has been selected for the batch of the production order (right-click the Batch field, select Go to the main table, click the Others tab). If this field id blank, select a correct value for it. If the above mentioned conditions are not met, the production orders are not transferred to MobiPeat and the production reports cannot be connected to the production orders. The date in the Started field on the Update tab of a production order defines the month to which the production reports are currently connected. 2.2 Procedure in the turn of the month In the turn of the month the production order is ended and split using a local procedure. Splitting a production order MobiPeat mobile peat production reporting system 11 YRITYS OY MobiPeat user guide 9.3.2016 In the beginning of each production season, a single production order with predicted annual production quantity is created for the first production month. Production order – Production season 2010 – Total In the end of each month this production order is split into a past month’s and remaining production orders. In the new past month’s order the production quantity is updated to reflect that month’s total reported quantity. April Production order – Production season 2010 - Remainder So in the end of the production season, the annual production order has been split into as many monthly orders as there has been peat production. This method is used to avoid the need to create a new production order in the beginning of each month. Splitting is done using two functions: Production > Periodic > Update > Negative start and Split. After splitting the production orders, the past month’s order is ended as usual in DAX. 12 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 Buffering production reports The production order is ended when a month comes to an end. Since there’s no new production into which new production reports are connected, MobiPeat system has a buffer for the reports. Normally all reports from users travel through MobiPeat system into DAX system. These are stored and automatically connected to a current open production order in DAX. In this situation MobiPeat system starts to collect the reports into an internal buffer. The buffering has a 7 days maximum time frame in which the past month’s production order must be split. 2.3 Managing the contact person list 2.3.1 Background The persons listed in the contact person list of the production units are automatically added as users of MobiPeat. Go to Inventory management >Setup > Batch > Production unit, right click in the Contact ID field of the production unit and select Go to the Main Table Form. The Contact person form shows all the contact persons for that specific production unit. MobiPeat retrieves this information and gives automatically permission to use the reporting system for all the persons on this list. 14 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 2.3.2 Creating a new contact person / user for MobiPeat Open the contact person list as in 1.4.1. Click New icon or use CTRL+N to add a new line in the list. A contact ID is created automatically for the new person. Type in a name and a phone number either in national (e.g. 040112233445) or international format e.g. (+35840112233445). The phone number entered here will be the user’s username in the MobiPeat system. If the production unit field is blank, type in the production unit number. To save the record, click outside the newly added line, or click the Save icon. Note: If a person needs to report production of two different production units, then his contact details need to be added to both units. Since the phone number is used as a username in MobiPeat, it needs to be different for each production unit. The Phone number field is a free text field so you can type in whatever information you want. To differentiate the usernames (= phone numbers), you could add a descriptive suffix e.g. production unit number +35840112233445203 or location identifier +35840112233445TOO. Try to keep the extra information short. Click the Contact info tab. Type in the person’s mobile phone number in international format and email address (if known). This information may be used in the future for sending MobiPeat related information and reports. To update a single person Click OK button in the Send document electronically form. To update all names in the contact person list Click Select button. Click OK button. 2.4 Quality data to be reported The quality data that MobiPeat collects is set in DAX. To see the quality settings for a specific production order right-click the Batch field of a Production order. Click Go to the Main Table Form. In the Batch form, click Quality tab. The quality lines checked here set the qualities that can be reported in MobiPeat. The standard settings for peat are bulk density (kg/m 3) and moisture content (w-%). Do not change the settings here! 2.5 Reviewing production reports 2.5.1 External production transactions form To review production reports from MobiPeat, go to Production > Inquiries > External reporting > Production transactions – External. This form displays production reports from both MobiPeat and PelletPortal. To see production from MobiPeat only, filter the lines using data in the Source column. MobiPeat gives each reported batch/date a unique running External ID number. If multiple reports are received for a batch, they have the same External ID number but each one of them is given a running Message Version number starting from number 1. Multiple reports may be received e.g. if the user has made a mistake in sending the initial report and corrects it by sending a second one. A successful posting of a report is indicated by Warehouse and Item Number codes in their respective fields on the Overview tab and a Journal number on the Production tab. Journal number of the posted report 2.5.2 Finding posting errors If, for some reason, a production order is not posted automatically, you can try posting it manually. Click Functions > External systems – report as finished > OK. MobiPeat mobile peat production reporting system 19 YRITYS OY MobiPeat user guide 9.3.2016 Although trying to post a production report manually won’t result in in successful posting, it will open an Infolog window indicating what is the cause of the error. 2.5.3 MobiPeat quality reports To review production reports from MobiPeat, go to Production > Inquiries > External reporting > MobiPeat quality transactions. The quality reports use the same External ID number as the production reports. This form displays quality reports from both MobiPeat and PelletPortal. To see reports from MobiPeat only, filter the lines using data in the Source column. 20 MobiPeat mobile peat production reporting system YRITYS OY MobiPeat user guide 9.3.2016 Quality reports can be reported at the same time as production or later. The MobiPeat system blocks all attempts to report quality before production. 2.5.4 Accessing posted production reports from production orders Go to Production orders > Journals > Report as finished.
